Prospect Red Bay Community (PRBC) WhatsApp Group Policy

The PRBC WhatsApp groups are established for residents and homeowners within the Prospect Red Bay area, spanning from Selkirk Drive to the Cable & Wireless Exchange near Spotts Newlands. These groups aim to foster community engagement and facilitate communication on matters relevant to the area.

Administrative Authority

The PRBC Executive Team serves as the administrators of these groups and reserves the right to:

1. 1. Add Members: Include individuals who meet the residency criteria.

   2. Remove Members: Exclude members who violate the policies or no longer reside within the designated area.

   3. Silence Groups: Temporarily mute group activity for agreed periods. A notification will be issued prior to silencing.

   4. Disband Groups: Delete the group, ceasing all participation. Advance notice will be provided to all members.
      
      

Group Access

Each member will be added to a single WhatsApp group, while the Executive Team retains access to all groups for effective communication. Information will be shared across groups by the Communications Officer, eliminating the need for members to join multiple groups.

Group Purpose

These groups are designated for community-related issues and emergency alerts. They are not intended for personal or social interactions, including but not limited to:

• • Chain messages, videos, or photos.

  • Medical advice not verified by a recognized local source.

  • Non-community-related greetings or messages (e.g., “Happy Monday”).

Members are encouraged to use alternative platforms for unrelated content.

Promotional Content

Posts promoting businesses or services must:

• • Provide a clear benefit to community members (e.g., discounts or informative content).

  • Receive prior approval from the Executive Team.

Political Neutrality
The groups are non-political, and all content must remain neutral and aligned with the interests of the community.
This is not a platform for political campaigns or personal promotion of political agendas. Successful candidates will be added to the group after a General Election. 

Confidentiality

Posts shared within the group should not be disseminated outside of the group, except in emergencies. This ensures the privacy and integrity of both the group and its members.

Posting Guidelines

If a post is made in error, members have one hour to use the "Delete for Everyone" feature. If this timeframe lapses, members should contact the Executive Team for assistance.

Membership Applications and Data Protection

Applications to join the WhatsApp group must be submitted using the online form.

• 1. Personal information collected will remain confidential and accessible only to the Executive Team.

  2. Data will solely be used for purposes related to the Prospect Red Bay Community.

Policy Violation Procedures

Members who breach these policies will face the following actions:

1. 1. First Offense: Warning via direct message/ phone call.

   2. Second Offense: Temporary removal from the group for 24 hours.

   3. Further Action: The Executive Team will review the incident and determine the member’s eligibility to rejoin the group.

These policies have been developed in accordance with the aim to ensure a respectful, efficient, and focused communication platform for the Prospect Red Bay Community.
