The Academic Records App is designed to help schools and educational institutes manage fee records, student attendance, academic records, admission forms, admit cards, marksheets, transfer certificates (TC) and other school-related documents. To function effectively, the App relies on Firebase by Google as its backend service for secure data storage, authentication, and synchronization.
We understand the sensitivity of student, academic, and financial information, and we are committed to maintaining strong data protection and transparency. This document explains what data we collect, how it is used, and what rights you have as a user.

School/Institute name

Authorized admin user details for account setup

Admission number, roll number

Marksheet / result details
Transfer Certificate (TC) details
Fee structure (tuition fees, transport fees, other charges)
Paid amounts, pending dues, and receipts
Fee collection history and reports
Payment mode (cash, cheque, online, or other entries made by school)
Device type, OS version, app version
Internet Protocol (IP) address (may be collected automatically by services used)
Error logs and crash reports for troubleshooting and performance improvements
We do not collect or store highly sensitive personal data such as:
Bank account numbers
Debit/credit card numbers or CVV
Biometric data
Passwords unrelated to the App
If any school manually enters additional information, it is the responsibility of the institution to ensure it is lawful and necessary.
We use collected data only to operate and improve the App. Main purposes include:
Fee Management – To record, track, and update student fee payments
Receipt Generation – To generate and maintain fee receipts
Due Tracking – To help schools track pending or overdue fees
Academic Records Management – To manage marksheets, admit cards, and student records
Admission Form Generation – To create and manage admission form details
Attendance Tracking – To record and maintain attendance history

We use Google Firebase, which provides cloud-based backend services such as:

All data stored in Firebase is protected under Google’s security standards and policies. Firebase services may collect certain technical information as per Google’s Privacy Policy.
We do not sell, rent, or trade user data.

With your consent – when explicitly authorized by the school/admin
Legal requirements – if required by law, government request, or to prevent misuse

However, no system can be guaranteed 100% secure. We recommend schools/admins use strong passwords and keep access limited to authorized staff only.
We retain school, student, and academic data as long as the account remains active.
If a school requests account deletion, the stored data will be permanently deleted or anonymized within a reasonable time, except where retention is required by law.
The Academic Records App is intended for school administration use only and is not designed for direct use by children.
We do not knowingly collect personal data directly from children. If such data is found, it will be deleted immediately.
Users have the right to:
Access – Request a copy of stored data
Correction – Update or correct inaccurate information
Deletion – Request deletion of account and stored data
Restriction – Limit how data is used (subject to App functionality)
Data Portability – Export fee/academic records for school use
