Using a suitable web browser: open:

Using an phone (landline or mobile): Dialin: to listen to (but not see) dial 0 33 00 88 5830 and give the Meeting ID of 939 7675 3145 or use:
++443300885830,,,93976753145#,#
Only the Chair, Candidates and Time Keeper will have active cameras and microphones. The Hustings audience will be both mute and invisible throughout.
We recommend that you:
use 'Gallery View', to see all the active windows
enable 'Settings > Video > Hide non-video participants' to not see the audience
If you cannot enable Hide non-video participants, or your screen is to small, it may be best to use 'Speaker View' instead.
If you are hard of hearing, you may care to enable the 'Live Transcript > View Full Trsnacript' and/or 'Live Transcript > Show Subtitle' on laptops; on tablets and phones, look under '... More' to select the full transcript, and '... More > Settings' to enable 'Closed Captioning' (for further instructions, see Zoom's instructions).
To ask a question, use 'Chat' to send it to the Organiser with 'Question' in their name. Chat messages sent to anyone else will not be processed.
Ensure that you have 'Settings > Video > Hide non-video participants' enabled, so that you can always see the Hustings Chair and the Time Keeper/countdown timer.
Feel free to enable 'Settings > Background & Filters > Virtual Backgrounds > Blur', but please do not use a Virtual Background image or video, as the artefacts are distracting and disturbing for others.
During the pre-hustings checks, make sure you can see the countdown timer while you are speaking. If the numbers on the timer seem too small, let us know.
To prevent screen changes for Hustings viewers, please do not turn your video off and on. If your camera doesn't have a 'security device' (e.g., a plastic slider), use:
a post-it note
bluetac
to temporarily mask your camera and block your video feed.
It is perfectly alright to finish speaking before the clock reaches 00:00, If you do, please indicate this either by muting yourself or by saying "Thank you" and sitting back.
If you have to connect by dialin due to internet problems, mute yourself locally if on a mobile phone, as you cannot be made a co-host, so cannot unmute yourself without an explicit request from a (co-)host each time.
Ensure that well before the event, you have the 3min, 2min, 1min and 30sec countdown timers.
When the candidates have arrived, check that they know how to set things up so that they can see the countdown when they are talking.
Cover your camera lens with a PostIt note or similar.
Ensure that your Zoom Name includes 'Timer'.
Keep open 'Settings > Background & Filters > Virtual Backgrounds ' to facilitate selection of the appropriate countdown video.
If you start the video too soon, just stop it, and when the time comes to start, start it again.
If you start more than 10s late, wait until the start time for the next shortest countdown video, and start it at the appropriate time.
Well before the meeting, as a one off, go to https://zoom.us/profile/setting, select 'In Meetings (Basic)', find 'Auto saving chats' and enable it. Open a test Zoom session, type in a chat message, click on 'Chat > ... > Save chat' , type some more chat, then leave the meeting, and check that the 'more chat' text is saved in the file. If there are problems, email Petersfield.Hustings@gmail.com
Before the session starts, ensure that your Zoom 'name' includes the word 'Question', so that people wanting to ask questions know who to contact.
Check that you are a 'co-host', so that you can chat to 'Everyone'.
Chat to someone, then check that 'Chat > ... > Save chat' says 'Chat saved'.
During the Chair's introduction to the session, at the appropriate time, paste into the chat the URL and email address
http://tiny.cc/PField2021Hustings
Petersfield.Hustings@gmail.com
During the session, use 'Chat > ... > Save chat' every few chats, and check that it says 'Chat saved'
At the end, do NOT close the Zoom session until the Chat has been saved. use 'Chat > ... > Save chat', then select 'Show in folder' which is to the right of 'Chat saved'. Send the file to Petersfield.Hustings@gmail.com and await a conformation that it has arrived before closing your Zoom connection, in case you need to retry.
If the account holder doesn't arrive in good time, use 'Participants > Claim Host' and type in the 6 digit number which you have been given.
Pause Recording during the setup period.
Go to 'Security' (or 'Participants > More') and ensure that 'Share Screen', 'Unmute Themselves' and 'Start Video' are all disabled.
Use 'Participants > Mute All' to set the default as 'muted'. Unmute any
Go to 'Participants > More v' and set 'Mute all Upon Entry' (and do not 'Allow participants to unmute themselves' in the popup).
Go to 'Chat > ..' and select 'Particpants can chat with host only'.
Set 'Security > Waiting Room' and admit just the chair, candidates and helpers, so you can set set things up before the viewers arrive.
Make the chair, candidates and helpers 'co-host's using 'Paricipants > More v > Make Co-Host' or on the candidate's video (which will be disabled) use '... > Make Co-Host'.
Check that everyone's Zoom 'name's are appropriate: 'Chair', the candidates with their name and party, and the question collator including the word 'Question'.
Remind everyone that the session is being recorded, then resume recording.
Select 'Live Transcript > Enable Auto-Transcription' so that people can see what is being said.
When it's time to let the viewers in (e.g. 5 minutes before the start if everyone is ready), disable the waiting room, then 'Participants > admit all'.
Once viewers start arriving in numbers, go to 'Participants > More' and clear 'Play Join and Leave Sound' if set.
If there are problems with a particpant (should only be a candidate, as viewers should have audio, video and screen share disabled), escalate the the problem in stages:
disable audio
disable video
move to waiting room for a while, then re-admit them
remove them from the meeting
If Zoom bombed, use 'Security > Suspend Participant Activities', remove the problem participant, then return things to normal.
