TechGenzi Private Limited ("TechGenzi", "we", "our", or "us") is dedicated to safeguarding your personal and professional information. This Privacy Policy describes how our mobile enterprise human resource management application, PeopleChamp ("the App" or "the Service"), collects, uses, discloses, and safeguards your data.
By downloading, installing, logging in, or using PeopleChamp, you consent to the collection and use of information in accordance with this policy. If you do not agree with any part of this policy, please do not access or use the Service.
PeopleChamp is an enterprise Human Resource Management System (HRMS):
Your Employer / Organization (Data Fiduciary / Controller): Determines what employee records are uploaded, configured, processed, and tracked (such as shifts, attendance policies, leave rules, and approvals).
TechGenzi Private Limited (Data Processor): Provides the software platform and infrastructure, processing workforce and personal data strictly on behalf of and according to the instructions of your employer in compliance with applicable laws, including the Digital Personal Data Protection (DPDP) Act, 2023 (India).
We collect data to provide, maintain, and optimize HR operations and employee self-service capabilities:
Identity Data: Full name, Employee ID / Staff Code, Username, Designation, Department, Date of Joining, Work Shift, and Profile Photo.
Contact Details: Official email address, corporate/personal phone number (as provisioned by your employer).
Authentication Data: Encrypted passwords and secure session tokens (JWT).
Attendance & Leave Records: Punch-in / punch-out timestamps, attendance logs, shift rosters, leave requests, On-Duty (OD) logs, Work From Home (WFH) records, and overtime/permission slips.
HR & Payroll Documents: Payslips, tax declarations, reimbursement bills, or identification documents uploaded by you or your HR team.
Location Information (Attendance Geofencing): When enabled by your employer to verify on-site attendance, we collect your device's geographical coordinates (latitude and longitude) strictly at the moment of punch-in/punch-out. We do not track continuous background location.
Device Identifiers: Device model, manufacturer, operating system version, unique device identifier (Device ID), and app version for device binding and access security.
Push Notification Tokens: Firebase Cloud Messaging (FCM) device registration tokens used solely to transmit shift updates, leave approval statuses, and official announcements.
Diagnostic & Crash Logs: Error reports, API latency figures, and crash traces to maintain app uptime and troubleshoot bugs.
To deliver complete HRMS workflows, PeopleChamp may request the following device permissions:
Location (ACCESS_FINE_LOCATION, ACCESS_COARSE_LOCATION): Used solely at the moment of attendance check-in / check-out to verify your physical presence within authorized workplace geofences.
Camera (CAMERA): Required if your organization enables selfie-based facial attendance verification, or when capturing bills/receipts for expense reimbursement.
Photos & Storage (READ_MEDIA_IMAGES / Storage): Invoked only when you explicitly select a file to update your profile photo, attach medical certificates for leave, or submit reimbursement receipts.
Push Notifications: Used to deliver real-time alerts regarding leave approval actions, shift changes, and company circulars.
Internet & Network Access: Required to communicate securely with your employer's HRMS cloud infrastructure over TLS/HTTPS.
We process personal data strictly for legitimate enterprise HR purposes:
Recording employee attendance, managing shifts, tracking working hours, and validating overtime.
Administering employee leave applications, approvals, permissions, and attendance regularization.
Authenticating authorized workforce accounts and preventing duplicate or unauthorized logins.
Sending transactional push notifications and workflow alerts.
Generating managerial reports, statutory compliance documents, and payroll inputs for your organization.
Diagnosing system latency, tracking technical errors, and ensuring overall platform reliability.
We do not sell, rent, commercialize, or monetize personal employee records.
We disclose information only under the following limited circumstances:
With Your Employer / Organization: Authorized HR managers, reporting managers, payroll processors, and executive admins have full access to your workplace records in accordance with their internal roles.
Trusted Infrastructure Sub-processors: Secure cloud hosting providers (e.g., AWS/Google Cloud) and push notification delivery services (e.g., Firebase) that operate under strict contractual confidentiality and data security terms.
Legal & Regulatory Mandates: If required by applicable statutory labor regulations, valid court summons, or governmental law enforcement authorities.
Encryption: Data transmitted between the mobile application and our servers is encrypted in-transit using TLS 1.2/1.3 (HTTPS). Sensitive database records are encrypted at rest.
Access Boundary: Multi-tenant architecture ensures strict data segregation between different customer organizations. No unauthorized third party or external enterprise can access your organization's records.
Data Retention: Employee data is retained as long as your company maintains an active enterprise contract with TechGenzi, and according to your employer's internal statutory record retention schedules (e.g., labor and payroll compliance laws).
Account & Data Deletion Mechanism:
Since accounts are provisioned and administered by your company, you may request account deactivation and data deletion through your organization's HR Department / System Administrator.
You or your employer’s admin may also submit a deletion request to customer.connect@techgenzi.com with the subject line "Data Deletion Request - PeopleChamp".
Upon verified confirmation from your employer (Data Fiduciary), employee data is purged or anonymized within 30 business days, except where legal and statutory audit obligations require retention.
Under applicable data protection frameworks (such as the India DPDP Act, 2023), you have the right to:
Access & Review: Review your personal profile, attendance logs, and leave status inside the app.
Rectification: Request corrections to inaccurate personal or employment records through your HR team.
Permission Controls: Revoke device permissions (camera, location, notifications) at any time through your device's operating system settings.
Grievance Redressal: Submit concerns regarding the collection or use of your personal data.
PeopleChamp is designed exclusively for workplace workforce management and is not intended for or directed to individuals under the age of 18. We do not knowingly collect personal information from minors.
