Here's what I'll need if you'd like a recommendation letter from me.
Please try to contact me at least 3 weeks before you need a letter. That will allow me to compose a tailored letter, rather than one that contains generic boilerplate language.
After I have agreed to write for you, please send me the following items all in one email message.
1. The date by which I need to complete the letter.
2. The method I should use to send my letter to the organization that will read it. Nowadays, this usually occurs via a secure link that the organization sends me. Please let me know if I should expect that sort of system or something different.
3. An internet link to the organization or program to which you are applying, and the specific opportunity you are seeking (i.e., study abroad, graduate degree, scholarship, job, something else . . . ). That will help me understand the context better.
4. A copy of your résumé.
5. A list of courses you have had with me, the semester and year you had them, and the grades you earned in them.
6. Your grade point average. (If possible, breaking this down by overall GPA and GPA in major is helpful.)
7. A copy of a personal statement or other essay(s) that you are composing for your application. It's okay if these are in draft form. Basically I'm interested in seeing how you are framing yourself, which can help me play up common themes in my letter.
8. Lastly, and VERY IMPORTANT: Once you have sent me items 1-7 in a single email, send me numerous reminders until I have confirmed that I've submitted the letter. I like lots of reminders to make sure things don't slip through the cracks, especially if I'm juggling lots of letters during recommendation season. Don't worry, your reminders won't annoy me!
