PolyLab ("we", "our", or "us") develops and operates the Orbill mobile application (the "App"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our App.

By using Orbill, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree with the terms of this Privacy Policy, please do not access or use the App.

1. Information We Collect

A. Information You Provide to Us

• Account Information: When you create an account via Email or Google Sign-In, we collect your name, email address, and profile photo URL.

• Financial & Expense Data: Information you enter regarding shared expenses, including bill descriptions, currency, split amounts, categories, group names, notes, and debt settlements.

• Receipts & Images: When you take a photo or select an image to attach to an expense or scan a receipt, the image is uploaded to cloud storage to make it accessible to your group members.

B. Device Permissions & Information Collected Automatically

• Camera (android.permission.CAMERA): Used only when you capture photos of physical receipts for expense tracking and on-device text recognition (OCR).

• Photos & Media Storage (READ_MEDIA_IMAGES / READ_EXTERNAL_STORAGE): Used to let you select existing receipt images from your device gallery.

• Contacts (READ_CONTACTS) (Optional): If granted, used solely to let you quickly find and add friends to shared expense groups. We do not upload or store your entire address book on our servers.

• Notifications (POST_NOTIFICATIONS): Used to send push notifications when expenses are added, edited, or settled in your groups.

• Biometrics (USE_BIOMETRIC): Used exclusively for local on-device app lock functionality. Your biometric data is processed entirely by your device hardware and is never collected, stored, or transmitted by us.

• Usage & Diagnostic Data: Information collected automatically when using the App, including crash reports, system logs, device model, operating system version, and general interaction data.

2. How We Use Your Information

We use the collected information for the following purposes:

1. Provide and Maintain Core Features: Manage group expenses, calculate split balances, process settlements, and synchronize data across your devices and group members.

2. On-Device Receipt Scanning: Optical Character Recognition (OCR) via Google ML Kit processes receipt text locally on your device to help auto-populate expense details.

3. Account Management & Authentication: Authenticate user identity and ensure secure access to your data.

4. Push Notifications: Keep you updated on balance changes, group invites, and settlements.

5. App Improvement & Bug Fixing: Analyze crash logs and performance metrics to fix bugs and improve usability.

6. Advertising & In-App Purchases: Display advertisements (via Google AdMob) and verify in-app purchases (e.g., ad-free upgrades).

3. Third-Party Services & SDKs

Orbill uses third-party services that may collect information used to identify you. Below are links to the privacy policies of the third-party service providers used by the App:

We do not sell, rent, or trade your personal data. We only share information in the following situations:

• With Your Group Members: Expense descriptions, names, split amounts, and receipt attachments are visible to members of the specific group you share them with.

• Service Providers: Trusted cloud providers (such as Google Firebase) that host our database, storage, and notification infrastructure.

• Legal Obligations: If required to do so by applicable law or in response to valid requests by public authorities.

5. Data Security

We implement industry-standard administrative, technical, and physical security measures (including HTTPS/TLS encryption in transit and encrypted cloud databases) to protect your personal information. However, no electronic transmission over the internet or storage technology can be guaranteed to be 100% secure.

6. Data Retention and Account Deletion

• We retain your personal and expense information for as long as your account remains active.

• Account & Data Deletion: You have the right to request deletion of your account and all associated personal data at any time. You can request deletion directly within the App settings or by contacting us at [your-support-email@example.com]. Upon request, all your personal data, profile info, and uploaded receipts will be permanently removed from our active databases.

7. Children's Privacy

Orbill is not intended for use by children under the age of 13 (or 16 in certain jurisdictions). We do not knowingly collect personally identifiable information from children. If we become aware that a child has provided us with personal information, we will delete such data immediately.
