DAP GRADUATION – INSTRUCTION CIRCULAR

In order to preserve the honor and orderliness of the graduation ceremony, guests are reminded to abide by the Academy’s rule and protocol. It is required that everyone who attends stay for the entire event, dress appropriately, and observe proper decorum. The program will start on time at 1:00 PM, hence, graduates should be in their designated locations as advised.

Venue Entrance

The PICC Main Entrance is the entry point for the Graduates and Guests. Upon arrival, guests must proceed directly to the Registration Booth before heading to the Plenary Hall, the main venue.

Assembly and registration will be at the Philippine International Convention Center (PICC) located at Pasay City on 31 January 2024, Friday, from 10:00 - 11:00 AM. Doors to the Plenary Hall will close at exactly 12:00 PM. Late comers must inform your respective Learning/Project Managers on the time of your arrival. Upon arrival at the venue, graduates are requested to register. Registration desks will be clearly marked with directional signs and available DAP ushers with distinctive ID lace will also be there to guide you.

The Graduation Processional will be done exactly from 1:00 PM to 1:25 PM (see program flow). By this time, graduates and distinguished guests line up in order for the Processional at the entrance of the Plenary Hall

Regarding catering and meals, please be advised that outside food and snacks are strictly prohibited within the venue. In consideration of the event's schedule and your comfort, we strongly recommend that graduates take their meals before arriving at 11:00 AM. For those who may require additional refreshments, the PICC has a dining hall available to provide meal services.

Graduation Attire, Academic Sash and Stole Protocol

Men are prescribed to wear black trousers paired with a cream-colored long-sleeved barong, with a white long- short-sleeved undershirt.

Women are prescribed to wear cream-colored cocktail-length Filipiniana dress (may be knee-length, below-the-knee, or calf-length). Long (ankle-length or floor-length) and modern Filipiniana gowns are also permitted, provided they adhere to the prescribed cream, beige, or ecru color.

DAP academic gowns are to be worn only by DAP key officials, particularly by the Board of Trustees (BOT) Chairperson, DAP President, Group Head for Programs, Dean of the Graduate School, and Academy Registrar. Other distinguished guests (Academic Council Members, Heads of Agencies, Members of the Congress, Diplomatic Corps) and DAP Officers who are Master’s degree holders may wear their own academic gowns or sash.

Guests of graduating students shall be in Filipiniana/Barong Tagalog attire to follow the prescribed event dress code.

The DAP Academic Sash

The DAP Academic sash and stole are the highlights of the DAP graduation attire. Degree graduates shall be wearing the DAP sash while graduates of non-academic programs will wear the stole.

The Academic Sash or Stole Ritual

Before the ceremony. During the academic procession, the sash or stole is hung on the right arm while walking, with the right hand placed on the left side of the chest.

When standing, the sash or stole is folded neatly and placed on top of the graduate’s assigned seat.

Once seated, the sash or stole is to be folded neatly and placed on the graduate’s lap.

During the ceremony, after the conferment speech, wait for the cue from the Master of Ceremonies. Graduates will wear the graduation sash or stole right after the cue.

For Degree Programs:

“Graduates, you may now place your sash on your left shoulder”

For Executive and Short Courses:

“Graduates, you may now wear your stole”

The sash is oriented on the left shoulder, while the stole is worn as is.

The committee will provide guidance through a video demonstration on how to properly wear both the graduation sash and academic stole. This visual instructional resource will offer graduates clear, step-by-step visual guidance to ensure proper placement and professional appearance of these important ceremonial vestments.

Seating Protocols

Onstage

The Guest of Honor shall be seated in the center, with the DAP President to his/ her right, Chairperson of the DAP BOT to his/ her left.

Distinguished Guests’ Area

Priority shall be given to distinguished guests, with the front rows labeled and reserved for key and select guests; and subsequent rows or blocks for Group Heads, Center Heads, or Program Directors, and other special guests.

Graduates’ Area

Graduates shall be grouped according to their Program or Course and seated alphabetically according to their last names.

Protocols During the Ceremony

Scholars must arrive at the venue at least 3 hours before the ceremony begins. Pre-event briefings will be conducted simultaneously with distinguished guests, scholars, and their guests at different venues within PICC, which will be announced at a later date.

Mobile phones must be on silent mode during the event.
Scholars are requested to maintain decorum throughout the ceremony.
Food is not allowed within the PICC halls. Hence, scholars must have eaten lunch at restaurants outside PICC or at Cafe Via Mare located within.
Seating Arrangement: Scholars and guests will be seated in their designated areas. Ushers will guide you to your assigned seats.
Conferral of Degrees: Scholars will be called on stage individually to receive their diplomas. Scholars should follow the instructions of the stage marshals for smooth flow.

Graduation Rehearsal

Rehearsals may be done by the programs together with their respective Learning/Project Management teams.

Graduation Photo

All candidates for Master’s Degree are required to have their graduation photo taken in a local photo studio. The student must wear a Filipiniana in ecru color and the Academic Sash, for the photo. You need one graduation shot, one wearing the Sash on the left shoulder. For the photo’s background, it should be dark gray, as shown in the samples below. Request the said background color from your local photo studio.

All candidates of the following: 1) Certificate in Public Management/Development Management; and 2) Diploma in Public Management /Development Management are likewise required to have their photo taken in a local photo studio. The student must wear a Filipiniana in ecru color and their Stole worn as prescribed under Section V During Ceremony.

All candidates for graduation must submit the soft copies of the required photographs to the LMT on or before January 22, 2025. This will be used during the graduation proper and for the Transcript of Records (TOR). Send your submission through your respective LMT/Class Manager’s email address. Strict implementation of the deadline will be observed.

Claiming of Credentials

For the release of your original Diploma and Transcript of Records, please contact the Office of the Academy Registrar (OAR) through email address <academyregistrar@dap.edu.ph>. Non-completion of Admission Document Requirements and incomplete clearance forms will be grounds for withholding the release of your credentials.

Oath-Taking

During the ceremony, all students will be reciting the DAP Alumni Oath. Each student must read and be familiar with the oath to have good execution during the Commencement Exercises. Refer to Annex A of this guideline, the oath, for your reference.

DAP Hymn

All students are encouraged to sing the DAP Hymn at the end of the Ceremony. See Annex B for the lyrics of the DAP Hymn and a link to the copy of the hymn, for your reference.

Parking and Transportation

Parking is available at PICC for a fee. Scholars and guests are encouraged to arrive early to secure parking spaces.

Ride hailing services include Grab Car, Angkas, Joy Ride, Move It and public taxis.
