ADMINISTRATION
What is administration ?Administration is the process of managing activities within an organisation .Admin is also the coordinated effort to manage organisational resources and achieve objectives(Quickonomics, 2024)
Administration is very important when it comes to planning for the future of an organisation. It helps leaders think ahead and make smart choices that guide the organisation in the right direction. A good administration sets up clear rules and systems that keep everything organised and running smoothly. It also makes sure the organisation follows all the laws and regulations it’s supposed to, which helps avoid problems. In addition, administration takes care of how resources like money, staff, and equipment are shared and used. By doing this wisely, it helps the organisation work better and reach its goals more efficiently (Quickonomics, 2024)
ADMIN ROLES
At Hillbrow radio i was tasked to do different things one of them it was administration and this gave me a chance to be more experienced especially when I am going to a different organisation next year. I was tasked to do administration by writing to different schools to ask their permission to allow us as the Hillbrow radio organisation to promote Miss Hillbrow and encourage school children who are doing grade 7 to grade 12 to join the Miss Hillbrow beaty pageant that will take place on the 6th of December.
Since Hillbrow radio is a media organisation most of the time we will be invited to different events to cover the event sometimes we will be invited to media conferences or we will go to the constitutional hill when there's an event there to collect news therefore we have to RSVP to attend those events.
The South African BRICS youth association invited us with other media organisations therefore I had to call PR Liason Puseletso to RSVP for the event and to tell her how many people were coming
In preparation of the Open Mic event that took place on the 6th of September 2025 I was tasked to call the artists who were supposed to perform on the event to confirm that they were still coming in order to record the accurate number of performing artist and to also remind them to send their songs through the email address of Hillbrow Radio.
Since Hillbrow radio is an organisation and a business therefor they offer different services for their clients which are advertising services ,interview slots etc. .So I was tasked to type another document which is like a price list and explaining more about their services and how much do they cost.
MY ROLE CSI
For Mandela day I did administration by recording the number of food parcels that were available , record the number of the elders who came because we did not want to see any elder leaving without the food parcel therefore we had to make sure that the food parcels were enough for our elders .I also had to calculate the number of chairs we borrowed and fetched to make sure that we return the same number of chairs when we return them .It was a great event because every elder got their food parcels and every elder left the event with a happy smile.
REFLECTION(KOLB'S THEORY OF REFLECTION
Kolb's theory of reflection is a theory that states that we learn through experience by doing something, thinking about it or reflecting about it, learning from it and finding ways to do it better next time .It is a learning circle that helps us learn and grow from real life events(Kolb, 2015)
This theory was created by David Kolb a thoughtful education expert .He created this theory in 1984 getting the inspiration from other great thinkers like John Dewey and Jean Piaget, who also believed that experience is the heart of learning(McLeod,2025).
Importance of the theory?
The theory is very important because it helps us to learn and reflect from everything that we do in our every day lives .It helps us grow because if you learn and reflect about your actions it makes you grow and do better next time and be a much better person.
How was it created and how does it work?
In order to create this theory David Kolb looked at how people learn and created a 4 step cycle :
Concrete Experience: This when you do something
Reflective Observation: This is when you think about what happened and how it made you feel
Abstract conceptualisation: This is when you come out with new concepts or terms out of the experience
Active experimentation: This is when you use your experience to do better next time.(Kolb, 2015)
I will reflect on what I did, how I felt, what I learned, and how I will improve in the future .
Concrete experience
During my internship at Hillbrow Radio, I was given different administration tasks that helped me gain real experience. I wrote emails to schools, asking for permission to promote the Miss Hillbrow beauty pageant to learners in Grade 7 to Grade 12. I also typed a price list document that explained the services Hillbrow Radio offers, like advertising and interview slots etc.
One of my biggest tasks was making professional phone calls. I had to RSVP for events, confirm attendance with artists for the Open Mic event, and remind them to send their music. I also called the PR Liaison, Puseletso, from the South African BRICS Youth Association to confirm how many people from our team were attending.
At first, I felt very shy and nervous because it was my first time doing professional calls. Some artists didn’t pick up their phones, and that made me feel frustrated and unsure of what to do next. But I kept trying, and slowly I started feeling more confident.
Reflective observation
Reflective observation is the second stage in Kolb’s Experiential Learning Cycle, where you take time to think about what happened, how it made you feel, and what you noticed during the experience. Kolb (2015) explains that reflective observation involves reviewing and thinking deeply about an experience from multiple angles. McLeod (2025) highlights that this stage helps learners develop insight by analysing their actions and feelings. The next paragraph will state how I felt
After doing these tasks, I took time to think about how everything went. I felt proud because I was trusted with important responsibilities. But I also remembered how scared I felt before making my first call. My hands were shaking, and I kept wondering if I would say the wrong thing. When some artists didn’t answer their phones, I felt stressed and even a little helpless. I didn’t know if they would show up or not. But I realised that this is part of working in media and events things don’t always go smoothly, and you have to stay calm and try again.
I also saw how emails and documents are important in administration. They help keep things organised and professional. I learned that communication whether by phone, email, or writing is a big part of making an organisation run well.
Abstract conseptualisation
Abstract conceptualisation is the third stage in Kolb’s Experiential Learning Cycle, where you begin to make sense of your experience by forming ideas, theories, or general principles. It’s about thinking deeply and logically turning what you’ve done and reflected on into structured knowledge that can guide future actions. Kolb (2015) describes abstract conceptualisation as the process of forming theories and ideas based on reflection. McLeod (2025) explains that this stage helps learners move from experience to structured understanding. The next paragraph will show you the concepts I came up with in this whole experience.
From this experience, I learned that administration means more than just doing tasks ,it’s about planning, communicating, and solving problems. I now understand that good communication helps build trust and keeps events running smoothly.I also learned that it’s okay to feel shy or nervous at first. What matters is trying, learning, and improving. Making phone calls became easier the more I practiced. I learned that being brave, even when you’re scared, helps you grow.
Kolb’s theory helped me see that learning doesn’t only happen in class ,it happens when you do something, reflect on it, understand it, and then do it better next time.
Active experimentation
This is the last stage in Kolb's experiential learning cycle which refers to using the experience that you have to future events or situations. Kolb (2015) states that active experimentation is the stage where learners apply new ideas to future situations. McLeod (2025) highlights that this phase helps learners test and refine their understanding through practical action. The next paragraph state will explain more to you about how will i use this experience to my next workplace
Next time I work in administration or attend a new internship, I will be more confident when making phone calls. I will prepare what I want to say before calling, and I will stay calm even if someone doesn’t answer. I will also keep improving my writing skills for emails and documents.
I want to be clear, polite, and professional in everything I write. I will use what I learned at Hillbrow Radio to help me do better in the future. Most importantly, I will remember that it’s okay to feel shy or frustrated but I must keep going. Every experience teaches me something new, and I’m becoming stronger, smarter, and more confident every day.
Conclusion
This experience taught me that learning doesn’t only happen in the classroom it happens when we try new things, even if they feel scary at first. I learned that good communication is the heart of administration, and that being brave helps us grow. Even when I felt frustrated or nervous, I kept going. Now I feel more confident and ready to take on new challenges. I will carry these lessons with me into my next work place and in life in general.
