What this app is

NSW Parent Portal is the parent app for our madrasas. Accounts are created by the madrasa or the office. There is no public sign-up. Peterborough and Manchester records are kept in separate databases. You only see the children linked to your account.

The app lets you sign in, read madrasa messages, see each child’s class, attendance, behaviour notes and learning progress, request leave, view fees and pay by card, contact the office, export your data, and use an optional Halal product checker.

Information we process

About you, the parent or guardian:

- Name and contact details

- Sign-in details (email or username and password)

- Which madrasa campus your children attend

- A “remember me” session stored on this device, if you turn that on

- A notification token for this phone, if you allow notifications

- Messages you exchange with the madrasa, and leave requests you send

About each linked child:

- Name, class and attendance

- Behaviour notes and learning progress, including Let’s Learn Islam

- Fee records and the result of payments

- Messages the madrasa sends about the child

Children’s data is processed because you are their parent or guardian. A child does not create their own account in this app. You can ask us to correct, export or erase your child’s data.

If you have told the madrasa about a health condition, we use it only for safeguarding and first aid.

Payments

Fees can be paid by card through SumUp. You enter card details on SumUp’s pages. Those details never reach us. We only receive the payment result, such as whether the payment succeeded and the amount.

Notifications

If you allow notifications, Google Firebase Cloud Messaging gives this device a token. We store that token against your account so we can alert you, for example when the madrasa sends a message. The token is removed when you sign out. You can turn notifications off in your phone’s settings at any time. Refusing notifications does not stop you using the rest of the app.

Camera and the Halal checker

The app may ask for the camera. It is used only to read a product barcode in the Halal checker. We do not save or upload the camera picture. You can refuse the camera and type the barcode instead, or ignore the checker and still use the app.

When you look up a barcode, the app sends that barcode to Open Food Facts (world.openfoodfacts.org) and receives the public product record, such as the name, brand and whether a Halal label is listed. That lookup is a helper only. It is not a Halal certificate. Open Food Facts does not receive your name, your child’s details, or your account.

How we use this information

We use it to run the madrasa, teach and keep children safe, tell you about your child’s attendance, learning and messages, collect fees, answer leave requests, and meet charity accounting duties.

We do not use advertising or analytics trackers in this app. We do not sell personal data.

Who we share it with

We use these processors, each under a data processing arrangement where one is required:

- Google Firebase, for sign-in, the database, file storage and push notifications

- SumUp, for card payments

- Our email provider, to send messages to parents

- Twilio, where we send text messages

- Open Food Facts, only for a barcode you choose to look up

- Google Maps or your maps app, and OpenStreetMap, only if you open the office map or directions from the Contact page

Madrasa staff see a child’s records only as far as their role allows. Peterborough staff see Peterborough records. Manchester staff see Manchester records.

Lawful bases

We rely on legitimate interests and our education work for running the madrasa and this app. We rely on consent for notifications, the camera, and photographs or media where we ask for them. We rely on consent or vital interests for medical and first-aid information. We rely on legal obligation where we must keep finance and charity records.

How long we keep it

Messages to parents are kept for about 24 months. Fee records may be anonymised if you ask for erasure, but we keep the amounts where the law requires us to keep accounts. A rejected admission application is kept for about 12 months. Notification tokens are removed when you sign out or turn notifications off.

Your rights

You may ask for access, correction, erasure or restriction for yourself or your child, and you may object to processing based on legitimate interests. In the app, open Profile and then Export my data to download a copy.

Contact the madrasa office for your child, or email info@naginasocialwelfare.co.uk. You may complain to the Information Commissioner’s Office at https://ico.org.uk.
