Committee Descriptions
Advertising / Sponsorship: Obtain as many sponsors/ endorsements from other organizations as possible to put on our Class of 2025 website.
Baby Picture Wall: Collect baby pictures and organize a Memory Wall or individual Memory poster board for each graduate.
Buses: Organize how the kids are getting on the buses and tracking which buses they're on; ensure they're registered and checked in. Confirm there are enough volunteers on every bus.
Candy Bar: Get the supplies for and set up a candy station where kids can stop by and snack on treats throughout the evening.
Class Video: Source footage from parents/students and create 10- to 15-min video to be played at the end of the evening.
Communications: Send out emails via Parent Square and messages to school administration for Kip's Tips. Oversee the creation of social media graphics (not necessarily create them directly). Send out mailers as appropriate. Put up banners around campus.
Decorations: Work with a crew to create ideas and decorate the venue on the day of graduation.
Fundraising: Organize restaurant dinner nights, yard sign sales, BTS Night offering, reserved parking spot sales, and summer car wash. Can be owned by individual leads.
Mandarin Outreach: Connect with the non English speaking community and encourage engagement.
Permission Slips: Ensure every student that is registered to attend Grad Night has a signed permission slip before June 5th.
Raffles & Prizes: Determine what types of prizes, and how the prizes will be donated/ collected from parents.
Registration - Pre-Event: Receive Formsite registration data from the PTSA and import into Google Sheets, working with the Treasurer closely in collecting checks and signups, create A-Z lists for the check-in stations
Registration - Night-Of Check-in: Organize non-senior parents to manage post graduation check-in. Students turn in Cap and Gown, get checked off, and if paid, receive a Grad Night ticket to get on a bus.
Snacks for Buses: Put together simple snack bags for students to take and eat on their way to the venue.
Slide Show: Collect photos from senior students / parents and create a slide show that will be played throughout the evening.
Spanish Outreach: Translate all Comms into Spanish for the Comms Lead to distribute. Connect with the non English speaking community and encourage engagement.
Treasurer: Prepare an estimated budget with input from all of the Grad Night leads. The budget should have each activity and committee as a separate budget line item. After the budget has been approved, the leads are expected to maintain spending within the approved limits.
Volunteer Management: Oversee that every committee that requires volunteers details and submits what they need and oversee the master sign-up sheet. Publicize the opportunities for Junior Parents.
Website: Create a dedicated website with relevant information, and work with chairs to keep it up-to-date with the latest news.
