Committee Descriptions
Baby Picture Wall: Collect baby pictures and organize a Memory Wall or individual Memory poster board for each graduate.
Badge/ID: Create and assemble IDs for students/charperones with registration data; obtain student photos, order badges/lanyards.
Bag Check/Phone Charging: Organize logistics for bag check and phone charging at venue.
Buses: Organize how the kids are getting on the buses and tracking which buses they're on; ensure they're registered and checked in. Confirm there are enough volunteers on every bus.
Buses - Snacks: Put together simple snack bags for students to take and eat on their way to the venue.
Candy Bar: Source supplies and set up a candy station where kids can stop by and snack on treats throughout the evening. Include containers for display and a way for students to take away snacks.
Class Slide Show: Collect photos from senior students / parents and create a slide show that will be played throughout the evening.
Communications: Send out emails via Parent Square and messages to school administration for Kip's Tips. Oversee the creation of social media graphics (not necessarily create them directly). Send out mailers as appropriate. Put up banners around campus.
Fundraising - General: Separate fundraising efforts can be owned by individual leads. Open to new ideas.
Fundraising - Dining Out: Organize and advertise restaurant dinner nights.
Fundraising - FCC Parking: *Non-senior parent; Manage parking data from Formsite sales; Oversee process and organize volunteers to park cars at Foothill Covenant Church across from Spartan Stadium for Graduation.
Fundraising - Yard Signs: Manage yard sign data from Formsite sales; order and distribute yard signs.
Medical Outreach: Follow up with registration data to confirm and document any special needs required at venue (e.g. Rx, physical accommodations, other).
Prizes & Giveaways: Source prizes and plan giveaways at event.
Registration - Pre-Event: Manage Formsite registration form(s) and data; work with Treasurer to confirm payment and resolve issues (e.g. incomplete/duplicate registrations); create lists for outreach and check-in stations; plan for walk-up registration.
Registration - Night-Of Check-in: *Non-senior parent; Manage post graduation check-in and walk-up registration with payment. Students turn in Cap and Gown, get checked off, and if paid, receive a Grad Night ticket to get on a bus.
Senior Favor: Order traditional favor for the senior class - paid for by the PTSA; Need a distribution plan for at the event and for those seniors that don't attend.
Spanish Outreach: Translate all Comms into Spanish for the Comms Lead to distribute. Connect with the non English speaking community and encourage engagement.
Treasurer: Work with Stripe account to receive, confirm and post/deposit payments from ticket sales and fundraising efforts. Collect cash/checks from financial office. Create financial documentation for PTSA.
Volunteer Management - Pre-Event: Recruit and organize "night-of" volunteers as needed for all committees (eg., check-in, bus loading, venue setup, venue chaperons, etc.). Oversee master sign-up sheet and publicize opportunities for parents of underclassmen. Work with committees to determine if volunteer training is necessary.
Volunteer Management - Night-Of: *Non-senior parent; Check-in and point of contact for all "night of" volunteers.
Website: Create a dedicated website with relevant information, and work with chairs to keep it up-to-date with the latest news.
