Process to apply for Colours
This is the process of how to apply for District or Provincial Colours.
Please take note that it is not an easy process. Strict rules apply and it might be time-consuming. Each Province works in different ways but this is a BASIC guideline.
Take note the Line Function:
Athletes participating in events need to be affiliated to their different Provincial Sport Federations.
The Provincial Sport Federation needs to be affiliated with their Provincial Sports Confederations as well as their National Federation that means the Sport Federation needs to be in good standing with both the Sport Confederation and their National structure.
Sport Confederations are members of SASCOC (South African Sport Council and Olympic Committee
**If ANY of these line functions are broken the awarding of colours MIGHT not be possible.
What do you need to do?
Keep all records!!
There has to be evidence of how the athletes qualified through a process of difficulty to get to Districts and/or Provincial or International Tournaments.
The National Federation/Association needs to submit a letter of approval of acknowledgement about the different competitions including the up-and-coming different National tournaments.
Compile the list of athletes who qualified for districts or provincial tournaments. (See excel sample below).
Submit all documentation to your Provincial Federation as they have to submit documentation 30 days prior to the date of Provincial Tournament. (14 days before for District Tournaments) ** Subjected to change at any time.
FOLLOW UP, FOLLOW UP, AND FOLLOW UP CONSTANTLY!! (REMEMBER THEY ALSO HAVE FULL TIME JOBS AND ARE EXTREMELY BUSY)
Wait for approval Letter from different Sport Confederations.
After the letter from Sport Confederation is received, the process of approved provincial clothing can be made at supplied provincial clothing manufacturers.
That letter from the Sport Confederation with the different name list or total provincial kits required has to be send to the clothing manufacturer provided.
Student Documentation needed for District/Provincial Tournaments: (this might vary from different sporting codes and also should they need it)
Certified copy of SA ID/Birth Certificate or Passport Document.
2 ID Photo’s attached on their entry form (if needed)
Entry Form/ Program of District Tournament AND/OR Provincial Tournament
Code of Conduct
Liability Weaver
Student’s Parents Medical Information (with a copy of medical card) & any allergies of student.
Indemnity Form filled in by Parents (Should they travel with school or other transport)

TAKEN FROM THE SPORT CONFEDERATION COLOURS POLICY
14(1) The official application form annexed herein as annexure “A” for the award of provincial colours is obtainable from the SC’s (Sport Confederations) offices.
14(2) Only applications properly completed will be considered. All applications for provincial colours should be submitted within (30) thirty days of the event for which provincial colours are applied.
Certification and ratification
14(3) Application forms must be completed even if the athletes in question have previously received colours. After the award of colours has been ratified, the names of the recipients are entered onto the central provincial Colours Register (data base). Certificates for recipients of provincial colours are issued by the SC.
Documentary proof of national status
14(5) Documentation providing the necessary proof of the status of the national event in question and confirming the invitation by the host National Federation, must accompany the application. The Board may, at its own discretion, consult the host province /NF (or event organiser) in order to ascertain the status of the particular event.
Written confirmation
14(6) The applicant provincial federation will be advised in writing of the outcome of its application for the award of provincial colours. In all instances the decision of the Board will be final.
Purchasing
14(7) Relevant insignia and material can be purchased directly from the approved official suppliers. Silk screening or any other form of reproduction of the official badge or emblem on not-for-sale items required by PF’s e.g., tog bags, shirts, caps, T-shirts, pins or on leisure clothing, etc. or for reproduction on commemorative/special award medals/trophies, must be approved by the SC to ensure quality control.
Hand-over of Provincial colours
14(10) In order to afford the necessary status to the award of provincial colours, it is strongly recommended that provincial federations arrange a proper handover function to which a delegated representative of the SC or NCB member may be invited in order to hand over the provincial colours prior to the participation of the athletes. At this occasion, the provincial federation in question must also hand to all recipients of provincial colours, a copy of the federations’ Code of Conduct in order to ensure that team members behave in a manner that suits their status when accepting provincial colours. A copy of the code must also be filed with the SC.
