Medima HR is a Human Resources (HR) management application used for employee attendance, leave requests, overtime, sick leave, permission requests, and work visits. This Privacy Policy explains how we collect, use, store, and protect user data when using the App.
By using the App, you agree to the collection and use of data as described in this policy.
The App accesses the device's location (GPS) for the following purposes:
To verify the employee's location when performing clock-in/clock-out attendance, with a minimum accuracy tolerance of 20 meters from the designated location point.
To record the location when submitting a work visit request.
To detect the use of fake GPS applications, in order to prevent fraudulent attendance records.
Location data is only collected when the user actively performs an attendance or visit action, and is not tracked continuously in the background outside of these activities.
When submitting a work visit, the App requests camera access to take a photo directly through the camera (not from the gallery) as proof of attendance/visit. The captured photo includes an overlay containing:
The location address
GPS coordinates
Date and time the photo was taken
This photo serves as official documentation of the visit and evidence of the employee's field activity.
Data related to leave, permission, sick leave, and overtime requests, including notes/reasons entered by the user, submission dates, and approval status from the supervisor/HR admin.
Name, email address, employee ID, and other identifying information used for login and authentication within the company's HR system.
The collected data is used to:
Accurately verify employee attendance and prevent attendance fraud (including fake GPS spoofing).
Document employee work visits to specific locations.
Process leave, permission, sick leave, and overtime requests.
Provide attendance and performance reports to the HR/management of the company using the App.
We do not sell users' personal data to third parties. Location data, photos, and employment data may only be accessed by:
The HR admin/management of the company where the user works (as the authorized party over its employees' data).
Server/hosting service providers we use to store data, under appropriate confidentiality agreements.
Data is stored on secure servers and is only accessible to authorized parties. We implement reasonable technical and organizational measures to protect data from unauthorized access, loss, or misuse.
Data is retained for as long as the user's account remains active, or as long as required for employment administration purposes, in accordance with the policies of the company using the App.
