1. Introduction
ManagifyHR is a Human Resource Management (HRM) application used by companies to manage employee attendance, leave, and related HR functions. This privacy policy outlines what data we collect, why we collect it, how we protect it, and how users can control their personal information.
2. What Data We Collect
Account & Identity Information
Full Name, Email, Phone – entered by your organization’s admin via Admin Panel
Temporary Password – sent to the registered email address
Profile Images, Aadhar & PAN Documents – uploaded via file picker by employees
Authentication Flow
Login is available only to employees added by Admin
At first login, users are required to set a secure password (encrypted using BCrypt)
Sessions are terminated after a period of inactivity
Location Data
Foreground Location (ACCESS_FINE_LOCATION, ACCESS_COARSE_LOCATION)
Purpose:
To ensure employees are physically present at their designated workplace when punching in or out.
How it works:
When the user taps “Check-In” or “Check-Out,” the app requests foreground location permission. The latitude and longitude are captured and verified against the company's registered coordinates. Punch-in is allowed only if within a geofenced radius (e.g., 100 meters).
Why it's necessary:
This prevents location fraud and ensures time attendance logs are accurate and fair for all employees.
Background Location (ACCESS_BACKGROUND_LOCATION)
Purpose:
Used only when geofencing is enabled by the organization to continuously monitor on-site compliance during working hours.
Conditions for usage:
Enabled only if the admin configures background tracking
Requires explicit user consent (“Allow all the time”) through a rationale screen
What we show:
“ManagifyHR needs background location access to ensure your check-ins comply with office location policy. This helps prevent attendance misuse and supports accurate payroll.”
Notification shown while running:
“ManagifyHR is monitoring your location for attendance compliance.”
Media & Document Access
Uses Android Scoped Storage
We do not request broad file permissions
Push Notifications (FCM)
FCM Token is stored only when notifications are enabled by the user
Used to:
Notify admins when an employee submits a resume
Inform employees of new job openings
Send real-time updates about leave request approvals/rejections
Users can toggle notifications on/off from the app settings

Notification Settings ---> Respect user preferences for push alerts
FCM Token ---> Route real-time updates securely and only when enabled by the user

This Privacy Policy may change based on new features or policy updates. Major changes will be notified via app or email.

. our app is an internal HR tool meant only for company employees (adults).
It collects sensitive data like location, identity, and HR documents (Aadhaar, PAN), which are not suitable for minors.(Adhar ,Pan data come from admin panel while adding new employee in admin panel)
Checking the box ensures minors can't install or use your app, which helps prevent Play Store policy violations.
