2. CHANGES AND CANCELLATIONS
In the event of a cancellation made less than 72 hours in advance, a 50% fee of the total amount will be charged as a penalty.
Once the event has been fully paid and confirmed for a specific date, any subsequent cancellation does not guarantee a refund.
Once the event is confirmed and a deposit has been made, no changes to the furniture will be allowed.
No changes will be made after the setup has been completed.
No refunds or adjustments will be granted for furniture that was not used during the event.
3. CANCELLATION DUE TO WEATHER CONDITIONS
If the event cannot take place due to force majeure situations such as hurricanes, earthquakes, fires, government restrictions, or other extraordinary circumstances beyond the control of the client and the company:
No cancellation penalty will be applied.
The client may reschedule the event at no additional cost, subject to the availability of the originally rented furniture.
If any item is unavailable on the new date, similar alternatives in quality and style will be offered, or the budget will be adjusted accordingly.
This policy only applies if a state of emergency is officially declared or if there is clear evidence that the event cannot take place due to serious external causes.
4. SETUP AND BREAKDOWN
Furniture rental is for a calendar day.
Early setup requests are subject to availability and will be scheduled at a flexible time.
Setup and breakdown services are mandatory to ensure professional handling of all furniture.
The setup area must be empty and fully accessible. Magnolia Rentals staff will not move third-party furniture or perform complex maneuvers.
If moving is possible without risk to personnel or furniture, an additional 5% fee of the total quote may apply and will be notified to the client before delivery.
Furniture must not be exposed to rain, excessive humidity, or direct wind, as this may cause damage.
For outdoor events, a tent covering 100% of the furniture is required. If any item is damaged due to inappropriate weather exposure (rain, mud, humidity, etc.), the client must cover repair or replacement costs, as determined by Magnolia Rentals.
A one-hour grace period is granted for the start of setup or breakdown after the agreed time. After that, a waiting fee of $2,500 MXN per hour will be charged. We recommend having an on-site contact person to facilitate timely access for the setup crew.
Any request for staff presence during the event must be agreed upon in advance and will incur an additional fee.
Furniture will be set up once only; it is strictly prohibited to move items without express authorization. Only Magnolia Rentals personnel are permitted to handle the furniture.
5. MAGNOLIA RENTALS STAFF
Magnolia Rentals and the Client acknowledge that no labor relationship exists between the two parties.
 Each party is responsible for its own staff and all corresponding legal obligations.
 Magnolia Rentals provides its services independently and is solely responsible for the setup and placement of rented furniture according to the agreed logistics.
6. CLIENT PICK-UP OF FURNITURE
Pick-up and return at the warehouse must be made between 10:00 a.m. and 4:00 p.m. Monday to Friday, and 10:00 a.m. to 1:00 p.m. on Saturdays.
The client must bring a suitable vehicle of adequate size for safe transportation of the furniture.
If warehouse staff determine the vehicle is unsuitable, the furniture will not be released.
If the furniture will be used for setups (events, sessions, or installations), it is strictly prohibited to be handled, set up, or installed by external personnel.
Only authorized Magnolia Rentals staff may perform the setup, arrangement, and distribution of the rented furniture.
If the client or third parties unrelated to the Magnolia team handle the furniture, the company will not be held liable for structural or aesthetic damage or misuse, and an additional charge may apply for damage or improper use.
Furniture must be returned on the agreed date and time. Changes are only valid with prior authorization from the Account Executive.
Delays of more than 12 hours will result in an additional full-day rental fee for each 12-hour delay period.
7. DAMAGES, LOSSES, AND LIABILITY
The client is responsible for the safety of the furniture during the event.
Any damage or loss will be charged at 100% of the commercial value.
It is strictly prohibited to apply vinyls, paint, nails, staples, or any modification to the furniture. Any such damage will be considered a total loss.
A responsible person must be designated to receive and return the furniture, and must sign the delivery and pickup form during setup and breakdown.
If no representative is present at the time of breakdown, the client agrees to accept the damage or loss report made by Magnolia Rentals staff as valid.
