This Privacy Policy describes how Madrasa Management System ("we", "us", or "our") collects, uses, stores, and protects your information when you use the Madrasa Management System mobile and web application ("App").
By using the App, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree, please do not use the App.
1. ABOUT THE APP
Madrasa Management System is an administrative portal for registered madrasa administrators. Through the App you can:
- Register and manage your madrasa profile
- Manage students and family records
- Manage muallims (teachers) and management committee members
- Create and manage events
- View and track fee payments and donations
- Review and respond to family enquiries
- Approve student registrations submitted by families
2. INFORMATION WE COLLECT
2.1 Administrator Account Information
When you register or sign in as a madrasa administrator, we collect:
- Madrasa name
- Administrator name
- Email address
- Password (stored securely by our authentication provider; we do not store your plain-text password)
- Madrasa address, area, state, district, and mobile number
2.2 Madrasa Operational Data
As you use the App, you may enter or manage data about:
- Family profiles (guardian name, house details, contact numbers, fee information)
- Students (name, age, relation, class, gender, monthly fee, approval status)
- Muallims/teachers (name, class duty, mobile number)
- Management committee members (name, role, mobile number)
- Events (title, description, date, location, images)
- Enquiries received from families (name, mobile, message)
- Payment and fee records (amounts, receipt numbers, payment status, donation categories)
2.3 Payment-Related Information
The App records fee and donation transactions processed through Razorpay, including:
- Payment amount and type
- Receipt number and transaction references
- Associated family or student (where applicable)
We do not store full card numbers, UPI PINs, or net-banking credentials. Payment card and banking details are handled by Razorpay according to its own privacy policy.
2.4 Automatically Collected Information
When you use the App, limited technical data may be collected automatically, such as:
- Device type and operating system
- App version
- Network connection status
- Log data related to authentication, errors, and service performance
We do not request access to your device camera, microphone, contacts, or precise GPS location.
3. HOW WE USE YOUR INFORMATION
We use the information we collect to:
- Create and manage madrasa administrator accounts
- Register madrasas and link them to approved administrative users
- Enable management of students, families, staff, and events
- Track fees, donations, and financial records
- Generate and manage payment receipts
- Review student registration requests from families
- Respond to enquiries submitted through Madrasa Family
- Provide customer support
- Maintain security, prevent fraud, and improve the App
4. HOW WE SHARE YOUR INFORMATION
We do not sell your personal information.
We may share information only in the following cases:
4.1 With Families Using Madrasa Family
Information you manage in the App (such as events, fee records, and enquiry responses) may be visible to enrolled families through the Madrasa Family app, limited to their own madrasa and their own records.
4.2 With Platform Administrators
Authorized super administrators of the overall Madrasa Management platform may access madrasa registration details and approval status for platform operation, support, and compliance purposes.
4.3 Service Providers
We use trusted third-party services to operate the App, including:
- Supabase (authentication, database, and secure data storage)
- Razorpay (payment processing)
- Google Fonts (typography delivery, where applicable)
These providers process data only as needed to provide their services and are bound by their own privacy and security obligations.
4.4 Legal Requirements
We may disclose information if required by law, court order, or government request, or to protect the rights, safety, and security of users, madrasas, or the public.
5. DATA STORAGE AND SECURITY
Your data is stored on secure cloud infrastructure provided by Supabase. We use industry-standard measures such as encrypted connections (HTTPS), role-based access controls, and database row-level security to protect information.
As a madrasa administrator, you are responsible for using the App lawfully and only accessing data necessary for your madrasa’s operations.
No method of transmission or storage is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.
6. DATA RETENTION
We retain information for as long as your madrasa account is active or as needed to provide the App’s services, comply with legal obligations, resolve disputes, and enforce our agreements.
Financial and payment records may be retained for accounting, audit, and legal compliance purposes even after account closure, where permitted or required by law.
If you request deletion of your administrator account or madrasa data, contact us using the details below. Some data may need to be retained where required by law or for legitimate operational reasons.
7. YOUR RIGHTS AND CHOICES
Depending on applicable law, you may have the right to:
- Access the personal information we hold about you
- Correct inaccurate or incomplete information
- Request deletion of your account and associated data
- Withdraw consent where processing is based on consent

8. INFORMATION ABOUT STUDENTS AND FAMILIES
The App processes personal information about students and families that is either:
- Entered by madrasa administrators, or
- Submitted by families through the Madrasa Family app
Madrasa administrators must handle this information responsibly and in accordance with applicable privacy and education-related laws. Families may contact their madrasa or us regarding access, correction, or deletion requests relating to their data.
9. THIRD-PARTY LINKS AND SERVICES
The App may integrate with third-party payment services (such as Razorpay). We are not responsible for the privacy practices of third-party websites or services. We encourage you to review their privacy policies.
10. CHANGES TO THIS PRIVACY POLICY
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this document. Continued use of the App after changes become effective means you accept the updated policy.
