The purpose of this handbook is to outline the policies and procedures that I operate as a licensed provider under Texas Department of Family and Protective Services (DFPS). You have the right to review a copy of the Minimum Standards for Licensing Child-Care Centers and the most recent inspection report which will be posted on the bulletin board located in the hallway. I give the children under my care the utmost in quality care. I open the doors of my “home”, not the doors of my “center”. This means that they become part of the family. They are treated with abounding love and respect. The number of children at Little Leaf Daycare is kept to no more than six children with a maximum of two of those children being under the age of two. This keeps the care individualized and personal. Every infant will be held for feedings or even if they just need a gentle touch. I will get down on toddlers and preschoolers eye level and communicate with them. Hugs and patience will be abundant. Above all your children will be cared for in my warm, loving home where only their best interests will be taken into account.

This family childcare home is licensed by The Department of Family and Protective Services. I care for children between the ages of 6 weeks and 12 years old. Normal business hours are Monday through Friday from 7:30am. – 5:30pm. Weekend care or care before or after regular business hours, is handled on a case-by-case situation. Each child will be contracted for care with specific hours. I am open to each child based on the hours requested based on your duty/work hours. You are required to give me a two week notice, when there are any changes to your duty/work hours. Spaces and Times are limited, so please specify exact times and days you will need care.

Extended Care: For any Holidays that I am scheduled to be closed and I am available to provide care, I will inform each parent.
Parents, if there is a day I am scheduled to be closed and you might need that day (or half day) to run errands, buy or wrap xmas gifts without the kids etc, let me know and I might be available.
I use closed days for Dr appts and can move them around to AM or PM appts according to works best. Of course this isn't guaranteed but I will try to work with parents. Please have a back up plan just in case!
Vacation/Personal Days

Provider Vacation: I reserve the right to take up to 5 business days of fully paid vacation time each year. Please understand this is my business and I do not schedule vacations based on when I contract a new child or how long a child has been in care. I will give 2 weeks advance notice of any expected vacation dates. Child/Parent Vacation: Notification of vacations requires a notice 2 weeks in advance. You are still required to pay your weekly childcare fees while your child is on vacation. This reserves your childcare space in Little Leaf In Home Day Care
Provider Personal Days: I reserve the right per calendar year 5 paid sick days, 5 personal days, and 5 paid professional days (for training) per calendar year. Personal/sick days will be taken if I have a family emergency and need to go out of town, or if I am sick or one of my immediate family members becomes ill. You will be notified as soon as possible when personal days will be taken. Advance notice will be given if a professional day is used. It is the parent’s responsibility to obtain substitute care during these times, and to pay for their services. However, I will assist you in this matter if needed but, I will not be solely responsible for finding you care on short notice, nor will I be responsible for the actions of the provider while your child is in care.
If your child will not be attending, please text 1 hour in advance of the absence. If your child will be coming in later than usual please let me know ahead of time. This helps me prepare meals and activities accordingly.
Child Illness: Please notify me if your child has become ill when they are not in care with me or if your child has to be seen at the Emergency Room for any reason before you bring them back to my daycare home. If your child is absent from childcare due to illness you are still required to pay your weekly fees. If your child is hospitalized during the week of care, I will credit your account ½ of the daily rate that he/she is hospitalized. Please do not use this to get reduced rates on your weekly fee; a doctor’s note will be needed to verify the validity of the child’s hospital stay; unless provider states otherwise.
You are welcome to visit your child at my childcare home any time while he or she is present on a scheduled basis. I just ask that you are courteous and mindful of how children act when others are present. For this reason, I ask that due to the privacy and protection of all daycare children, if parents visit it will be with their child only as to not startle or rile up the other children. Upon your departure, if your child is crying, or is in a total devastating state please be prepared to take your little one home.
(When other people enter, behaviors may escalate, kids see one parent and want to see their own, babies cry etc.)
Either party may terminate the contract with a two-week written notice or text message.
Both parties reserve the right to terminate without notice if the other party is in substantial violation of the agreement and/or the safety or health of children or parties involved are endangered.
Any late fees and/or tuition payments must be paid in full at time of two-week notice. If all fees are not paid in full at time of termination, legal action may be taken with the parent’s being liable for all unpaid payments, late fees, compensation to the provider and any legal fees incurred.
I will terminate your childcare arrangements immediately for any of the following reasons (but not solely limited to):
Failure to comply with the policies set forth in this book.
Failure to comply with the contract.
Destructive or hurtful behavior of child that persists even with parent cooperation in stopping the behavior.
Non-payment of childcare fees or late and/or recurring late payment of fees.
Failure to show up for 5 days in a row without any communication.
Failure to complete required forms.
Blatant disrespect towards provider or provider’s family.
If parents knowingly bring their child ill.
You are still responsible for payment for the remainder of payments left in the month, depending on the payment date scheduled when termination occurs. If termination occurs on the last payment then no payment will be due at the time of termination.

Admission and Enrollment:
We welcome children with special needs into our daycare, provided that we can reasonably accommodate their needs within our program.
Prior to enrollment, we request open and honest communication from parents regarding their child's special needs, including any medical conditions, developmental challenges, or behavioral considerations.
Individualized Care Plans:
Upon enrollment, we collaborate with parents and relevant professionals to develop an individualized care plan for children with special needs. This plan outlines specific accommodations, adaptations, and support strategies to meet the child's unique needs.
We review and update the care plan regularly to ensure it remains current and effective in supporting the child's development and well-being.
Training and Support:
Provider(s) receive ongoing training and support in best practices for accommodating children with special needs.
We strive to create an inclusive environment where all staff members are knowledgeable, compassionate, and equipped to meet the diverse needs of the children in our care.
Inclusive Environment:
We promote an inclusive atmosphere where children of all abilities can interact, learn, and play together.
We encourage positive peer interactions and teach children to embrace and celebrate differences in others.
Communication and Collaboration:
We maintain open and transparent communication with parents regarding their child's progress, challenges, and achievements.
We collaborate closely with parents, therapists, educators, and other professionals involved in the child's care to ensure consistency and continuity of support.

Discipline/Guidance Policy
At Little Leaf, we believe in fostering positive behavior and promoting a respectful and nurturing atmosphere where every child feels valued and supported. Our discipline/guidance policy is guided by the following principles:
1. Positive Reinforcement:
We emphasize positive reinforcement to encourage and reinforce desirable behaviors. Praise, encouragement, and rewards are used to acknowledge and celebrate children's efforts and achievements.
2. Clear Expectations:
We establish clear and age-appropriate expectations for behavior, communication, and interactions within our daycare. These expectations are communicated to children in a positive and consistent manner.
3. Redirecting and Modeling:
When challenging behaviors occur, we use redirection and modeling techniques to guide children towards more appropriate behaviors. Caregivers gently redirect children's attention and demonstrate alternative behaviors through modeling.
4. Consistency and Fairness:
We enforce rules and consequences consistently and fairly for all children. Consistency helps children understand expectations and promotes a sense of fairness within the daycare environment.
5. Respectful Communication:
We communicate with children in a respectful and empathetic manner, using positive language and active listening techniques. We encourage children to express their feelings and concerns openly and respectfully.
6. Time-In vs. Time-Out:
We prioritize positive guidance techniques such as time-in, where children are provided with a brief break to calm down and reflect on their behavior in a supportive environment. Time-out is used sparingly and only as a last resort for safety reasons, we also refer to it as 'Time-away' for the child to be removed from the environment that is challenging them and allow them to cool down. Children are never separated out of eyesight.
7. Individualized Approach:
We recognize that every child is unique and may respond differently to discipline techniques. We tailor our approach to discipline and guidance to meet the individual needs and developmental levels of each child.
8. Parent Partnership:
We maintain open communication with parents regarding their child's behavior and development. We collaborate with parents to establish consistent expectations and strategies for promoting positive behavior both at home and in the daycare.

Provider receives ongoing training and support in positive behavior management techniques. We stay informed about best practices in child guidance and continuously strive to improve our skills and approaches.
10. Conflict Resolution:
We teach children problem-solving and conflict resolution skills to help them navigate social interactions and resolve conflicts peacefully and respectfully.
Policies are designed for payment to be submitted before care starts to prevent there ever being any outstanding accounts. For any reason that there are any outstanding accounts, I reserve the right to send to court and or collections. If necessary, the parent/ guardian will be responsible for all costs.
At Little Leaf, we are committed to providing a safe and nurturing environment for all children in our care. We recognize our responsibility to protect children from abuse and neglect and to respond promptly and appropriately to any concerns or suspicions of child maltreatment. Our suspected child abuse policy is guided by the following principles:
Recognition and Reporting:
Providers are trained to recognize signs and symptoms of child abuse and neglect. This includes physical, emotional, and behavioral indicators that may raise concerns.
Providers who suspects or receives disclosure of child abuse or neglect is required to report it immediately to the appropriate authorities, in accordance with state laws and regulations.
Confidentiality and Documentation:
Reports of suspected child abuse or neglect are handled with the utmost confidentiality and sensitivity. Information is only shared with individuals directly involved in the investigation process and as required by law.
Caregivers and staff members document their observations, concerns, and any disclosures made by children in a thorough and timely manner. Documentation is kept confidential and maintained securely.
Prevention and Education:
We are committed to preventing child abuse and neglect through education, awareness, and training. Caregivers and staff members receive ongoing training on recognizing and responding to signs of abuse, as well as strategies for promoting child safety and well-being.
We provide resources and support to families on topics related to child abuse prevention, healthy parenting practices, and community resources available for support.
Instant Transfers are accepted, such as Apple Pay and Cash App and are due weekly Friday mornings at drop-off. If your child will not be attending on that your payment day you are required to make your payment the day prior. I reserve the right to refuse admittance until all fees are paid in full. A $60 late payment fee will be added to your payment if your payment is not submitted at drop-off.

Weekly Tuition: Your weekly tuition reserves a space for your child in my childcare program, and is NOT BASED ON DAYS YOUR CHILD IS IN ATTENDANCE. You are responsible for your weekly tuition as long as your child remains enrolled at Little Leaf’s Licensed In Home Daycare. NO DISCOUNTS are given if your child does not attend. Bi-Weekly tuition is required in full prior to your child’s departure for vacation.

**Note:** This schedule is flexible and may vary based on the ages, interests, and needs of the children in your care. It's important to observe and respond to children's cues, allowing for adjustments and modifications as needed to support their individual learning and development. Children who have a nap schedule of their own are free to nap according to what the provider and parent agree on is best for the child. I keep a very small ratio which allows me the flexibility to meet the individual needs of each child.
On hotter days we go outdoors earlier, on colder days we may wait for the sun etc, these day to day changes may shift meal/snack/nap times. Parents are encouraged to communicate any concerns with the provider. And please feel free to reach out, I am here to better meet the needs of you and your child!
Diapers are changed every 2 hours or as needed (immediately with BM.)
No child will be accepted nor consented to stay with any of the following symptoms upon arrival, or while in my care. Please do not bring your child if he/she is sick. Please do not give your child fever reducers or any other medication prior to arriving at my home to mask any of the above-mentioned symptoms.
**Fever reducers such as Tylenol or Motrin only allow the child to feel better temporarily but still spread illness to other infants / toddlers in the daycare.

Communicable diseases (chicken pox, roseola, conjunctivitis, mumps, Rota virus, measles, influenza). Communicable diseases not listed are not
excluded from this handbook of policies.
If there is a sick family member in the same household please keep the child home as they can bring the illness and spread to other children as well.
Please do not be alarmed if I implement a morning health check prior to you signing your child in. These can and will be done on a random basis without notice. In case of colds, sore throats, and the like, a phone call to Angelica Rodriguez (the provider) is required to decide on acceptance for the day. Should the child become ill during his/ her day here, parents will be notified and we will determine the best course of action concerning appropriate care, which may include the child being taken home. If your child is removed from care for Fever, Viruses he/she may not return for 24-48 hours or until your child is no longer ill. Your child will be accepted back with a doctor’s letter of re admittance. If a child is thought to have a communicable disease, parents will be notified and asked to pick him/her up. The child will be isolated from the other children and given special attention and comfort until the parents arrive.
Immunizations
Immunization records must be provided upon enrollment, and any updates or changes to immunization status must be promptly communicated to daycare staff.
Exemptions may be granted with proper documentation (waiver). Exemption form can be requested here : https://co-request.dshs.texas.gov/ , and must be Notarized.
(I am a Notary and will Notarize documents free of charge for parents)
Immunization records are kept confidential and securely stored in accordance with privacy regulations.
I kindly require that children have vaccinations done on Fridays so they have Saturday to rest up and recover comfortably at home and also so the child can be monitored by parents in the event of immediate reaction. If vaccinations are scheduled during the week, please keep the child home the following day.
If you or anyone in your household has come in contact with and been exposed to someone with COVID 19 please notify me IMMEDIATELY
Quarantine for having Covid or coming in direct contact with someone with Covid is minimum of 14 days
If applicable, if one of your children are sick both will need to stay home
Your child may not attend if they have the following symptoms:
Fever of 100 or higher- may not return for 3 days AFTER fever is gone
Vomiting- 2 days no symptoms
Diarrhea 2 or more times- 2 days no symptoms
Unexplained rash
Red and/or discharge from the eye
Consistent running nose and or green running mucus from nose
Cough
Consistent sneezing
General crankiness, fatigue and not feeling well
NOTE- fever due to teething is only common in ages 3-7 mos. If your child is between these ages and clearly teething, they do not need to stay out for 3 days. However no one will be permitted in to daycare with a fever for any reason.
COVID SYMPTOMS
Fatigue, body aches, fever, cough, shortness of breath.. Less common- runny nose, sore throat, diarrhea.
Rare symptoms specifically found in children- abdominal pain, vomiting, neck pain, rash, bloodshot eyes, feeling extra tired, neck and chest pain
Any combination of these COVID-19 symptoms and your child will not be admitted. Any combination of these symptoms your child will either need to stay home for 10 days or return with a detailed doctors note.
If your child develops any of these symptoms at daycare the parent/ guardian has 1 hour to pick child up
PLEASE do not send your child to daycare sick. By the time I notice someone is sick and send them home the child has already spread germs throughout daycare.
These policies are put in place to ensure a healthy environment for all children. Your corporation is a necessity and much appreciated. These policies will be strictly enforced especially during any pandemic so please plan for backup care for when your child is sick
Drafting -
I will NOT administer any medication, including aspirin, cough drops/syrup, or over the counter drugs without a doctor’s written authorization. The container should be clearly labeled with YOUR CHILD’S NAME, name of the medicine, dosage, date, administration frequency, and the name and telephone number of your child’s physician. The medicine must be in the original container as dispensed by the pharmacist. For any medications to be administered by the provider, a release form with all details mentioned above must be signed by a parent and the provider.
I will only administer when needed: sun block & insect repellent upon approval and with the written consent of parents/caregivers.
In case of a serious accident or sudden illness requiring medical attention, the following procedures are followed:
1. A phone call is made to 911.
2. Child's parents (or emergency contacts) are called.
3. Child and health records are sent with child if transportation to the hospital is necessary.
4. In all cases, an emergency report is completed and a copy given to parents, Health and Human Services, Family Advocacy and Lackland Family Child Care.
*It is extremely important, especially in instances of illness or emergency that the emergency contact information is up to date and all information is correct. Please report any changes immediately to keep your emergency contact information current.
* For minor injuries like bumps and bruises, I will provide home first aid.
*If the injury is more serious, (i.e. needs stitches, broken arm, or dislocation, etc.) the parent will be notified immediately. Parents will be responsible for all costs involved in emergency medical treatment, including emergency transportation if required. If medical care is needed I will report the accident with 48 clock hours to HHS @ 2103373399. A signed copy by the provider and the parent of the accident report will be faxed into the TDFPS Attention INTAKE 2103047711.
Only adults that I have on file as the person to pick up will be allowed to pick up. If special arrangements are to be made for someone else to pick up I MUST have a phone call or notice in person to allow the child to be released to another person. The person picking up the child MUST show a picture ID identifying himself or herself as the person you have sent.
If there is a court order keeping one parent away from the child, I must have a written note from the custodial parent in my file to that effect. If possible, a copy of the court order would be better. Otherwise, I cannot prevent the non-custodial parent from picking up the child. ALL parents authorized to pick up the child at any time MUST be listed on the registration form.
Emergency Evacuation Policy
Purpose: The purpose of this emergency evacuation policy is to ensure the safety and well-being of all children, staff, and visitors in the event of an emergency situation that requires the evacuation of the daycare premises.
Procedures:
Emergency Notification:
In the event of an emergency requiring evacuation, all daycare staff members are trained to immediately assess the situation and determine the appropriate course of action. While I am present in the home, I will direct all emergency actions that need to be taken:
EMERGENCY PLANS FOR A FIRE
Drills are held monthly. Children will leave in orderly fashion, under my supervision, and rapidly. In the event that my home was to be damaged by fire and not habitable, I will call 911 with my cell phone and contact each child’s parent. I will take along my emergency bag loaded with first aid, flashlights, snacks, water and blankets. In the event of a tornado, we place our heads to our knees and gather under the kitchen table, snacks and water will be provided. In the case of a break in, I will gather the children and exit the home though the best exit available and call 911. In the event I am without power for more than two hours each parent will be contacted to pick up their child asap.
Front Door Exit
Exit through the front door, walk to the sidewalk, turn right and continue walking to the mailbox.
2. Garage Door Exit
Exit through the garage door. First person out will press the garage door opener located on the left side on the door wall, walk out of the garage door, then walk to the sidewalk, turn right and continue walking to the mailbox.
3 .Back Door Exit
Exit through the back door, walk down the patio stairs, continue walking left to left side of the house to the fence, open the fence door and proceed to walk to the sidewalk, turn right and continue walking to the mailbox.
EMERGENCY PLANS FOR A TORNADO
In the event of a tornado, the bathroom will be used for shelter. Water, crackers, vegetables, flashlight, and radio with battery’s radio will be available.
EMERGENCY PLANS FOR FLOODING
My home is NOT located in an identified flooding zone. However, if water begins to rise around my home, or in the event we are advised to evacuate, I will immediately move the children to an evacuation shelter.
In summary, please be assured that I will take good care of your children during any emergency or disaster. Several suggestions are appropriate:
A. A good rule of thumb for closures: If it is announced over radio or television that the public schools, military installations and city offices are closing, in all likelihood, I will be closing also. Under no circumstance, will I close until all children have been picked up by their parents or designee.
B. It is essential that you establish individual and family plans for natural disasters, tornadoes, and flooding. These plans should identify what preparatory actions should be taken for each hazard. They should include where shelters are located and how you will travel to them if evacuation advisories are issued, what you plan to do if the family is separated, what type of survival supplies you will need, etc.
C. I will only care for your child if you are essential personnel to the local military community. If your commander/first sergeant has asked that you not report to work, please do not risk the life of yourself nor child to bring them to me for care.
Evacuation Routes:
Evacuation routes are clearly marked and prominently displayed throughout the daycare facility.
Staff members are familiarized with primary and alternative evacuation routes and assembly areas both indoors and outdoors.
Accountability:
Upon evacuation, all staff members are responsible for ensuring that they have evacuated all children from their care.
Staff members conduct a head count to ensure that all children are present and accounted for at the designated assembly area.
Parent Notification:
Parents or guardians are promptly notified of the emergency situation and the evacuation procedures via phone call, text message, or other communication channels.
Parents are instructed to proceed to the designated reunification area to pick up their child as soon as it is safe to do so.
Emergency Supplies:
Each staff member is equipped with an emergency kit containing essential supplies such as first aid supplies, emergency contact information, a flashlight, and any necessary medications for children with special needs.
Emergency supplies are easily accessible and regularly checked to ensure they are up-to-date and in good condition.
Training and Drills:
All staff members receive comprehensive training on emergency procedures, including evacuation protocols,
Emergency evacuation drills are conducted regularly to familiarize staff and children with the procedures and to identify areas for improvement.
Review and Revision: This emergency evacuation policy is reviewed annually and updated as needed to ensure its effectiveness and alignment with best practices in emergency preparedness and response.
Please bring a complete change of clothing (including shirt, pants, socks and underwear) appropriate for the weather to be kept at the childcare home. You may want to leave more for infants or children in the potty- learning stages. (Please see Potty Training Policy )
Clothing that can be worn on special gatherings should not be worn to childcare, we do have messy days, and I will not be responsible for clothing that is soiled due to spill or paint drippings. Swimwear is recommended for water play. You have the option of leaving slippers/shoes here or bringing them daily. The children will be allowed to walk freely outside without footwear. All items should be labeled with your child’s name or initials.
Parents are required to supply diapers and training pants. I will notify you when your child’s supply needs to be replenished. Parents should also bring any items that you would like used on your child such as ointment, and sunblock, etc
Parents, please understand children of all ages that attend will engage in messy play during sensory play, time outdoors, arts and crafts etc. Their clothes WILL get messy. I try to limit stains by providing aprons during crafts but they will get messy so please be mindful of what clothing you bring your little ones in. Thank you for understanding.
If something to sleep with is needed like a special blanket your child is welcomed to bring it. Generally spreaking outdoor toys are allowed at a minimum. I keep a small enough ration that I am able to keep an eye on 1-2 toys and sneakily return them back with the child at pick up without having to pick up the toy and upset the child. If a toy becomes an issue with children becoming overly upset and fighting over sharing etc, I will distract kids with another toy, pick up personal toy and send it home and just ask parents not bring back toys. This has not been an issue.
It is expected that your child be respectful of all personal property and furnishings. A certain amount of “wear and tear” is normal, but if your child intentionally damages my property through destructive behavior or roughness, you will be liable for 100% of the replacement costs. This reimbursement is due with your next child care payment. This doesn't cover slamming a pretend kitchen microwave door closed because the child is mad or overly excited and breaking the hinges. This covers more intentional / deliberate damaging of property such as punching windows, throwing hard toys intentionally at a tv etc
We have a Dog, her name is Chiquita. Her shots are current. She is not allowed to interact with any daycare kids, she is housed in a separate area during daycare hours.

Revisions to policies and procedures, contracts and forms I make may be done with a minimum of 30 days notice UNLESS it is a new regulation required by Child Care Licensing of Texas,– these changes will take place immediately. Policies, contracts, and forms will be reviewed periodically and updated if necessary. I will notify parents in writing of any changes. All previous forms will become obsolete.
Parents/guardians are required to sign their child in upon arrival and sign them out upon departure. This helps us maintain accurate attendance records and ensures accountability . Sign in/out is done with the clipboard or electronically by scanning the QR code.
Parents/guardians are expected to adhere to the designated arrival and departure times specified in their enrollment agreement. Late arrivals or early departures should be communicated with the daycare provider in advance whenever possible. Late fees are in place to deter children being picked up outside of contracted hours originally agreed upon by parent and provider.
Designated Drop-off and Pick-up Areas: We have designated areas for drop-off and pick-up to ensure the safety of all children. Parents/guardians must use these designated areas and refrain from parking in restricted areas or blocking driveways.
Our "No Shoes Inside" policy is established to maintain a clean, safe, and hygienic environment for children and members within our home daycare. This policy outlines the guidelines and expectations regarding footwear within the daycare premises.
Rationale: Shoes worn outside can carry dirt, debris, germs, and other contaminants that can compromise the cleanliness and safety of the indoor environment. By implementing a no shoes inside policy, we aim to minimize the risk of allergens, bacteria, and other hazards that may affect the health and well-being of our crawlers, children, and make our feet dirty even with daily steam mopping🤣
Parents are welcomed to wear shoes in the hallway just before entering the living room. Shoes are not permitted in living, dining, or kitchen areas.
Children are welcomed to wear shoes at drop off. Parents or the Provider can remove shoes. (This is something I do daily and do not mind whatsoever. I understand parents are usually in a rush in the morning!)
Children are provided grip socks to wear throughout the day by the provider. Each child has a set of color coded socks that are removed at the end of day and washed over the weekend along with parent proved nap blanket(s). (Grip socks are to prevent children from slipping and falling while playing)
Parents are encouraged to communicate pick up times if outside of the normal times so provider can ensure children have shoes on , items together etc.
Families have the option of leaving a change of weather appropriate clothes if they do not wish to leave a daily diaper bag/backpack. Clothes and personal belongings will be stored in labeled bags in our washroom. If clothes are soiled throughout the day, provider will send them home in a disposable grocery bag.
A Final Note: As you can probably see, COMMUNICATION is the key! Please keep the lines of COMMUNICATION open. However, I do ask that if you do approach me with a situation or problem we discuss it out of earshot of the children. You may contact me through email or a telephone call. If the issue cannot be resolved we will meet at a time that is convenient to both of us outside of the childcare setting.
