KitchenDesk ("we", "our", or "us") is a mobile application that helps commercial kitchen equipment service companies manage their customers, sites, equipment, inventory, service tickets, reports, quotes, and invoicing. This Privacy Policy explains how we collect, use, store, and protect your information when you use our application on iOS and Android.
By using KitchenDesk, you agree to the collection and use of information in accordance with this policy.
Account Information:
Full name and email address used to create your account
Company or business name
Account password (stored as a secure hash by Firebase Authentication)
Business Data (entered by you):
Customer names, phone numbers, email addresses, and physical addresses
Site and equipment details: name, model, serial number, location, and photos
Service tickets, notes, signatures, and completion reports
Quotes, invoices, and payment records
Inventory items, parts, and stock quantities
Refrigerant/EPA compliance logs
Identifiers:
Your account user ID
A push notification token used to deliver maintenance and service reminders
IP address (processed by our providers for security and abuse prevention)
We do not collect analytics on your behavior, advertising identifiers, precise device location, or crash/diagnostic data for the iOS app.
We use the information we collect to:
Create and manage your KitchenDesk account
Sync your business data securely across devices via Firebase Firestore
Generate service reports, including AI-assisted insights (Groq AI API)
Look up equipment information (Google Custom Search API)
Provide address suggestions (Apple MapKit on iOS; Google Places on Android)
Process in-app card payments for invoices you send (Stripe)
Send maintenance and service push notifications
Improve the performance and reliability of the application
Respond to your support requests
Card payments for invoices are processed by Stripe, Inc. Payment card details are entered on Stripe's secure checkout and are never collected by or accessible to KitchenDesk. We store only non-sensitive payment records (amount, status, and a transaction reference). Subscriptions are processed by Apple (App Store) or Google (Play Store); we never receive your payment card information from them.
KitchenDesk uses the following third-party services, each governed by its own privacy policy:
Firebase Authentication, Firestore, Storage, Cloud Functions & Cloud Messaging (Google LLC) — account management, cloud data storage, file storage, and push notifications
Apple MapKit (Apple Inc., iOS) / Google Places API (Google LLC, Android) — address suggestions
Google Custom Search API (Google LLC) — equipment information lookup
Groq AI API (Groq, Inc.) — AI-assisted report insights
Stripe, Inc. — in-app card payment processing
Apple App Store / Google Play — subscription billing

Your data is stored securely in Google Firebase (Firestore and Storage), hosted in the United States. We enforce Firestore Security Rules so that only authenticated users with verified email addresses can access their own company's data — no other user or third party can read your business information through our application. All network communication uses HTTPS. Membership and authentication tokens are stored in the device Keychain (iOS) / encrypted storage (Android).
We retain your data for as long as your account is active. You can delete your account at any time from Settings → Delete Account inside the app. When you delete your account, we remove your personal data and business records from our servers within 30 days, except where retention is required by applicable law.
KitchenDesk is intended for professional service technicians and business owners. It is not directed to individuals under the age of 18, and we do not knowingly collect personal information from minors.
Depending on your jurisdiction, you may have the right to access, correct, delete, export, or restrict the processing of your personal data. To exercise any of these rights, contact us at tufharald@gmail.com.
We may update this Privacy Policy from time to time. When we do, we will update the effective date above and, where appropriate, notify you within the app.
