KaryAIQ OS ("KaryAIQ OS," "we," "our," or "us") provides a business management platform that helps organizations manage projects, workforce, attendance, materials, inventory, and financial records ("Services"). This Privacy Policy describes how we collect, use, disclose, store, and protect information in connection with the KaryAIQ OS mobile application and related Services (collectively, the "App").
By using the App, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree with this Privacy Policy, please do not use the App.
This Privacy Policy applies to the App and any related services offered by KaryAIQ OS, but does not apply to third-party websites, products, or services, even if linked from the App.
KaryAIQ OS is a business-to-business (B2B) application intended solely for use by authorized personnel of organizations ("Organizations") that have subscribed to or licensed the Services.
User accounts are created and managed exclusively by the Organization's administrator(s). The App does not support self-registration or public sign-up.
Because access is provisioned by an Organization, the Organization acts as the data controller for the Business Data (defined below) entered into the App, and KaryAIQ OS acts as a data processor / service provider on the Organization's behalf, except with respect to Account Information described in Section 3, for which KaryAIQ OS acts as the data controller.
The App is not directed to, and is not intended for use by, the general public or individual consumers.
We collect information in the following categories:
When your Organization provisions your account, we may collect and process:
Full name
Work email address
Login credentials (passwords are stored using industry-standard encryption/hashing; we do not store passwords in plain text)
Role, designation, or permission level assigned by your Organization
In the ordinary course of using the App, authorized users may input, upload, or generate:
Project and task information
Worker/employee details (e.g., name, role, contact information, as entered by the Organization)
Attendance and time-tracking records
Material, stock, and inventory records
Financial records, invoices, and payment-related entries
Reports, notes, and other business-related content
Ownership: All Business Data belongs to and is controlled by the Organization that inputs it. KaryAIQ OS processes this data solely to provide, maintain, and support the Services, and in accordance with the Organization's instructions and any applicable data processing agreement.
To operate, secure, and improve the App, we may automatically collect limited technical and diagnostic information, such as:
Device type, operating system, and app version
App usage and performance data (e.g., crash logs, error reports)
IP address and general network information (used for security, fraud prevention, and diagnostics)
Log data such as access timestamps and session activity
This information is used only for security, diagnostics, and service-improvement purposes and is not used to build advertising profiles.
KaryAIQ OS does not currently access or collect:
Precise or approximate GPS/location data
Contacts stored on your device
SMS messages
Call logs
Camera access or captured images/video (outside of features the Organization explicitly enables, such as optional document/photo uploads for inventory or attendance, described below)
Microphone or audio recordings
Files from your device other than those a user deliberately chooses to upload within the App
Biometric information
Note on optional features: If future versions of the App introduce features that require access to camera, photos, storage, or similar device permissions (for example, allowing a user to attach a photo of a delivered material to an inventory record), such access will only occur following an explicit, in-app permission request, will be limited to the specific purpose disclosed at the time, and this Privacy Policy — along with the App's Data Safety declarations — will be updated before any such feature is activated.
We use the information described above only for the following purposes:
To authenticate users and provide secure access to the App
To enable Organizations to manage their projects, workforce, attendance, materials, inventory, and financial records
To synchronize data across a user's authorized devices
To maintain, monitor, and improve the performance, stability, and security of the App
To detect, prevent, and address technical issues, fraud, or unauthorized access
To provide customer support and respond to inquiries
To comply with applicable legal, regulatory, or contractual obligations
We do not use personal information for behavioral advertising, and we do not build advertising or marketing profiles based on Business Data or Account Information.
We do not sell, rent, or trade your personal information or your Organization's Business Data. Information may be disclosed only in the following limited circumstances:
Your Organization and its authorized administrators
To operate and administer the Services for your Organization
Cloud hosting and infrastructure providers
To store and process data securely on our behalf, under contractual confidentiality and data-protection obligations
Professional advisors (e.g., auditors, legal counsel)
Where necessary to comply with legal or regulatory obligations
Law enforcement or regulatory authorities
Where required by applicable law, court order, or governmental request
Successor entity in a business transaction
In the event of a merger, acquisition, or sale of assets, subject to continued protection under a substantially similar privacy policy
Any third-party service providers we engage are contractually required to protect your information and to use it only for the purposes for which it was disclosed to them.
Data collected through the App is stored on secure servers operated by our cloud infrastructure providers. Depending on your Organization's configuration, data may be stored or processed in a country other than your own. Where this occurs, we take reasonable steps to ensure that appropriate safeguards are in place consistent with applicable data protection laws.
We implement reasonable administrative, technical, and physical safeguards designed to protect information against unauthorized access, alteration, disclosure, or destruction, including:
Encryption of login credentials
Encrypted data transmission (HTTPS/TLS)
Access controls limiting data visibility to authorized users within an Organization
Regular security reviews and monitoring
However, no method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.
We retain information only for as long as necessary to:
Provide the Services to your Organization,
Comply with our legal, tax, or regulatory obligations, and
Fulfill the retention terms agreed with your Organization.
When an Organization terminates its subscription or a retention period ends, data is deleted or anonymized within a reasonable period, except where longer retention is required by law or necessary to resolve disputes and enforce agreements.
Depending on applicable law (such as the GDPR, CCPA/CPRA, India's Digital Personal Data Protection Act, or similar regulations) and subject to your Organization's policies, you may have the right to:
Access the personal information held about you
Correct inaccurate or incomplete information
Request deletion of your personal information, where permitted
Restrict or object to certain processing activities
Request a copy of your data in a portable format
Withdraw consent, where processing is based on consent
Because Business Data is controlled by your Organization, requests relating to Business Data (e.g., worker or attendance records) should generally be directed to your Organization's administrator. Requests relating to Account Information may be submitted directly to us using the contact details in Section 14.
We will respond to verified requests within the timeframe required by applicable law.
KaryAIQ OS is a business application intended solely for use by adult employees and representatives of Organizations. It is not directed to, and not intended for use by, individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have inadvertently collected information from a child, we will take steps to delete it promptly.
The App may rely on trusted third-party infrastructure or service providers (e.g., cloud hosting, crash-reporting, or analytics services) strictly to operate and maintain the Services. We do not permit these providers to use data collected through the App for their own independent purposes, such as advertising.
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or for other operational reasons. Any changes will be posted on this page with a revised "Last Updated" date. Where changes are material — particularly those involving new categories of data collection — we will provide reasonable advance notice before the changes take effect, consistent with Google Play's policies.
