A corrupted PST or OST file is one of the most common causes of problems with Outlook. If an Outlook mail file is corrupted, Outlook does not necessarily tell you about it. However, Outlook will start failing in random and unpredictable ways. From something relatively minor, like messages not turning read after you open them, to crashes, freezes and inability to launch Outlook. A large portion of our support requests have nothing to do with TechHit products, but are resolved by running scanpst to fix errors in the PST / OST file.

And, of course, we already have a solution for messages which you keep for future reference and on which no additional actions are necessary. You can use SimplyFile to file email messages to the right Outlook folder with one click or SimplyTag to tag and categorize email messages.

In many cases, government regulations, industry standards (such as ISO 9001) or corporate policies require that all customer interactions, including email correspondence, be recorded and retained for a certain period of time. MessageSave allows users to save and archive both incoming and outgoing email messages. It is a powerful and cost-effective alternative to installing and maintaining expensive server-based email archiving solutions.

Most users like to organize their files in project related folders. They keep all documents (word docs, excel spreadsheets, etc.), related to a particular project, in the same folder. MessageSave allows users to keep email messages along with the rest of the project related files, eliminating the need to constantly switch between File Explorer for regular documents and Outlook for email messages.

Using MessageSave, users can save email messages on a central file-server, thus enabling easy access and sharing of email data among multiple users in an organization. For example, multiple users working on a project, can save project-related email messages in a shared folder on a file server, so that all members of the team have access to the messages. If you already have shared folders for projects, that is a natural place to store email, so that it is easily accessible to everyone.

Using MessageSave to save messages as individual files is a good way to back up email from both PST files and exchange mailboxes. Storing one message per file, makes incremental email backup practial. No longer do you have to save the entire PST when a single message changes. You can just save the messages that changed.

Also, keep in mind that pst files can not be opened from read-only media, such as CD-R/CR-RW. So if you would like to burn email backups to a CD (or put them on a read-only disk), saving individual messages with MessageSave is a great way to do it.

MessageSave has an option to save sent email message. The option is called "Prompt to save sent messages". It is located in MessageSave's "Advanced Options" dialog. When you enable this feature, every time you send a message, MessageSave will prompt you whether you would like to file a copy.

In many cases web-based order or support forms generate automatic email messages. MessageSave integration with Outlook's Rules Wizard and an ability to execute custom script on saved message files provide an excellent way to automate request processing.

There are several instances in Outlook, where you have a message and there is no easy way to find which folder contains it. For example, a search result view or a Search Folder, will display a message, and even the short name of the containing folder, but if you have multiple folders with the same short name, that does not help you.

Outlook has a hidden feature, QueryBuilder, which can be very useful for those of you who need to define complex criteria for Search Folders or Advanced Find. It allows you to specify a conditions on most message fields; combine multiple conditions with logical AND or OR operators; build hierarchical conditions, etc. For example, you can do things like this:

After you have split your messages into multiple PST files and removed some of the attachments, you need to compact the PST file to shrink its size. It is a good idea to compact your PST files periodically.

If you still do not see attachments in PDF files saved after that, it might be due to the PDF viewer you are using.Not every PDF viewer has capability to display attachments. For example, Microsoft Edge and Chrome do not.

Enable this option to include the name of the person who sent the message inthe name of the file. For example, if the sender name is John Smith andthe message subject is meeting the generated file name would be JohnSmith - meeting.msg.

Subfolder naming controls how MessageSave generates folder names for thesaved files. Here you can check only one option. If you would like moreflexibility in subfolder naming, please use the Template For File And Subfolder Naming.

Create subfolders using the name of the message sender. For example, if youreceive a message from John Smith with subject meeting, with thisoption ON, it would be saved in the John Smith subfolder of the DestinationFolder - John Smith\metting.msg

Templates are a flexible mechanism for specifying file and folder naming.A name template consists of fields,which are replaced with values from the messages you are saving. For example,%M_SUBJ% is replaced with a message subject. Use theAdd Field button to insert fields. You can also manually typeadditional values, such as separators. See File NameTemplates for details on template syntax.

If this option is ON, MessageSave will generate unique file name wheneveryou try to save a message and a file with the same name already exists. Forexample, the first time you try to save a message which maps toJohn Smith - meeting.msg, that is the name that is used. The second time,the file will be named John Smith - meeting - 1.msg. After that,John Smith - meeting - 2.msg, and so on.

If you enable this option, MessageSave will NOT generate a unique name byappending a counter. In the example above, if a file with the name JohnSmith - meeting.msg already existed in the destination folder, MessageSavewould overwrite it with the new message.

If you include sender name as well as date and time into the file name,and you are confident that you are unlikely to receive more than onemessage from the same sender within one second, you can enable thisoption if you are saving messages from different computers or bydifferent users and are concerned about file duplication.

Configure this option to save messages which havebeen received over this many days ago. You can use this option to archiveolder messages, optionally removing them from Outlook, and leave the mostrecent messages in Outlook. For example, to save messages over 6 monthsold, enter 180.

You can use the Subject Filter to only save messages with certain words inthe subject. Use multiple space-separated words to match on several topics.For example, filter invoice quote will match all emails with either wordinvoice or word quote in the subject.

You can use the Category Filter to only save messages labeled with certaincategories or messages which do not have certain categories.You can enter multiple comma-separated categories.For example, filter Cat1, Cat2, Cat3 will match messages with any of the threecategories - Cat1, Cat2 or Cat3.

MessageSave is a simple utility that makes it easy to back-up, save and file e-mail messages, tasks and contacts outside of Outlook. This could be useful for saving messages in the same folders as other client documents, for storing messages for legal compliance, or for keeping an audit trail. It also helps manages the size of your .pst file. As with EZDetach, you can customize the rules for saving files in a number of ways. Files can be saved as text or in .msg, .eml, mbox and vCard formats.

For context, when I was on Windows, I used to use a TechHit Outlook plugin called SimplyFile, which prompted me on every sent/archived email to save a copy (with smart filing feature) that would rename the email upon save.
