I’m Ruben, Jr., but I prefer to be called JR. I am a home-based marketing expert specializing in lead generation, appointment setting, and social media marketing. I’ve discovered that many qualified coaches, speakers, authors, and consulting agencies struggle to gain visibility due to the absence of a solid marketing plan that drives them toward both long-term and short-term objectives. To address this challenge, I assist clients in creating a Three-Year Vision, which I help break down into a One-Year Goal and a Three-Month Plan.
With four years of experience as a Marketing Expert, I have developed the Overall Marketing Strategy, implementing the Baseball Strategy and the POP Methods, which I will discuss below. I have also successfully helped my clients scale their coaching businesses from 5-figures to 7-figures annually.
In September 2024, my client’s business coaching company in Florida successfully closed 10 high-ticket deals, each ranging from $10,000 to $20,000. This success was driven by implementing the POP Method, which integrates Paid, Organic, and Partnership strategies as part of a Overall Marketing Approach. Additionally, we applied the Baseball Strategy, outlined below. By utilizing these methods, we were able to secure significant high-ticket deals, showcasing the effectiveness of this approach.
I'll walk you through how I implemented the Baseball Strategy and the POP Methods as part of my Overall Marketing Approach to consistently generate 5-10 new clients per month for my client’s business coaching company.
The Baseball Strategy outlines how a prospect moves through the stages from being a lead to becoming a paying client. We typically start with cold leads, nurturing them into warm leads, and after a sales call, converting them into hot leads. I developed this strategy after noticing that many cold leads are lost due to insufficient nurturing. By reducing friction at each stage, this strategy improves the conversion rate and ensures a smoother lead progression.
The primary objective of Base 1 is to guide prospects to attend a webinar where they can learn more about the topic, become familiar with our company, and be encouraged to book a call. This stage is crucial for advancing prospects through the sales funnel with the ultimate goal of converting them into paying clients.
To achieve this, we can employ various outreach strategies, including leveraging email lists, LinkedIn connections, cold emails, and social media ads. It's essential that prospects feel at least 80% ready to engage before attending the webinar. One effective way to achieve this is by offering a free gift or lead magnet. Additionally, a targeted content strategy—encompassing social media posts, email sequences, and SMS campaigns—can help build interest and engagement.
Our aim is for at least 20% of registrants to attend the webinar, with 20% of those attendees booking consultation calls. For those who schedule a call, we ensure they are qualified leads. If a lead isn't fully qualified yet, they will be nurtured in Base 2 until they're ready to move forward. Once they are prepared and qualified, we can schedule another call for further progress.
In Base 2, the focus is on nurturing prospects who aren’t yet ready to book a call. The goal is to maintain consistent communication and engagement until they are prepared to take the next step.
This can be achieved through personalized touchpoints, such as sending LinkedIn messages to celebrate birthdays, work anniversaries, or engaging with their posts and responding when they engage with ours.
Another key strategy is the 90-Day Email Sequence, where emails are sent every other day. These emails provide valuable insights about our product, share information about the company, and offer useful business tips. The goal is to keep prospects warm, with the aim of either booking a consultation call or getting them to join a webinar, transitioning them back to Base 1 when they are ready.
The goal of Base 3 is to convert leads into paying customers. This is achieved through a sales call between the lead and our sales team. The call is designed to address any remaining questions, provide tailored solutions, and close the deal, moving the lead from interest to commitment. Since the lead is already hot and qualified at this stage, our target is an 80-100% close rate.
Base 4 is where the lead officially becomes a client. At this stage, the focus shifts to onboarding, ensuring a smooth transition from prospect to client. This involves providing all necessary resources, setting expectations, and outlining the next steps to begin delivering value and building a long-term relationship.
The POP Method integrates Paid, Organic, and Partnership strategies, enhancing the Baseball Strategy by providing multiple channels for effective execution. Each component of the POP Method supports different stages of the Baseball Strategy, ensuring its impact across every phase of the process. A key objective of the POP Method is to generate traffic to Base 1.
I use two ad strategies: one focuses on increasing webinar registrations, while the other drives traffic to my client's main social media accounts to nurture qualified prospects and invite them to the webinar. The image below shows one of our successful campaigns, where we generated 148 Facebook leads at $4.46 per lead for the webinar.
In the Organic Method, my approach is to first qualify and nurture the prospect. If they are qualified, I proceed to book a consultation call, ensuring no unnecessary nurturing when the prospect is ready to become a paying client. However, if the prospect is not yet ready, I invite them to join our webinar event.
In Instagram appointment setting, I use hashtags to identify prospects who align with my ideal client profile. Before initiating contact, I thoroughly qualify each prospect. Once I've determined their suitability, I implement a strategy that includes Liking, Commenting, Sharing, Messaging, and Following. This involves liking three posts, commenting on one, sharing one of their posts back to them, sending a direct message to express appreciation, and then following their account. After this initial engagement, I continue nurturing the prospect and conduct further qualification. Once I’ve gathered the necessary information, I schedule a call. If the prospect is not qualified or not ready, I invite them to join our webinar.
In LinkedIn appointment setting, I utilize Sales Navigator to identify ideal clients by creating a filtered persona. After establishing the persona, I send a connection request along with an introductory message. Once the connection is accepted, I focus on building rapport, nurturing the relationship, qualifying leads, and scheduling a call. I also send follow-up messages, engage with their posts, and endorse their skills. Another effective strategy is positioning oneself as an authority within relevant LinkedIn groups. I share or repost content in these groups and initiate discussions. I then connect with those who comment on my posts to schedule calls. If a prospect is not ready to book a call or is not interested, I invite them to join our webinar, where we continue nurturing them
For all 1st degree connections, I use Dux-Soup, an automation tool, to send a message inviting them to join the webinar. This approach allows us to re-engage with prospects later for potential follow-ups to book a call. Additionally, it helps nurture them by inviting them to the webinar, where they can continue to receive value and build a stronger connection.
For all first-degree connections, I manually invite them to LinkedIn events. Since LinkedIn limits invitations to 1,000 per week, I optimize my outreach by prioritizing those in countries where our ideal clients are located (e.g., the United States). If I have remaining invitations, I continue by targeting specific states or provinces until the weekly limit is reached. I track where I left off and resume the following week. After gathering the necessary information, I manually add the contacts to our CRM so they can receive gifts and be notified about the webinar.
I create a 21-day email sequence, sending emails every other day. This approach allows us to invite individuals on our email list and increase registrants for the webinar.
In Warm Calling appointment setting, I reach out to leads who have opted into our lead magnets, which may come from ads, podcasts, speaking engagements, or cold DMs. I begin by confirming if the lead has received the freebie, then gauge their interest in receiving more value—such as scaling their business or building their real estate portfolio—based on the outcomes my client delivers. If they express interest, I proceed to schedule a call. If not, I invite them to join our webinar event for further nurturing.
In Cold Email appointment setting, I use Apollo to filter and identify my ideal audience. I then export their information and validate it using Neverbounce. To improve open rates, I personalize the first line by browsing their LinkedIn profile and reviewing their About section for a personal connection point. I run a 4-email campaign: the first email introduces myself, and the second encourages them to connect on LinkedIn. The third and fourth emails invite them to join our webinar. As shown below, our open rate is double the industry standard of 40%. While the reply rate is only 2.5%, this is not a concern, as our goal is not to prompt email replies. Once they connect on LinkedIn or join the webinar, we nurture them further on those platforms.
I find speakers and event managers through LinkedIn, using the same LinkedIn appointment setting strategy outlined earlier. The primary difference is that we pitch ourselves to be included in their events, allowing us to reach their audience. Speakerships or podcast events may be paid or unpaid, depending on whether the event is free or not. During these events, we encourage listeners to either book a call with us or join our webinar, based on what my client has agreed upon with the event host.
I use GoHighLevel as my primary tool for executing the overall marketing campaign I discussed earlier and managing various aspects of my clients' businesses. Within the platform, I design and implement sales funnels and products to ensure a streamlined and efficient process. I also organize and maintain lists of prospects, leads, and paying clients in the opportunity section, recording crucial information for effective follow-up and communication.
In addition to these core functions, I leverage other features offered by GoHighLevel to enhance my daily operations. This includes using forms and surveys to gather valuable insights and feedback from my audience, creating client portals for a personalized experience, and utilizing automation tools to streamline repetitive tasks and improve overall efficiency.
