1. Introduction

Jacob Solution ("we," "our," "us") operates the mobile and web application KazaGest ("the Application"). This Privacy Policy explains our practices regarding the collection, use, and protection of your personal data.

By using KazaGest, you agree to the practices described in this Policy. If you do not accept our practices, please stop using the Application.

2. Data We Collect

2.1 Data Provided by Users

When you create an account or use the Application, we collect:

·     Account Information: Name, email address, phone number

·     User Profile: Title, role (owner, tenant, manager)

·     Property Data: Property addresses, descriptions, photos

·     Tenant Data: Names, contact information, rental history

·     Financial Data: Rent amounts, expenses, income, payment history

·     Contracts: Leases, electronic signatures, signed documents

·     Maintenance Requests: Descriptions, photos, assignments

·     Communications: Messages, emails, customer support inquiries

2.2 Data Collected Automatically

·     Device Data: Model, operating system, unique identifier

·     Usage Data: Interactions with the Application, pages visited, session duration

·     Diagnostic Data: Crashes, errors, performance metrics

·     IP Address: For security and fraud prevention

·     Cookies and Similar Technologies: On the web version

2.3 Authentication

You may sign in with email and password, or via Google OAuth. If you use Google OAuth, Google collects and manages your credentials; please review Google's Privacy Policy for more information.

2.4 Gmail Access (Email Hub — Optional)

If you choose to connect your Gmail account for the email hub feature, the Application accesses your emails (reading and sending) only to display and send communications related to your rentals, at your request. This data is not used for advertising, sold, shared with third parties, or used to train artificial intelligence models.

Use of information received from Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements. You may revoke this access at any time from the Application's settings or from your Google Account security settings.

3. How We Use Your Data

We use the data we collect to:

·     Provide Services: Manage your account, create leases, track finances

·     Application Features: Accounting, reporting, notifications, communications

·     Personalization: Adapt the Application to your language preferences (EN/FR)

·     Customer Support: Respond to inquiries and resolve issues

·     Security: Prevent fraud and protect the Application's integrity

·     Improvement: Analyze usage and optimize features

·     Legal Compliance: Comply with applicable laws

We DO NOT use your data for:

·     Targeted advertising or third-party marketing

·     Sale to third parties

·     Cross-app tracking

·     Credit risk profiling

4. Data Storage and Security

4.1 Infrastructure

Your data is stored on Supabase (PostgreSQL-based) hosted on AWS, complying with international security standards:

·     Encryption in Transit: TLS 1.2+ (HTTPS)

·     Encryption at Rest: AES-256 for sensitive data

·     Authentication: Role-based access control (RLS)

·     Backups: Automatic daily backups

·     Compliance: GDPR, PIPEDA (Canada), SOC 2 compliance

4.2 Data Access

·     Only you and users you authorize (tenants, managers) can access your data

·     Jacob Solution administrators have no default access

·     Limited access only in cases of security incidents or legal proceedings

4.3 Data Retention

·     Active Data: Retained as long as your account is active

·     Deleted Data: Permanently deleted within 30 days unless legally required

·     Logs: Retained for 90 days for security purposes

5. Data Sharing

We share your data only with:

5.1 Authorized Third-Party Services

·     Supabase: Data infrastructure

·     Google: Authentication and push notifications

·     Payment Providers (Stripe, RevenueCat/app stores, if applicable): For transactions and subscriptions

·     Twilio (if you enable SMS): Sending reminders and SMS notifications to your tenants

·     Analytics Services: Aggregated, non-identifying usage data

5.2 Legally Required Sharing

·     Legal Authorities: If required by law or court order

·     Law Enforcement: For fraud or security investigations

·     Business Transfer: In case of merger, acquisition, or bankruptcy (you will be notified)

We NEVER sell your data.

6. Your Data Control

6.1 Your Rights

You have the right to:

·     Access all your personal data

·     Correct any inaccurate information

·     Delete your account and data (except where legally required)

·     Export your data in a common format

·     Revoke consent at any time

·     Object to data processing

7. Children's Privacy

KazaGest is not intended for children under 13 years old. We do not knowingly collect data from children. If we discover we have collected data from a child, we will delete it immediately.

8. Legal Compliance

8.1 GDPR (European Union)

If you are an EU resident, we process your data under GDPR. You have the right to file a complaint with your data protection authority.

8.2 PIPEDA (Canada)

If you are a Canadian resident, we comply with the Personal Information Protection and Electronic Documents Act (PIPEDA).

8.3 Law 25 (Quebec)

We comply with Quebec's Law 25 on the protection of personal information.

9. Changes to This Policy

We may update this Policy at any time. Changes will be notified through:

12. Account Deletion

12.1 From the App

You can delete your account and all associated data directly from the app:

1.   Open KazaGest and sign in.

2.   Go to Settings.

3.   Scroll to the bottom and select "Delete My Account".

4.   Confirm your choice (two confirmations are required, as this action is irreversible).

Important: deletion is not possible while you have active leases. You must first end your active leases (or transfer them to another manager) before you can delete your account.

12.2 Without Using the App

If you no longer have access to the app or prefer to request deletion another way, email us at privacy@jacobsolution.com with the subject "Account Deletion," specifying the email address associated with your account. We will process your request within 30 days, per Section 6.2.

12.3 Data Deleted vs. Data Retained

·     Deleted: profile, contact information, preferences, message content, and attachments belonging to you.

·     Retained where required by law: certain financial and tax data (accounting records, invoices, archived leases) may be retained beyond account deletion where legal retention obligations apply (see Section 4.3). This data remains subject to the same security protections and is not used for any other purpose.
