Welcome to Invenly, developed by Logic Systems Studio. We are committed to protecting your privacy and ensuring that your personal and organizational data is handled securely. This Privacy Policy explains our practices regarding the collection, use, and disclosure of information when you use the Invenly mobile application and web platform.
Our core philosophy is "Privacy by Design". Most of our tools are built to function offline or store data locally on your device. We do not sell your personal or organizational data to third parties.
Account Information: When you sign up (e.g., via Google Sign-In), we collect your email address, name, and profile picture. This is required to identify you and authenticate your access within your organization.
Organizational Data: We collect inventory records, quantities, warehouse locations, transaction logs, images you explicitly upload for items, and team configurations that you create within the app.
Usage Data: We use Firebase Analytics and Crashlytics to collect anonymized usage statistics and crash reports to improve app stability and performance.
To provide its core features, Invenly requests the following device permissions:
Camera: Required for scanning barcodes and capturing item images.
Standard Barcode Scanning: Processed locally in real-time on your device and is NEVER recorded, stored, or transmitted to our servers.
AI Features (Item Auto-fill / Smart Invoice Scanner): Securely transmitted to our serverless Cloud Functions and OpenAI's API solely for processing, and are not stored permanently by us.
Location & Bluetooth: Required for connecting to external hardware scanners (e.g., custom Bluetooth devices). Location permissions are strictly required by the Android operating system to scan for Bluetooth Low Energy (BLE) devices. We do NOT track, store, or share your physical location.
Photo Library / Storage: Required only if you choose to upload existing images from your device for inventory items.
Invenly offers advanced AI-powered features, including the AI Chat (querying inventory in natural language), Smart Delivery Note/Invoice Scanner, Auto-fill Item Details, and Warehouse Slotting Optimization. By using these AI features, you acknowledge and agree that:
Generative Models Processing: Chat inputs, item images, invoice snapshots, and necessary inventory context are securely processed via third-party artificial intelligence services (specifically OpenAI's APIs via our Firebase Cloud Functions).
No Training on Your Data: Data sent to the AI service is processed in transient memory to return results and is never stored permanently by us or used to train or refine generative models.
Sensitive Information: You should avoid typing highly sensitive personal data in the chat or scanning documents containing sensitive personal information.
To provide a seamless experience, we use third-party services that collect or process information:
Google Play Services / Apple APNS: Required for core app functionality and push notifications.
Firebase Analytics & Cloud Functions: Anonymized data to monitor crashes, plus serverless execution for syncing.
OpenAI API: Used to power Invenly's AI Chat, invoice scanner, and auto-fill features. Sent data is processed strictly to return results and is not retained or used for training.
Paddle.com: Acts as our Merchant of Record. All subscription and payment processing is handled securely by Paddle. We do not store or process your credit card information on our servers.
Your data is securely stored on Google Cloud infrastructure (Firebase). We employ strict Database Security Rules to ensure that multi-tenant data is completely isolated. You can only access data belonging to the organization you are explicitly authorized to view. We do not sell or share your organizational data with any third parties.
Please Note: While we provide a secure cloud infrastructure, you (the User or Organization) are solely and fully responsible for maintaining regular backups of your inventory records and user list (e.g. using the built-in CSV/Excel export tools).
You have the right to access, update, or request deletion of your personal data and your organization's data. Organization administrators can delete their entire organization's data directly from within the app, which securely cascades and removes all associated records.
We reserve the right to update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page.
