Library E-Resources Access Policy

The policy outlines the terms and conditions under which all patrons of IIMV are granted access to the library e-resources of Indian Institute of Management Visakhapatnam Learning Resource Centre.

This policy aims to facilitate continuous learning to provide all participants with access to library e-resources to support their ongoing academic, research, and professional development.

 

Fair Use policy and guidelines for subscribed electronic content

All electronic resources available through the Library Resource Centre are for academic use only and are governed by license agreements. It is the responsibility of individual users to ensure that e-resources are used for personal, educational and research purposes only. Most of the agreements specify prohibited uses of the licensed content, some of them are listed below:

 

Scope of Access:

To ensure responsible and fair use of library resources, users must adhere to the following guidelines.

·         Access is granted for personal, academic, and research purposes only.

·         Users must not share login credentials or access details with unauthorized individuals.

·         Bulk downloading, systematic retrieval of content, or automated data extraction is strictly prohibited.

·         Printing and downloading should comply with publisher-imposed limits and fair use policies.

·         Limited access to bibliographic databases and citation management tools.

 

 Ethical Guidelines and Compliance:

All users must comply with institutional policies, licensing agreements, and copyright laws. Users are strictly prohibited from redistributing, copying, or reproducing licensed library materials for commercial or public distribution. This includes, but is not limited to:


Prohibited Uses

Ø  Systematic or programmatic downloading, retention, and printing are prohibited. For example, you cannot download entire issue of a journal or print out several copies of the same article.

Ø  Electronic distribution of content is also restricted although the specific restrictions vary from publisher to publisher. It may be permissible to forward an article to another colleague in your own institution by email, however, transmitting an article to someone outside of the institution, or to a large group of recipients, a mailing list, or an electronic bulletin board, is not allowed.

Ø  You cannot post the PDF of an article on your website. The publishers' main concern is that people outside of your campus network should not be able to access resources licensed by your institution. However, a researcher can post a pre-print of an article written by him/her.

Ø  Posting the publisher's version or PDF of an article to an open class website is prohibited (instead, post the URL to the article which will allow only authorized users access).

Ø  As with any kind of scholarly communication, a researcher can use phrases or quotes from other articles and cite the source of information. However, a researcher is prohibited from using large chunk of information (paragraphs and chapters) from an article or from a chapter in a book.

Ø  Uploading or posting copyrighted materials on public websites, forums, or social media platforms.

Ø  Distributing library resources for commercial gain or unauthorized academic use.

Ø  Using institutional login credentials to provide access to unauthorized users.

Ø  Any misuse of access privileges may result in immediate suspension or revocation of library access, legal action, or disciplinary measures as per institutional policies.

 

Users are expected to use library resources responsibly and in compliance with all applicable agreements and regulations.


Consequences on Electronic Content License Violation

Publishers track the use of their electronic resources in terms of number of downloads made by subscribing institution. Misuse, if any, is notified to the subscribing institution with details of kinds of violations and institution is expected to take action. The publisher also suspends the access to e-resource pending suitable action by subscribing institution. The access is stopped not only for journals where license agreement was violated but for all journals by the same publisher.

Subscribed electronic content & its permitted use

Viewing, downloading, copying, printing and saving a copy of search results

Viewing, downloading, copying, printing and saving individual articles

Using e-resources for scholarly, educational or scientific research, teaching, private study and clinical purposes

Sending a copy of an article to another authorized user (i.e. current faculty, students or staff)

Posting the URL to the publisher's version of the article on a class website (publisher links will allow only authorized users access)


Subscribed electronic content & its Prohibited/Illegal use

Use of robots or intelligent agents to do systematic, bulk or automatic downloading is not permitted

Systematic downloading or printing of entire journal issues or volumes, or large portions of other e-resources is not permitted

Using e-resources for commercial gain is not permitted (i.e. reselling, redistributing or republishing licensed content)

Transmitting, disseminating or otherwise making online content available to unauthorized users (i.e. sending to mailing lists or electronic bulletin boards) is not permitted

Posting the publisher's version or PDF of an article to an open class website is not permitted (instead, post the URL to the article which will allow only authorized users access)


Eligibility Criteria: Regular Programs

1.      Students Enrolled for Regular Programs

2.      Scholars Enrolled for Regular Programs

3.      Faculty Members of IIM Visakhapatnam

4.      Staff Members of IIM Visakhapatnam

The above user category shall be eligible for all print and e-Resources subscribed to by the institution.

Eligibility Criteria for Members other than the regular courses.

Access to library resources under this agreement is granted to the following user categories: These category members are eligible for only specific resources of the library in print and e-resources. Databases like journals, e-Books shall be allowed for access inside the library premises with valid IIMV domain email ID and with proper permissions from the concerned authorities. However, like economic, finance, research databases are strictly restricted for the users under this category.

Alumni:

·         Individuals who have successfully completed their academic programs at Indian Institute of Management Visakhapatnam

·         Must have no outstanding dues (library fines, unreturned books, etc.).

·         Required to provide valid alumni credentials or proof of graduation.

Executive Program Participants:

·         Participants enrolled in executive education programs such as SIDBI, EEP, or other institution-approved certificate and training programs.

·         Access is subject to the duration of the respective program and may be extended based on institutional policies.

·         Required to submit proof of enrollment or program completion.

*Researchers, visiting scholars/faculty, or industry professionals affiliated with the institution may be granted limited access upon approval.

** The library reserves the right to suspend or terminate access at any time without prior notice.

*** No access to Remote Access facility shall be granted to the users others than the regularly enrolled students.
