1. Who the App is for

The App is provided to businesses and their staff. Accounts are created for Facility Managers and Administrators of an organisation. The App is not directed at children and we do not knowingly collect information from children under 13.

2. Information we collect

Account information

- Name, email address and password when you sign up or sign in as a Facility Manager or Administrator.

- Company name, site name and site address linked to your account.

- Profile details you choose to enter or edit (first name, last name, email, company).

Information you enter about your operations

- Locations, areas, hubs and dispensers (soap, towel and tissue) and the sensors paired to them.

- Cleaners you add: name, employee ID, address, gender and date of birth, as entered by you.

- Tasks, task groups, cleaning routines and cleaning reports.

Sensor and usage data from Hysential hardware

- Dispenser status and battery levels, visitor counts (male, female, disabled), cleanliness and consumption figures, and critical-time data reported by the sensors installed in your washrooms.

- This data is about washroom usage and equipment. The sensors count visits and measure dispenser levels; they do not identify individual visitors.

Camera

- The App asks for camera access only so you can scan a sensor's QR code to add or replace it. Images from the camera are processed on the device to read the code. We do not store or upload photos or video from the camera.

Information stored on your device

- Your sign-in session tokens, your selected role (Facility Manager or Admin) and site information are saved on the tablet so you stay signed in. They are removed when you sign out or uninstall the App.

Technical information

- The App downloads fonts from Google Fonts when it runs. Google may receive your device's IP address as part of that request.

- Our servers may record standard technical logs (such as IP address, request time and errors) for security and troubleshooting.

We do not use advertising or third-party analytics tools in the App.

3. How we use information

- To create and manage your account and sign you in.

- To show your dashboard, insights, dispenser reports, cleaners, tasks and routines.

- To pair, replace and monitor sensors.

- To export data you request (for example as a CSV file) and share it using your device's share options.

- To maintain security, prevent misuse, fix problems and improve the App.

- To respond to your support requests.

4. How we share information

We do not sell your personal information. We share information only:

- With our cloud hosting provider (Microsoft Azure, Canada Central region), which stores the App's data on our behalf.

- With Google, for font delivery as described above.

- Within your organisation, according to the roles and permissions you set up.

- When you choose to export or share a file from the App.

- When required by law, or to protect the rights, safety and security of our users or the public.

- In connection with a merger, acquisition or sale of our business, in which case we will tell you about any change in how your information is handled.

5. Data storage, transfer and security

Data is sent between the App and our servers over encrypted (HTTPS) connections. Your information is stored on servers in Canada and may be processed in other countries where we or our providers operate. We take reasonable technical and organisational steps to protect your information, but no system is completely secure.

6. Data retention and deletion

We keep your information while your account is active and as long as needed to provide the App and meet legal obligations. You can ask us to delete your account and associated data at any time by contacting us at the address below. We will respond within a reasonable time and delete or anonymise the information unless we are required to keep it by law. Cleaner records and other business data entered by your organisation may also be removed by your administrator inside the App.

7. Your rights

Depending on where you live, you may have the right to access, correct, delete or export your personal information, to object to or restrict certain processing, and to withdraw consent. To exercise these rights, contact us at the address below. If you are in the European Economic Area or the UK, you may also complain to your local data protection authority.

Where you enter personal information about other people (for example your cleaners), you are responsible for having the right to do so and for informing them.

8. Permissions used by the App

- Internet: to communicate with our servers.

- Camera: to scan sensor QR codes.

9. Children's privacy

The App is intended for business use by adults. If you believe a child has provided us with personal information, contact us and we will delete it.

10. Changes to this policy

We may update this policy from time to time. We will post the new version on this page and change the "Last updated" date. Significant changes may also be shown in the App.
