Family-Friendly Standards
This is a family-friendly event. All products, signage, decor and conduct must be appropriate for all younger ages. Any vendor wanting to sell prohibited or age-inappropriate items will not be admitted to the event.
Required Documents
Only vendors selling food must submit a copy of their Food Permit or Home Processor Registration Form, prior to the event. Failure to provide these documents will result in denial of participation. Please email them to: villagewfrecreation@gmail.com
Arrival & Setup
Vendor setup is from 3–4:30 PM only. The entry to the park closes at 4:40 pm. Enter at Spring Street - the side of Grinnell Library (It's one way only). Upon arrival, vendors will be given a Spot Number for their setup area.
To keep the flow of traffic moving smoothly, please drop off your items by your spot and continue to the parking area. Parking is located toward the exit of the park. All vendors must be fully set up by 5 PM.
This is an outdoor event that continues into nightfall and the weather can be very cold, so please come prepared for these conditions. You may bring a portable heater of any kind and lighting to highlight your products.
Spot Dimensions
Each standard space is 10×10 feet. All pop-up canopies must be properly weighted for safety.
Special Requests
There is a limited supply of outlets. Vendors requiring power must indicate this on the registration form and must bring their own extension cords. Each vendor must bring their own table, chairs and booth setup, as nothing is provided. Indicate any other requests on the registration form.
Cleanliness
Vendors are responsible for keeping their area clean throughout the event. All trash must be properly disposed of. Please leave your space as you found it.
Breakdown
Breakdown can begin at 7 PM, this is around the time the event slows down and the crowd dwindles. If vendors prefer to hold off a bit longer, that is preferable. Vehicles may be brought to vendor spots to pack but please be careful as there will be people still roaming around the park. Also, remember it's a one-way exit.
You'll receive a confirmation email after submitting your registration form. If you don't receive a confirmation, please reach out to us. We will confirm with all vendors again, one week prior to the event. If we don't receive a confirmation, we will remove you from the attendee list and not be allowed to enter the park. If your plans change after your confirmation, please let us know as soon as possible.
We appreciate all vendors interested in joining us at our events. For this event, please note that we make sure all vendor product types are exclusive on a first-registered basis. If we receive a registration for a duplicate vendor type, we will reach out to them and politely decline their registration. Additionally, as this is a seasonal event, we encourage all vendors to showcase holiday-themed items to coincide with the festival.
