President
The President presides at all meetings of the association, the executive committees, & the board. The President appoints chairs and committee members with the Executive Committee; and may appoint a parliamentarian and historian with approval of the board. Coordinates the work of the officers and committees of the association and meets with the site administrator - Principal. The President also approves all materials prior to distribution, signs all payment authorizations and contracts, and acts as an authorized check signer. The President is the official representative of the association at council meetings as required by the bylaws; also is the official contact, is familiar with financial procedures, and performs other duties assigned by the association.
Vice President of Ways & Means
The Vice President of Ways & Means is an aide to the President and is first in succession if the President is unable to fulfill duties to act as President. Attends the monthly board meetings and general meetings throughout the year.
Responsible for developing goals & plans for PTA fundraising for the year. Plans seasonal fundraisers, skate nights, and spirit nights and oversees any fundraising subcommittees. The VP of Ways & Means also establishes and maintains business relationships with the PTA as well as secures and records any donations to the PTA for programs and events.
Vice President of Programs
The Vice President of Programs is an aide to the President and is second in succession if the president is unable to fulfill duties to act as President. Attends the monthly board meetings and general meetings throughout the year.
Responsible for developing a calendar & plans of work for the year's planned Programs. Establishes and oversees subcommittees for each program. Works with the President and Budget Committee to develop appropriate budgets for all programs. Works with VP of Ways & Means to coordinate any donations for Programs and any incorporation of Business Partnerships with planned Programs.
Vice President of Membership & Engagement
The Vice President of Membership & Engagement is an aide to the President and is third in succession if the president is unable to fulfill duties to act as President. Attends the monthly board meetings and general meetings and report on membership goals throughout the year.
Responsible to develop membership theme for the year, encourage PTA membership at PTA & School Events. Encourage community memberships as well via outreach to community partners. Provides oversight for Milty's Support Squad (projects team) and Volunteer Coordination team.
Treasurer
The Treasurer is responsible for the maintenance of the books or account and records as required in the bylaws. Keeps a full and accurate account of receipts and expenditures and makes disbursements in accordance with the approved budget as authorized by the association. The Treasurer presents a financial statement at every meeting of the association and at other times when requested by the board and makes a full report at the annual meeting. The Treasurer is also responsible for maintaining financial transparency, having custody of all the funds of the association, and ensuring at least 3 signatures are on file at the bank and all checks have two signatures. Annually provides complete financial records for the annual audit by an auditor or committee.
Recording Secretary
The Recording Secretary acts as the official record keeper of the organization. Maintains an accurate list of governing documents, members, committee membership, official meeting attendance, and roll-call list. Works with the President to prepare meeting agendas, maintains the file of committee reports, and records minutes of all meetings of the association, executive committees, and the executive board. Prepares an annual report before the annual meeting and in absence of President and VP, the Recording Secretary calls meetings to order and conducts election for pro-tem chair for that meeting.
The Secretary prepares all written communications as directed by association or board. Sends out the 'call to meeting' notice (official notice of meeting given to all members of the organization). Distributes to members the packet of materials needed prior to meetings (electronic or hard copy). After a meeting, the Secretary distributes recorded minutes to members, provides each committee any information referred to them during a meeting, and distributes any amended documents. Notifies any officers, delegates, and committee members of their election/appointment.
Hamilton PTA Officer Selection Process
Each year the Hamilton Elementary PTA will select a Nominating Committee of 3-5 volunteers from the general membership. This Nominating Committee will collect nominations and meet to select current members for each position to be nominated on behalf of the Hamilton Elementary PTA for upcoming school year officers.
This committee will create the nomination application and hold any necessary interviews to determine the appropriate candidates for each position. One they have chosen their slate, they will publish the slate and attend the annual Hamilton Elementary PTA Election Meeting, held in May, where they will share nominations for each position.
**Please note that nominations for each officer position can be raised from the floor by any member at the election meeting as well.
Article VI, Section 1d. of our bylaws states that, "a person shall not be eligible to serve more than two consecutive terms in the same office."
