Booster Board Responsibilities

Use this as a guide for each committee’s responsibility and who to contact during the season for respective questions

Board Position: Co- Presidents

Gina Wines + Stephanie DerOhannessian

• Shares all board information with coach and coach information with board and parents

• Oversees committees

• Should be copied on emails for all booster activities

• Shares and gets approval for parent correspondence from coaches

• Helps set budget with treasurer

• Calls and runs all non-coach meetings

• Is point person for concerns about any committee activities or parental concerns not related to coaching

• Supports coaching staff and girls in having  successful season

Board Position: Secretary

Kim Henderson 

• Gathers minutes from all meetings

• Distributes minutes by email within 48 hours

• Helps with sign ups for pasta dinners

• Creates handouts for meetings

• Organizes files

• Records information to distribute to parents

• Emails should not go out to parents without board members’ and coaches’ approval

Board Position: Treasurer 

Tim O'Donnell

• Keeps all financial records

• Writes checks with a president’s co-signature

• Collects dues and fees

• Helps set and maintain budget

• Oversees checking account

• Presents budget to coach and board members

• Makes committee members aware of budget and proper fiscal responsibility for their committee

Fundraising Committee

Fundraising Committee--

• Purpose - All this is to defer cost out of parents pockets and to keep our fees low.

• Put together a schedule of fundraising events throughout field hockey season and have secretary send out to parents through email.

• Coordinate Play Day

  • communicate with head coaches about the schedule

  • organize parents to volunteer for donations for team tent and referee tent 

  • coordinate timer table and registration table

  • pay officials at the conclusion of their shifts 

•  Plan and organize Car Wash on 9/14/19 - Kate Wolfe will help with this organization.                  

Spirit Wear Committee

Spirit Wear Committee – 

Board Member--

• Late spring / early summer research, evaluate, select vendor.  

• Work with coaches to establish open/close date for the web store or timing of order forms.

• Coordinate selection of items to be offered (consult with coaches/seniors).

• Obtain samples for sizing etc.  

• Communicate ordering info to players/parents. 

• Collect order forms and pmts / Distribute orders.

Senior Night Committee

Senior Night Chairperson(s) – 

Board Member--

Senior Night Committee -

• Oversee/offer direction for senior collages (prepared by juniors).

• Coordinate with professional photographer to get action shots of seniors.

• Coordinate Senior Night t-shirts (design/sizes/ordering etc).

• Collect bio sheets from seniors.

• Decorate fence on Sr. Night (hang collages/pictures/balloons on fence etc).

• Oversee printing of program.

Team Photography Committee

Team Photography Volunteers:  Photography Volunteers are needed for Varsity and JV!

Board Member--TBD

• Generate sign up genius to coordinate volunteers to:

  1. Take pictures (on field and off) at each game (all  teams).

  2. Video select games 

  3. Take action shots and candids of all players at the Varsity and JV levels

  4. Organize photos into a public accessible account such as Shutterfly

  5. Compose slide show for end of season banquet.
