This Privacy Policy governs your use of the GenChip mobile application ("Application"), created by Bespoke Systems Pvt. Ltd. The Application is an Enterprise Human Resource Management System (HRMS) and Field Workforce Automation tool provided to authorized corporate employees and staff.

1. Information We Collect

To provide HR management, attendance, leave workflow, and field visit tracking, GenChip collects the following categories of data:

• Personal & Identity Information: Employee Name, Employee ID, Email Address, Contact Number, Designation, and Company Code provided by your employer.

• Location Information (GPS): Real-time precise (GPS) and coarse location data when you clock-in/clock-out for attendance, apply for attendance regularization, or submit field visit location check-ins.

• Camera & Media Access: Images captured via device camera or selected from photo picker solely for uploading profile pictures, expense receipts/bills, and supporting document attachments for leave requests.

• Financial & Expense Records: Petty cash expense claims, travel allowance details, and salary/payslip records.

• Device & Network Information: Device model, operating system version, unique device identifiers, and network IP address for authentication and security log verification.

2. How We Use Information

The collected information is strictly used for enterprise operational management, including:

• Verifying employee attendance and location during work shifts.

• Processing leave applications, overtime requests, and C-Off approvals.

• Managing petty cash expense reimbursements and travel claims.

• Tracking field visits and task completion for field operations.

• Generating employee salary details and HR management reporting.

3. Data Sharing and Disclosure

We do not sell, rent, or trade your personal data to third parties. Data is shared exclusively with your employer organization (corporate administrator) for payroll, attendance, and HR purposes.

4. Data Storage & Security

We implement industry-standard encryption protocols (HTTPS/SSL) for all data in transit and secure database storage. Access to employee data is restricted to authorized company administrators.

5. User Permissions & Rights

You can manage device permissions (Location, Camera, Storage) anytime via your device Settings. Note that disabling essential permissions like Location may impact features such as GPS Attendance verification.
