This Privacy Policy explains how GAIA collects, uses, stores, and protects information when authorized users access and use the application for dealership operations.

3. Location Data

GAIA may collect precise location data from the device during an active Test Drive workflow. This data may be used to record the live route, current trip position, GPS distance, trip duration, and start and end location details for dealership operations and internal monitoring.

Background location is intended to be used only while an active Test Drive is in progress and is expected to stop when the Test Drive ends.

4. Background Location Disclosure

GAIA uses background location only during an active Test Drive to continue route tracking when the app is not visible. This allows the app to maintain a complete trip record, including route, duration, and GPS distance. Background location is not used for advertising or unrelated tracking.

5. Customer and Business Data

Authorized users may enter customer and operational data for dealership activities such as quotations, follow-ups, Test Drives, approvals, and messaging workflows. This information is used only for internal dealership operations and record management.

6. File and PDF Handling

GAIA may generate PDFs, including quotation documents, and allows authorized users to preview or share those files for business communication. Files are shared only when initiated by an authorized user.

7. Notifications

GAIA may use push notifications to inform users about internal operational events such as Test Drive requests, approvals, and workflow updates. These notifications are used only for app functionality.

8. Data Sharing

Data may be processed through integrated services required for app functionality, such as Google Apps Script, Google Sheets, Firebase Cloud Messaging, and authorized WhatsApp integration workflows. Data is shared only as necessary to support the app’s business functions.

9. Data Retention

We retain operational and user data only for as long as required to support dealership workflows, reporting, record-keeping, and legitimate internal business needs.

We take reasonable measures to protect information processed by GAIA. However, no system can guarantee absolute security. Authorized users are responsible for maintaining the confidentiality of their credentials.

11. Access Control

GAIA is intended only for authorized users. Sign-up access may be visible, but login and operational access are controlled internally. Users may be approved, restricted, or removed from access as part of internal control processes.

12. Children’s Privacy

GAIA is not intended for children. The app is designed for internal business and dealership operations only.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Any updated version will be made available at the active privacy policy URL. Continued use of the app after changes means acceptance of the updated policy.
