In our company we have some files on Google Drive which I share with different people using a share link. Company policy dictates that shares, passwords,... need to be changed regularly to decline access to employees who have been fired, left, retired and so on.

Right now, what I do is make a copy of these files, rename them and share the newly created copies.

However, this feels very devious and I can hardly believe there isn't a better way for this.

Stop sharing the file and then sharing it again leaves me with the same share link as before, so this isn't a solution.

If you are using a consumer account, create a Google Groups group, add the people that you want to give access to the files as members, and share the files to the group's email address. Then, when someone leave the organization, remove that member from the group.

The files on your OneDrive are private until you share them. Keep in mind that when you share folders with Edit permissions, people you share with can add the shared folders to their own OneDrive. This lets them keep the folder alongside their own folders and items, easily move items between folders, and more easily work on it offline. Any updates they make sync with the shared folder, so everyone with access to the folder is up to date.

Choose this option to share items with lots of people you might not even know personally. For example, you can use these links to post to Facebook, Twitter, or LinkedIn, or share in an email or message. Anyone who gets the link can view or edit the item, depending on the permission you set. Users with the link cannot upload new items. If the selected file or folder is shared with someone already, there is a Shared with list at the bottom. Each image is either the profile photo of an individual or the initials of a group that the file has been shared with. If you want to edit the access level for an individual or group, select a photo or group initials to open Manage Access.

People with existing access can be used by people who already have access to the document or folder. It does not change any permissions. Use this if you just want to send a link to somebody who already has access.

Specific people gives access only to the people you specify, although other people may already have access. If people forward the sharing invitation, only people who already have access to the item will be able to use the link.

Allow editing lets people who are signed in with a Microsoft Account edit the files or folders they have access to. If you're sharing a folder, people with Edit permissions can copy, move, edit, rename, share, and delete anything in the folder they have access to. Unchecking this box means that people can view, copy, or download your items without signing in. They can also forward the link to other people. However, they cannot make changes to the version on your OneDrive.

Set expiration date lets you set a date for the link to expire. After the date you set, the link won't work anymore and you will need to create a new link for users requiring access to your file or folder.

Set password letsyou set a password to access the file. When a user clicks the link, they will be prompted to enter a password before they can access the file. You'll need to provide this password separately to anyone you want to share the file with.

You can also set editing permissions on the previous screen. Under Send link, next to the Name, group or email field, select the pencil icon to change the editing permissions for the people or groups you have entered.

In the Name, group or email field, start typing the email addresses or contact names of people you want to share with. When you begin to enter info in the box, you can also choose a contact from the list that appears.

A link in this format is not part of the file resource object, nor it is returned from the http call setting the permissions. I hope someone can explain to me how to get this link through the REST api?

Email: Click Share. In the email window that appears, add the email addresses of the people you want to share with, make any additional edits, then click Send. The email option is only available when you have iCloud Mail turned on.

Copy Link: After you select Copy Link, a text box appears. Add the email addresses or phone numbers the people you want to share with, then click Share. A new window appears with the link for your file. Copy the link and send it.

Your administrator defines the maximum actions that shared link recipients can take separately for files, folders, and Box Notes and also defines the default choice for each when more than one choice is made available.

You can set the link options on individual files and/or folders by the owner, across all owned content, or by the admin for the entire company. Also, verify that the setting you choose allows file access to the person with whom you are sharing it. Otherwise, your intended recipient receives an error when they click on the link.

Finally, you can remove or cancel a shared link. To do this, from the Share window, click the Share Link slider to move it to the left. The slider color changes from blue to grey.

Box makes it easy to collaborate on and share files and documents with anyone, inside or outside your organization. However, when you share, move, or copy content, the permission to access those items might change, often to a less restrictive setting. More on how Box helps you keep your content secure.

When a collaborator has more restrictive access to a file that that is given through a shared link, the collaborator gains the permissions provided by the link when accessing a file with the link. For example, a user collaborating on a file you own has just the Viewer collaborator role. You create a shared link and allow View and download. If that user accesses the file with the shared link, rather than directly, they could both view and download the file.
