• Reserve Your Date: Schedule your preferred Friday in September, October, or November by clicking and submitting the “Request an In-School Field Trip” at the top of this site. Once we receive it, we will confirm your reservation and add your school to our performance calendar or send you the available dates. It's first-come, first-served for scheduling, so the sooner the better! 

• Parent-School Communication: Approximately 2–3 weeks before the event, we will provide a parent flyer with information about our fun upcoming celebration. The school will distribute the flyer along with the school’s permission slip for the in-school field trip, including the low-cost $4-per-student participation fee, for parents to sign and return. This helps cover the costs of marketing, production, travel, maintenance, insurance, and administration. This ensures seasonal funding for continued growth.

• Build Excitement: We encourage teachers to help generate enthusiasm by letting students know that Las Flores del Sur will soon be visiting for a fun, interactive cultural celebration!!

• Person of Contact: We will coordinate with the selected person of contact 1-2 weeks before the event to confirm logistics. We will also report to them on arrival after checking in at the front office and throughout the entire event.

• Collection of Participation Fees: The school will collect participation fees through its normal internal process. Payment may be made by check payable to NAM LLC with “Las Flores del Sur” in the memo line. An invoice and receipt will be provided for the school’s records with the school-provided number of participants upon final payment exchange. Payment is requested on the day of the performance whenever possible, and due no later than three business days following the event.

• Arrival & Setup: The Las Flores del Sur team will arrive approximately one hour prior to the scheduled performance to allow adequate time for setup and preparation.

• Private Changing Area: We request access to a private classroom, office, or restroom where performers may change into traditional attire and safely store personal belongings during the event. Preferably close to the performance area.

• Audio & Technical Setup: Our Live DJ will require access to electrical outlets to set up sound equipment, perform an audio check, and ensure optimal sound quality before students arrive. We kindly request that no student activities or classes be held during setup and breakdown to ensure the safety of students and equipment.

• Stage & Decorations: Our production team will set up cultural decorations, backdrops, and presentation materials before the performance begins.

• Performance Space: Ideal setup would be in the gymnasium, cafeteria, or auditorium. Minimum space needed for dancers and equipment is 25x25 ft.

• Audience Size: We can accommodate the entire school if space permits. Most schools will run two back-to-back programs, with upper and lower grades divided. 

• Parking & Loading: If possible, a designated unloading/loading area close to the performance entrance for equipment.

• Performance Length: 45-minute program with 1 hour set up before program and 45 minutes breakdown after program.

• Cancellation/Rescheduling: We will work with the school to set another date at the school's earliest convenience in case of natural disaster, weather warning, or other emergency.

• Emergency Procedures: Our team will follow all school visitor policies, emergency procedures, and safety protocols while on campus.

• Student Performer Documentation: Our Assistant Manager will coordinate with the front office to obtain signed excused absence documentation for participating middle and high school student performers. This provides clear documentation for performers to have an excused absence and make up any schoolwork they missed that Friday.

• Photography & Videography: A member of the Las Flores del Sur team may capture photos and video throughout the event to document student engagement and memorable moments. All media will be collected in accordance with the school’s media policies and the permissions granted by parents or guardians.

Students learn about Hispanic traditions, music, dance, language, and history through a live, interactive experience. This helps broaden their understanding of the world and the diverse communities around them.

The core message of Las Flores del Sur is, “We are more alike than we are different.” Students learn to appreciate differences while recognizing the values and experiences we all share.

 Increases Student Engagement
Students aren’t just watching; They participate by learning Spanish, volunteering in front of their peers, and dancing together. Active participation helps improve learning and retention.

 Builds Confidence
Students who volunteer to count in Spanish, answer questions, or participate in activities practice public speaking and gain confidence in a supportive environment.

For Hispanic students, seeing their culture represented positively at school can increase feelings of belonging and pride. For all students, it reinforces that every culture has value and deserves respect.

The program complements classroom learning by exposing students to world languages, geography, history, music, performing arts, and cultural studies through a real-world experience.

The assembly brings students together through music, movement, and for many Alabama students, a first-time exposure to a different culture. This creates excitement and positive memories that often last long after the program ends.
