Flamboyant Technologies Pvt. Ltd. (“Flamboyant”, “we”, “our”, or “us”) provides digital transformation, ERP implementation, cloud, AI, managed services, and software products . This Privacy Policy explains how we collect, use, store, share, and protect personal information when you use our mobile applications, websites, products, and services.

Flamboyant Technologies Pvt. Ltd. (“Flamboyant”, “we”, “our”, or “us”) operates FlamX, a project and workforce management application (the “App”). This Privacy Policy explains how we collect, use, store, share, and protect personal information when you use the FlamX mobile application and its related services.
FlamX is a business productivity application intended for use by organizations and their employees, managers, HR, accounts, and administrative staff. In most cases, your employer or organization (the “Customer”) is the data controller of the information processed through FlamX, and Flamboyant acts as a data processor, processing data only according to the Customer’s instructions and the applicable service agreement.
1. Scope of This Privacy Policy
This Privacy Policy applies to:
Users of the FlamX mobile and web application.
Employees, managers, HR, accounts, and administrative users of organizations that use FlamX.
Customers, prospective customers, and partners who evaluate or subscribe to FlamX.
Where FlamX is deployed for an organization, the organization determines what data is collected and how it is used within the app, and this data is processed on their behalf.
2. Information We Collect
Depending on your role and how your organization has configured FlamX, we may collect the following categories of information:
Account and Profile Information
Name, email address, mobile/phone number, employee code or username, password, company name, job title, department, reporting manager, date of birth, blood group, marital status, profile photo, and role assignments (e.g., admin, HR, accounts, manager, employee).
Work and Productivity Data
Daily task sheets and time logs (projects, tickets/activities, descriptions, start/end times, hours, blockers), project and ticket details, approvals, goals, praise, and performance records.
Financial and Payroll Information
Where enabled by your organization, salary-slip details, annual CTC, and payroll-identity fields such as PAN, UAN, PF number, and bank account details, as well as expense claims, amounts, categories, and uploaded receipts.
HR and Employee Records
Leave, work-from-home, and weekly-off requests; holidays; employee documents you or your organization upload (e.g., Aadhaar, PAN, resume, joining and exit documents); and IT asset assignments.
Uploaded Files and Media
Documents, images, receipts, and attachments you upload through the App.
Device and Technical Information
Device model, operating system version, app version, IP address, device identifiers, crash reports, diagnostic logs, and information about how you interact with the App.
Notifications Data
Information required to deliver in-app and push notifications relevant to your account and role.
3. How We Use Information
We use information to:
Create and manage user accounts and role-based access.
Provide, operate, configure, and support the App’s features (task sheets, projects, approvals, reports, expenses, leave/WFH, salary slips, assets, requests, holidays, announcements, and notifications).
Process time logs, requests, expenses, payroll documents, and related workflows.
Generate reports and analytics for your organization.
Send relevant service notifications, approvals, reminders, and account alerts.
Improve app performance, security, reliability, and user experience.
Detect, investigate, and prevent fraud, misuse, security incidents, and technical issues.
Comply with legal, regulatory, contractual, and audit obligations.
We do **not** use your personal information for advertising, and we do **not** sell your personal information.

5. App Permissions
FlamX requests device permissions only when required for specific features. Depending on the features you use, these may include:
Photos / Media / Storage / Files : to upload and download documents, receipts, attachments, and profile images, and to save exported files such as Excel reports and PDF salary slips.
Camera : where enabled, to capture documents or images for upload.
Notifications : to deliver approvals, reminders, and important account and service alerts.
Internet / Network access : to connect the App to our servers and provide core functionality.
You can control or revoke permissions at any time through your device settings. Some features may not work correctly if required permissions are disabled.
6. Sharing of Information
We do not sell personal information. We may share information only as necessary with:
Your organization (the Customer) : administrators, HR, accounts, and managers within your organization access data according to their roles and permissions.
Cloud and technology providers : hosting, storage, communications, and support providers required to deliver the service, bound by confidentiality and data-protection obligations.
Authorized sub-processors : bound by confidentiality and data-protection commitments.
Professional advisors : such as auditors, legal counsel, and accountants, where necessary.
Government authorities, regulators, courts, or law-enforcement agencies : when required by applicable law or legal process.
A successor organization : in the event of a merger, acquisition, restructuring, or sale of assets, subject to appropriate privacy protections.
7. International Data Transfers
Flamboyant operates from India and the United Arab Emirates. Information may be processed in countries where our cloud providers, technology partners, customers, or service providers operate. Where required by law, we use appropriate safeguards for international transfers, including contractual protections and standard contractual clauses.
8. Data Retention
We retain personal information only for as long as necessary to provide the service, meet contractual obligations, comply with legal and statutory requirements, resolve disputes, and protect our legal rights.
Where FlamX processes data on behalf of your organization, that data is retained and deleted according to the applicable customer agreement and the organization’s instructions.
9. Data and Account Deletion
If you would like to request deletion of your account and associated personal data, you can:
Contact your organization’s FlamX administrator (who manages your account), or

Where FlamX processes your information on behalf of your organization, we will act on the organization’s instructions and support them in fulfilling deletion requests, subject to legal and contractual retention obligations. Certain records may be retained where required by law (for example, statutory payroll or tax records).

We use reasonable technical, administrative, and organizational measures to protect personal information. These may include role-based and least-privilege access control, encryption of data in transit, encrypted local storage of sensitive credentials on your device, secure authentication with token-based sessions, secure software development practices, vulnerability management, access logging, monitoring, and security reviews.
No method of transmission or storage is completely secure. However, we work continuously to protect the information entrusted to us.
11. Your Rights
Subject to applicable law, you may have the right to:

We may update this Privacy Policy from time to time to reflect changes in the App, our services, technologies, business practices, or legal requirements. The “Last Updated” date at the top indicates when it was most recently revised. Continued use of FlamX after an update constitutes acceptance of the revised policy.
