Exporting data from QuickBooks Online can be useful when you want to keep a copy of your accounting information, move data to another system, or share business records with someone.
QuickBooks Online lets you export many reports, lists, transactions, and other information to Excel. However, not all data is exported from one single screen. Some information, such as estimates, purchase orders, attachments, and certain lists, needs to be exported separately.
QuickBooks Online allows you to export many types of business information, including financial reports and lists.
The main Export Data tool can include reports and lists such as financial reports, customer information, vendor information, and employee lists. Posting transactions that affect account balances can also be included.
Other information, such as estimates, purchase orders, attachments, recurring templates, and products and services, may require separate export steps.
The easiest way to export many types of QuickBooks Online data is through the Export Data option.
Sign in to QuickBooks Online and follow these steps:
Select Settings.
Select Export data.
Choose the reason for exporting if QuickBooks asks.
Open the Reports tab.
Select the date range you need.
Choose the reports and lists you want to export.
Select Export to Excel.
Choose where you want to save the downloaded file.
Select Save.
QuickBooks exports the selected reports and lists as Excel files in a ZIP file.
If you need a report that is not included in your main export, you can export it separately.
Go to Reports > Standard reports and search for the report you need.
Open the report and select Export or Export/Print, depending on the QuickBooks interface you see. Then select Export to Excel and save the file.
You can also customize some reports before exporting them if you only need specific information.
You can export customer information directly from the Customers area.
Go to All apps > Customer Hub > Customers & leads.
Select the export option next to the print option and choose Export to Excel.
You can also use the Customer Contact List report if you want to customize which customer details are included in the export.
Your Chart of Accounts can also be exported.
Go to Reports > Standard reports and search for the Account List report.
Open the report and select the export option. Then choose Export to Excel.
This gives you a copy of your account list that you can save outside QuickBooks.
To export your products and services, go to All apps > Sales & Get Paid > Products & services.
Select More and choose the option to run reports.
Then export the report to Excel and save the file to your computer.
Not always.
