In the table below, the "Expiration Date" column lists where to find the expiration date for that test, and the "Other Details" column lists the shelf-life for the test. The shelf-life is how long the test should work as expected and is measured from the date the test was manufactured. The expiration date is set at the end of the shelf-life and is the date through which the test is expected to perform as accurately as when manufactured. In some cases, the expiration date for a test may be extended.

An extended expiration date means the manufacturer provided data showing that the shelf-life is longer than was known when the test was first authorized. Please also keep in mind to keep track of the expiration dates of the lot that you are sending to FBA in case of restock.

I have a small number of people in our Discourse community. However when I set them up I included an expiry date for a specific reason. I now want to extend the expiry dates - or even remove. I cannot see how to do this from the admin portal. Is this possible or does the user have to opt back in? Thanks

I have used a expiry date field and a date field on the template and what I want, is an email notification sent approx 30 days advising of expiry date however, it seems it will send expiry notifications on all document dates as opposed to those documents that have expiry dates. There are other documents within the folders that will not have expiry dates.

Basically, what you want to do is use the "Date Token Calculator" activity to find the target date that you want to send notifications for. Then, you'll use the "Search Repository" activity to find every document that has an expiration date that matches. Once you have that info, you can use "For Each Entry" to send an email for each entry that your search finds.

What I was hoping for is a notification to the relevant persons on the expiry dates for a particular folder containing folders that would have all different expiry dates even though other documents will not require notification. Below is a screenshot of the workflow I was working on. I included the date token that was to retrieve an expiry date from a field value. The email sends but it notifies as soon as the document drops in the folder as opposed to notifying when the due date is actually due. I would be hoping to have a similar rule in other workflows notifying relevant people of expiry dates but I do not want all users receiving emails of expiry dates not relevant to them. I tried the search repository but I am not really sure what I should be doing in the search query as anyone I selected is still not giving me what I require. The email still keeps populating as soon as a document is drop in a folder. I want to keep it as simple as possible in order to be able to understand it.

Hi Miruna How do put in a scheduled starting rule? Will this cause a second workflow to run? I have very little knowledge of Laserfiche and the online manuals are not very clear. Also the Search query within the search repository nothing seems to be returning when I select the test Search query.

You will have to use the setup described in the thread Anita linked above. It might help understanding that thread if you think of your problem as "every day, I want to email a list of documents expiring 30 days from now".

I am new to Laserfiche workflows. I have been working on one all day. We have insurance required for specific agreements. This insurance must be updated each year. I have created a template to input the Expiry Date of the insurance. I am trying to create a workflow to retrieve this expiry date and send an email to a specific person 30 days before the expiry date.

I have read all of the discussions on here regarding the topic and I cannot seem to create a workflow that will work properly. I used one of the other discussion boards to help create this workflow. I have tried other versions of this with the date token calculator, but still no luck. I had gotten to the point where it would send an email, but it sent the email for every folder within the parent folder, not just those satisfying the expiry date requirements. Any thoughts?

What you want to do is have a workflow that runs each day and finds documents that will expire 30 days from the current date. So you'd want to replace Find Entries with a Search Repository with the appropriate criteria (like the folder path you're using in Find Entries plus a field search using the expiration date field). You would need a Date Token Calculator to figure out what date 30 days from the current date is, then you'd use the token in the search.

Thank you for the quick response. I was using the "Find Entries" to retrieve the field value of Expiry Dates I have entered into my templates. I want the workflow to pull the field value of "Insurance Expiry Date" from my entries and use to Date Token Calculator to subtract 30 days from this date and send a notification email. Is there another way to pull the field values without using "Find Entries"?

I have a search in workflow that I want to check todays date against an expiration date - 30 days, so I have a token for todays date and a token for todays date - 30 days and I cant seem to get it to work because of a syntax error.

I am using workspace daily.


I often share files to clients which i have worked on then need to share with them, they then download the files and thats the end of the job.


Will we at some stage see a option while using google drive to share files to an external recipient and have those files delete automatically after they have been downloaded? Similar to Drop Box, We Transfer, And Swisstransfer

I'm not sure how non google users would download files since they would require a gmail account to be verified.

Alternatively a unlock code could be sent with every file share for those clients without Google account.

when you share a file or folder from Google Drive with specific people, you will get an option to set an expiration date for the share. The share will then automatically be removed once the expiration date is reached. More information here:

Now, when you share with someone who doesn't have a Google account, the share will automatically be protected with a PIN (you don't need to do anything for this to work - it's automatic). When someone without a Google account tries to access the share, Google will prompt them to verify their email address. Google will then send them the PIN code via email, which they can then use to unlock the share. Here is some more info:

I would suggest that since you're the creator of the files, you share the files with the recipients as "Viewer" or "Commenter", you can then change the permissions so that Viewers and Commenters can never download the file or copy or print etc. That way you will retain the complete ownership of the document.
