There are two airports in the vicinity of Louvain-la-Neuve:
By railway (https://www.belgiantrain.be/)
From the national airport: The national airport has a railway station on floor -1 that provides an easy connection to Louvain-la-Neuve. There is direct train from Brussels-Nat.-Airport to Brussels North (c. 12 min.), where one can transfer to the train to Louvain-la-Neuve université (c. 1 hour).
From the Brussels South airport: Participants should take the airport bus TEC (called “bus/line A”; 5 € one way ticket) to the train station of Charleroi-south(Charleroi-sud). From there, a regional train goes to Louvain-la-Neuve Université with a transfer in Ottignies.

By international train: Participants arriving by international train (ICE, TGV, Eurostar, Thalys) at the station of Brussels South (Bruxelles-Midi/Brussel Zuid) can take either a direct train to Louvain-la-Neuve Université each hour or two additional trains with a transfer in Ottignies each hour (about 1 hour).
Please make sure to select the regional train that goes to Louvain-la-Neuve Université (or in short Louvain LN-Univ.), since the city of Leuven in the Flemish part of Belgium, 30 km. from Louvain-la-Neuve, is named Louvain in French and will be announced as such on train schedules at Belgian railway stations. This ambiguity continues to confuse foreign visitors.
By car
The inner city of Louvain-la-Neuve is a pedestrian zone, so the parking Lauzelle/Wallonie next to the Ibis styles hotel Louvain-la-Neuve is the closest free parking in the neighborhood. There are quite a few (relatively) expensive underground partings right below the inner city of Louvain-la-Neuve.
There are three hotels in Louvain-la-Neuve: https://www.accorhotels.com/gb/hotel-2200-ibis-styles-louvain-la-neuve-hotel-and-events/index.shtml , https://www.martinshotels.com/en/hotel/martins-louvain-la-neuve , https://www.martinshotels.com/en/hotel/martins-all-suites . The first one is about 1km walk from the town center (where the conference takes place), the other two are right next to each other in the very center of town at 300m from the conference site.
The non-Belgian invited speakers have rooms booked in https://www.martinshotels.com/en/hotel/martins-louvain-la-neuve.
There are a couple of hotels in the town of Wavre (about 6km from the conference site with a relatively good bus and train connection). The first one is very good, but a bit difficultly accessible from Louvain-la-Neuve. There is a small train stop at an 800m walk from the hotel (Bierges-Walibi), but it is misplaced on google maps (this is the correct location) and so it may be a bit difficult to find.

An alternative is to book a place with AirBnB (there are quite a lot of options in Louvain-la-Neuve itself).
One could also look for a hotel or hostel in one of the bigger cities around Louvain-la-Neuve:
Brussels (about 45 minutes by public transport)
Namur (about 50 minutes by public transport)
Leuven (about 1 hour 10 minutes by public transport). For 3 people, transport from Leuven to Louvain-la-Neuve by car can be provided.
