Hi, I have to print a lot of Excel documents at work and in order to print the documents I always have to change the printing settings to my liking and needs. The question is, is there any way to save my print options and make it a default so I can save time when printing documents in excel.

So I'm trying to make some printing default changes in Excel itself. When you have a document that you want to print directly from Excel, there are some printing options and I would like to set some of them as a default. For example that the pages are always printed in landscape and I also have multiple printers but always use just one for my excel documents so I would like to set the one that I use as a standard so I can save some time. To answer your other question, I'm using a PC.

Hmm....I'm quite sure you can set a given printer as the default printer--certainly I do so with my (Mac) laptop, which I carry from place to place, printer to printer--but things like landscape vs portrait mode seem to be very "spreadsheet specific" so I doubt you can make that some kind of all-inclusive setting. And once you've set it, if other users go to print this shared spreadsheet, they'd need to change it back to landscape....

Excel is taking an unnecessarily long time to load now because it is spending time "accessing printer" that does not exist. Does anyone know how to keep this from happening? All help I can find on this issue is related to printer settings when actually trying to print something.

Using a Canon Imageclass MF632. The Word and Excel documents do not appear on the USB stick when it is inserted into the printer. Using Office 365 on my iPad and Office 365 and Windows 10 on my laptop to create the Word/Excel docs. PDF files do show/print from the same USB however.

Changed the default printer to the XPS document writer and the problem was resolved. I therefore uninstalled his previous default printer and removed the driver through Print Management, then reinstalled it. The problem was resolved.

Problem for me was that I'm working off network, so when this particular document tries to access the printer it fails and hangs up - did as the original poster answered himself and set the default to XPS and it works perfectly.

For this kind of issue, I believe MS Excel tries to access the default printer when opening the document (I had a file in MS Excel 365 set in Page break preview, under the View menu). My default printer had been set to a shared printer from a retired PC, so I guess MS Excel was trying to contact the printer in vain, and hanging at this point. Solution is to change the default printer to a reachable/local printer, and possibly remove/delete the offending printer from control panel. After this, the workbook opens without issue

The issue : Let's say someone saves an excel file and sets a custom paper size 11x17 or A3 etc. That is all fine and dandy for the person who created the file because their default printer supports that custom paper size. The HP desktop printers do not have the ability to print to this paper size therefore it will prompt you to select a printer that supports this custom paper size.

The resolution : In the problem excel file, go to File>Print> and check the paper size. I noticed that there was an error indication and it wouldn't even give a print preview. Ours was displayed as "Custom Paper Size" with a red exclamation mark. I changed the paper size under the print options on the file and saved the file to the desktop. After saving the file with a page size of A4 - a size the HP printer can handle, the excel file no longer gave us the annoying popup.

The error message is consistent with other cases of Excel usage that are both automated and not. The common denominator in all these cases is (buckle up!) that a network printer was set as default printer.

That's right - having a network printer as default, even when you print using a completely different printer or no printer at all (as in the case of exporting to PDF, which is not the same as printing to e.g. Adobe PDF Printer, right?) it will cause this error to sometimes on some machines pop up.

I changed the default printer to something internal, like Microsoft XPS Document Printer, tried again and I can now export hundreds and thousands of PDFs without a single occurrence of the error message.

The network printer was set as default. So I navigated to the printer in windows explorer. This prompted me to enter my network password. When I re-ran the code it worked splendidly.(You can find the location of the printer in Windows 10 by typing 'printer' in the windows search bar. Click on Printers And Scanners, navigate to your network printer and then click on manage -> Select Hardware Properties. The location will be displayed next to the image of the printer. In my case the printers location was specified in its name).

When I clicked on it, the excel file wants to open again and Excel splash screen shown again and I closed it immediately. And then I was not to able to save as a PDF both with "Print" button and "VB" code.

When I click File > Print, and hit the dropdown to change my printer, as soon as I click the "Adobe PDF" printer, excel gets hung up and there is a recurring "Accessing Printer" popup that will close and open for several minutes (I tested, and the time taken scales pretty linearly with how many pages I'm attempting to print to PDF). Once I'm finally able to click the Print button, It takes about the same amount of minutes before it finally gives me the dialog box to save my PDF.

Seeing this on a few machines now as well, predomintaley from Excel. The biggest delay is when it is trying to show the print preview when selecting the Adobe PDF from the printer list. Computers with Windows 7 and Windows 10, with Adobe Acrobat 2017. Upgraded to Adobe Acrobat DC Pro using the cleaner to remove 2017 then installed DC Pro but issue still exists.

The one user we have here at work has been experiencing a strange issue. Whenever he opens a specific excel file he is prompted right away with a dialog box for printers and it will not go away until he either closes it or chooses a printer. After which, the Excel file typically crashes.

I forgot to mention in the post that this is on a network folder with several other users accessing the file daily. All other users do not get this pop up indication... only one person gets a printer pop up. I'm going to be out all day so i'll probably get back to him Weds or Thurs.

As I mentioned, if you have printer related items in your sheet (e.g. the page breaks are visible), excel requires a default printer to be 'reachable'. If you have set your default printer to a network printer, you will then get this error if the printer is not available.


We came to the resolution replacing the printer did the trick. The print driver for some reason was the issue granted HP had only 1 driver for the desktop printer the guy had... it was a HP M402N/DN so yep we just gave it to someone else and got him a new one.

The print driver for the HP M402N/DN was the culprit. Got rid of the printer and placed another one in and it's working perfectly fine. For some reason HP only supplies 1 driver with those desk printers. That's the resolution we came to.

1) It's most likely related to HP printers (for me). If the network printer is connected to an HP printer, the problematic file will open with a Printer Setup and error. However, you can get around this problem by changing the default printer to a non HP printer (even the XPS writer will do) before opening the file. But if you try to select the HP printer for printing, and error message will show up but you can still print anyways.

Just came across this site when facing a similar issue in Excel. I was able to fix it using TOODAMAX's advice regarding network printers. I went into Windows settings and changed the default printer to Adobe PDF from the original default, which was a network printer on a computer that is not always accessible. I saved the file down, closed it, and re-opened it. No more printer setup dialogue box! Hope that helps.

We ran into this issue as well in our office with an HP printer and an Excel document. The workaround to change the default printer is a great work around however it does not explain why this issue occurs. We have some very particular executives who do not like the slightest change in things so we find ourselves tip-toeing around them. So for us changing the default printer was not an option.

Before I came to this conclusion I was dead set that the print driver was the issue. I removed the print driver and package with printui and installed the latest driver for the newer model HP printer. When I opened the file the pop-up came up once again. This was very frustrating because I thought it was the printer/driver and I had solved the problem without a doubt.
