Abstract Submission Guidelines 

Your abstract title and your abstract must be submitted in English. Your abstract may be automatically rejected if it is submitted in another language.

The title of the abstract must be of maximum 200 characters (approximately 30 words).

Abstracts, excluding title, authors’ names and affiliations, must be of maximum 2000 characters (approximately 300 words). The main body of the abstract should be structured with the following headings:

> For original studies: Background, Objectives, Methods, Results, and Conclusions.

> For case reports: Background, Case Presentation, and Conclusions.

Please avoid using abbreviations in the title, if possible. Please reduce to a minimum the use of abbreviations in the main body of the abstract. If you must use an abbreviation, define it upon first use.

Figures and tables should not be included in your abstract. 

References can be included in your abstract but will be included in your word count. 

You must not include your abstract title or author names in the abstract document. 

Please ensure that you add all the authors of your abstract onto the submission form, including yourself if you are an author. 

Please ensure correct spelling and affiliations are used. We are unable to add or amend author names once abstracts have been published. 

You must provide a valid email address for your listed presenting author. This will be used to contact the presenter regarding uploading presentations or posters, if your submission is successful. Please note that by providing an email address, you are confirming that you have the author’s consent to share their contact details.

You should receive a copy of your submission via email which is a confirmation of our receipt. Please note that if you do not receive this confirmation email (please ensure to check your spam/ junk email), your abstract document was not submitted correctly. We recommend you to try again. If it still does not upload, please contact us via email. 

Abstract scoring 

Abstracts will be scored in an anonymised peer-review system and the scores will be a scoring rubric based on latest scientific evidence, thus ensuring standardisation and transparency in the process. You can find the abstract scoring criteria here: Abstract scoring rubric

All abstracts will be scored by atleast two independent reviewers who have published at least one article in a peer review journal.

All abstracts will receive not just the outcome, but also constructive feedback on how they can improve their abstracts and presentations, thus ensuring feedback in the process. 

Presenting authors must register for and attend the EPIC 2024. Abstracts will be automatically rejected if the presenting author does not register for the meeting.

Only two submitted abstracts may have the same presenting author. If the same team of authors wishes to submit more than two abstracts, it is necessary to indicate a different presenting author, both of whom need to be registered at the meeting.
