Guidelines for Virtual Symposium

TECHNICAL INSTRUCTIONS

DOWNLOAD, INSTALL & REGISTER WEBEX ACCOUNT

1. Login to https://www.webex.com.

2. Select and download suitable Cisco Webex files according to your device.

3. Locate the file and install Cisco Webex Apps by following its instructions.

4. Open Cisco Webex Apps, key in your email address, then click "Next".

5. A six-digit activation code will be sent to your registered email address.

6. Find the code in your email and key in the code in the Cisco Webex to activate.

7. Set your Cisco Webex password.

8. Set your Full Name in the Cisco Webex Apps AS REGISTERED in the conference.

9. Process ends.

REGISTRATION FOR VIRTUAL SESSIONS

1. Each participant must register their attendance twice; morning session and afternoon session on the conference day, 9 June 2021 (Wednesday).

2. Participants are required to carry out the registration by scanning QR Code during the virtual sessions and follow its instruction.

WEBEX VIRTUAL ROOM

1. Participants can access virtual rooms directly from Cisco Webex Meetings website or Cisco Webex Meetings apps (highly recommended) using your device.

2. Participants will be given a unique Link, Meeting ID and Password.

3. To join the session through the website,

i. Insert the Meeting ID and press 'enter' from your keyboard.

ii. Insert the Password and click 'OK'.

iii. Please write your FULL NAME in the Webex application AS REGISTERED in the conference before you enter the meeting room. Then Click 'Join Meeting'.

iv. Otherwise, the participant can copy and paste the Meeting Link and press 'enter' from your keyboard.

4. To join the session through Webex App,

i. Insert the Meeting ID and click 'Join'.

ii. Insert the Password and click 'Next'.

iii. Otherwise, you can copy and paste the Meeting Link and click 'Join'.

iv. Please write your FULL NAME in the Webex application AS REGISTERED in the conference before you enter the meeting room.

5. All participants will be in the MAIN CONFERENCE ROOM for the morning session and will be moved for the breakout session in the afternoon by the conference Host.

VIRTUAL BACKDROP

1. The virtual backdrop can be downloaded from the conference website and is specific to the role of participants.

2. Save the virtual backdrop image into your computer.

3. Make sure you are in the virtual meeting room before continuing the following steps.

4. Click the "Start video" button at the bottom. Now your image is on the screen.

5. Click the "Audio & Video" button at the top. Then, click the "Change Virtual Background" button.

6. The setting window will open. Click on the "+" at the "Change Virtual Background" option.

7. Locate and select your virtual backdrop image. Then click the "Apply" button and close the setting window.

AFTERNOON SESSION

A. INVITED SESSION

1. There will be seven (7) PARALLEL INVITED SESSION ROOMS.

2. Participants will be moved AUTOMATICALLY to the INVITED SESSION ROOMS by the conference host.

3. The INVITED SESSION ROOMS are based on the conference track (Environmental Monitoring and Management, Environmental Modelling and Technology, Pollution Control and Mitigation, Climate Change and Sustainable Development, Green Chemistry Techniques, Separation and Purification Technologies and Pure and Applied Chemistry) chosen by the participants during conference registration (please refer to the conference programme in the website or email).

B. BREAKOUT SESSION

1. There will be 15 parallel sessions with 8 - 10 presenters per room conducted during the BREAKOUT SESSION.

2. Participants will be attending their specific BREAKOUT SESSION ROOMS (please refer to conference programme) during BREAKOUT SESSION.

3. There are two (2) ways to join BREAKOUT SESSION ROOMS:

4. Participants may join the room by themselves.

5. Click the "Breakout Session" button at the top of your window panel.

6. Click "Join Breakout Session" from the menu.

7. Choose BREAKOUT SESSION ROOM.

8. In any circumstances, the participant may request the conference host for further assistance in changing the breakout session.

9. Participant needs to leave the current BREAKOUT SESSION ROOM by clicking the "Leave Sessions" button at the bottom of your Webex interface.

10. The participant will back to the MAIN CONFERENCE ROOM.

11. Please request the conference host (by chat window) to move the participants to other BREAKOUT SESSION ROOMS.

12. The conference host will send the participant once the request is received.

13. Each session will be hosted by a Chairperson and assisted by a Co-Chairperson.

14. The Chairperson will be chairing the presentations according to the schedule and assisted by Co-chairperson.

15. Each presenter must be in the BREAKOUT SESSION ROOMS for his/her presentation. The co-chair will play the pre-recorded video presentation within 7 minutes and 3 minutes for the Question & Answer live session. Therefore, the PRESENCE of the presenter is COMPULSORY.

16. The award and e-certificate are only issued to the attended presenters (Live session).

17. Flexibility is given to the participants to move in and move out from the BREAKOUT SESSION ROOMS by following step 3. Please alert and refer to the conference schedule.

SHARE PRE-RECORDED VIDEO PRESENTATION (CO-CHAIRPERSON)

1. Co-chairpersons (and chairpersons if any) are advise to download all pre-recorded video presentations at least a day prior to the conference date.

2. Open the video presentation.

3. Open the Cisco Webex Apps window while the pre-recorded video presentation window still opens at the back. You will not be able to share your video presentation if the pre-recorded video presentation window is closed or minimized.

4. Click the "Share" button at the bottom.

5. At the "Share content" screen, select the "Optimize for motion and video" option for the video sound, then share the video presentation screen. Tick "Share your video audio".

6. Select and share your video presentation. Repeat step four (4) if the audience doesn't hear the video's sound.

7. Play the video. Please stick to the video window until the video ends.

8. Click "Stop sharing" once the video ends.
