· Workplace Services - Engage directly with clients, employees, vendors, and candidates of employment, resolve support tickets in Fresh Service helpdesk for employees, assist executives and directors with bookings, utilize different platforms to locate possible applicants, review resumes and interview candidates, post legal notices for USCIS requirements, give training and guidance to employees, distribute employee awards, create memorable welcome experience providing office tours, update new hire processes/onboarding, handle confidential employee information with discretion, audit access in accordance with voluntary and involuntary terminations, create office content, receive and convey information effectively with internal/external contacts through all channels of communication.

· HR Assistant- Support HR Executive, assist with recruitment and interview efforts, schedule meetings and interviews and appointments, create and maintain employee files, work with TriNet HRIS system, assist with payroll, issue offer letters, orientation and on-boarding of new employees and induction of international employees on work visas, initiate new employee accounts and access, verify I-9 documentation, complete background checks, process visa-related requests, process voluntary/ involuntary terminations, final paperwork, issue final paychecks, exit interviews, asset collection, plan, coordinate and host all company events.
· Product Support/ Account Management- Solve client how to and technical issues, manage technical support tickets through Zendesk, provide training and learning resources to clients and complete health checks on client accounts, sell additional diskspace to clients utilizing Salesforce.
· Office Management- Administer access badges and grant building access, manage maintenance of all office equipment and housekeeping of entire office, purchase office supplies, furniture, general office needs for entire staff in accordance with the company purchasing policies and budgetary restrictions, coordinate with IT team configuring equipment, end to end travel arrangements for all employees, organize and stock cafeteria and office supplies, coordinate logistics company events, shipping and receiving, prepare and process expense reports, coordinate building maintenance and upgrades, manage corporate guest housing.
· Marketing- Support Head of Marketing, coordinate trades shows and booth design, contract negotiation, plan corporate events for clients, procure promotional materials and branding and maintain inventory, establish and manage budgeting, coordinate travel, create content for internal branding.
· Accounts Receivables - Manage billing tickets through Zendesk, convey clear and accurate information according to departmental procedures, deposit, and post payments to Fusebill, collections, submit and approve invoices for payment.
· Human Resources – Provided general Human Resource as well as benefits enrollment, run confidential reports, acted as a liaison between employees and HR manager at HQ, collect data for reference checks, manage on boarding procedures for employees, complete access requests for new employees.
· Payroll- Payroll auditing and record keeping, collect and verify timecards from all employees and department managers, submit timely reporting for payroll checks to be distributed, process PTO through Oracle system, save and file digital time reporting, solve any payroll issues and respond to payroll inquiries, audit PTO requests.
· Accounts Payable- Receive and verify invoices, resolve any discrepancies in invoiced amounts, code to appropriate cost centers, process invoices, data entry, verify purchase orders, process and mail checks in a timely manner, process expense reporting, provide payment status to vendors and reconcile account statements, maintain record of checks held, maintain accounts payable filing system, track petty cash.
· Accounts Receivables/ Collections- Create and send invoices and proforma invoices to customers, maintain client soft copy files, cross reference acknowledgement and customer purchase order with invoices, deposit checks and post wire transfers, work with clients for payment and collect on past due accounts, escalating critically past due accounts, place hold on shipment and future orders.
