Relying on the built-in export tools of standard mail clients can leave you with surprisingly few choices: one local drive, one file format, and little flexibility over where your data goes next. An email backup software such as Mail Backup X takes a much broader approach, working independently of the mail client to give you greater control over how and where your emails are stored.
It can fetch messages directly from applications or servers, send backups to multiple destinations, and even handle tasks such as file compression and archive encryption along the way. Instead of simply exporting your mailbox and leaving you to figure out the rest, Mail Backup X is an excellent email backup software that turns the backup process into a more flexible system for managing, protecting, and distributing your email data.
Setting up where your email backup files actually go to is the first step you need to take.
- Open the dashboard and navigating to the Storage Spaces view in the left sidebar.
- From here you are able to define a local directory on your computer or connect a cloud service like Google Drive, OneDrive, or Dropbox. Click to add a new space.
- Log into your account through the browser window that opens, and give the space a name.
- You can add multiple cloud accounts if you want to.
The email backup tool uses these spaces when you configure the storage locations for a specific profile. You're not restricted to picking just one folder. You have the option to set up mirrors. A mirror is just an exact copy. Stored at a different location.
One mirror might be configured to save to a local folder.
Setting up a connected Google Drive account is another option for a secondary location.
Deleting a mirror location just requires clicking the trash icon next to it.
You can also use the distributedemail backup feature to spread a single archive across multiple storage locations. The application follows the priority order you set, filling the first location before automatically moving to the next when it runs out of space or becomes unavailable. You can easily change the order using the up and down arrows in the storage settings. This comes in handy when local disk space is limited, allowing you to add additional storage locations as your backup needs grow.
Managing Backup Profiles and Archival Security
Once you have decided where your email backups will be stored, it is time to create a backup profile.
Click New Backup and choose the source you want to work with.
Mail Backup X supports desktop applications such as Apple Mail, Microsoft Outlook, and Mozilla Thunderbird. You can also connect it directly to services and servers such as Gmail, Office 365, and IMAP.
For server based accounts, there is a manual configuration option too. You can enter the host, port, and SSL or TLS settings yourself when needed. After you authenticate the account, you'll see its folder structure and can choose exactly what should be included in the backup.
One setting is particularly useful here. Keep the option to automatically include newly detected subfolders enabled. New folders can appear as you continue using an email account, and this setting makes sure they are picked up without having to edit the profile each time.
The backup schedule is another part of the setup. You can choose whichever approach fits the way you work:
• Run the backup whenever new emails arrive.
• Start it manually when you need it.
• Set it to run at regular intervals or on specific days of the week.
There is one issue worth knowing about when backing up emails from desktop applications. Some mail clients do not download every part of an email immediately. This can include the full message content or attachments, particularly when the client is trying to reduce bandwidth usage.
When Mail Backup X comes across one of these messages, it marks it as an uncached item and displays a warning.
The solution is simple, but it depends on the mail client. With Apple Mail and Mac Outlook, right click the flagged email in the viewer and select the resolve option.
Thunderbird requires a little more work. Open the properties for the relevant folder, enable offline use for that folder, and then select Download Now. This ensures the complete email content is available for the backup.
Security is configured when you create the backup profile, so it is worth taking care of it at this stage.
Start by setting an application level password in the preferences. Mail Backup X then provides a unique recovery key. Keep a copy of this somewhere safe outside the computer, since you may need it to recover access to the secured profile.
When you enable the secured option, the profile is encrypted using the RSA 256 algorithm. An encrypted archive also requires its specific profile security key when you open it on another computer.
There is an important catch here. You cannot add this security to an existing unsecured profile later. If you decide that an archive needs to be encrypted after the profile has already been created, the profile has to be created again.
You can also use USB Auto Snapshot when you want a physical copy of an archive. Register a specific external USB drive with the profile, and Mail Backup X will recognize it when you connect the drive and copy the archive to it.
It’s also possible to register several USB drives with the same profile as well. This gives you another straightforward way to keep additional copies of your email backups without having to start the backup manually each time.
The trial version lasts for 15 days and lets you test the synchronization and export features before committing. If the trial expires the application transitions into a passive viewer that still allows you to open and search imported archives. You can request a trial extension from the sales team if you need more time to evaluate the interface.
Understanding how to properly route and manage your file storage fundamentally alters the way you handle large volumes of messages. You gain complete control over the exact location and formatting of every archive.
The technical flexibility provided by a proper email backup software makes the entire archiving process infinitely more manageable.
