Zendesk Email Tracker ("the extension," "we," "us") is a Chrome extension that helps support agents see when customers open email replies sent from Zendesk tickets. This policy explains what data the extension collects, how it's used, and how it's protected.
This extension is not affiliated with, endorsed by, or sponsored by Zendesk, Inc.
When you send a tracked email reply from a Zendesk ticket:
A unique tracking token
Your Zendesk subdomain (e.g., yourcompany.zendesk.com)
The ticket ID
The email subject line
The timestamp the email was sent
When a customer opens a tracked email:
The timestamp of the open
The recipient's IP address
The recipient's User-Agent (browser/email client information), captured automatically when the tracking pixel loads
Stored locally in your browser:
Your tracking on/off preference, saved per ticket
Local analytics counters (total emails tracked, total opens, opens this calendar month)
A short list of recent tracked emails, shown in the "Recent Activity" section of the popup
We do not read or store the body content of your emails. Only a small tracking pixel is added to the outgoing message; the message text itself is never sent to or stored on our servers.
We do not access your Zendesk login credentials.
We do not collect data from Gmail, Outlook, or any inbox outside of Zendesk Agent Workspace.
We do not track your general web browsing history outside of Zendesk ticket pages.
We do not log keystrokes, mouse movement, or clicks.
Data is used solely to power the extension's core function: letting you know when a customer has opened your ticket reply. Specifically:
Tracking tokens and ticket metadata let us match an "open" event back to the correct ticket and agent.
IP address and User-Agent are used to apply basic filtering (for example, to reduce false positives from automated email scanners or from agents accidentally triggering their own tracking pixel).
Local analytics are calculated and displayed only to you and your team, based on your own Zendesk subdomain's activity.
We do not use this data for advertising, profiling, or any purpose unrelated to email open tracking.
Because tracking data is scoped to a Zendesk subdomain, other agents on the same Zendesk account can see tracking status for tickets on that account (for example, whether a teammate's reply was opened). We do not share data across different companies or Zendesk accounts.
We do not sell, rent, or transfer your data to third parties for advertising or marketing purposes.
Service providers involved in processing:
Cloudflare (Workers + D1 database) — hosts our backend infrastructure and stores tracking records. Cloudflare processes this data on our behalf and does not use it for its own purposes.
Zendesk — the platform the extension runs on. Zendesk's own privacy policy governs how it separately handles data within its product.
Tracking records (send events and open events) are stored for up to 90 days, after which they are automatically deleted. Local browser data (your preferences and analytics counters) persists until you uninstall the extension or manually clear your browser storage.
Data in transit between the extension and our backend is encrypted (HTTPS). Our backend runs on Cloudflare's infrastructure, which provides standard network-level security protections. No system is 100% secure, and we cannot guarantee absolute security of transmitted data.
You can disable tracking at any time per ticket using the toggle in the extension popup.
You can uninstall the extension at any time, which stops all new data collection and removes locally stored data from your browser.
If you'd like previously stored tracking records deleted before the 90-day expiry, contact us using the information below.
This extension is intended for business use by support agents and is not directed at children. We do not knowingly collect data from children under 13.
We may update this policy from time to time. Material changes will be reflected by updating the "Last updated" date above. Continued use of the extension after changes constitutes acceptance of the updated policy.
