Year Leadership/Representation
Responsibilities
A Year Leader/Representative is a student with the responsibility to communicate with the university on behalf of their represented body through the following actions:
Communicate with Professors/Coordinators to make scheduling arrangements for classes & exams, receive students' scores and distribute the scores to the students, mediate issues between the students and the classes.
Communicate with the Dean's Office to receive announcements, schedules, and escalate issues when unresolved.
Communicate with the English Division Student Government to share events, announcements, and bring attention issues to the EDSG.
Most Importantly, to communicate with your represented students to answer/pass on questions, send announcements, and send scores.
Remember that the responsibility of a Year Leader/Representative is to represent the voice of the majority of students. This is especially important to note when there are disagreements between students regarding a decision that is important to the year. Taking on the role of Year Leader/Representative is a major responsibility, with consequences for your year if not done correctly. One of the most important things is to consistently check your student mailbox as anyone who needs to communicate with you from the side of the university will typically do so that way.
Selecting a Year Leader/Representative
It is recommended that there should be at least 1 year leader/representative per program (i.e. International, Asian, etc.) to ensure adequate representation. The exception to this is if the class size is significantly small. Typically, 1 year leader/representative will be able to handle between 30-40 students, so please decide with your class about the decision to have fewer or more leaders. The responsible registrar in the Dean's Office may also provide information on how many leaders/representatives are needed, if this information is given, please follow the recommendation.
It is important that a leader/representative is selected by voting of all students of the program. If there are no candidates for leader/representative, unfortunately, the year will need to obtain a leader/representative through randomly choosing a student. With any changes to year leaders/representatives, it is important that you inform the registrar of the changes.
Year Leadership/Representation can be strenuous work. As a result, the leader/representative may feel burnt out. In this instance, selecting a new person should be done. It is highly recommended that any changes to leaders/representatives be done at the end of the academic year. In rare circumstances, such as failure to fulfil duties, leave of the leader/representative, or failure of the leader/representative to be promoted to the next semester, then changes can be done at the end of the semester.
