The meeting will be held online only. Symposia will be streamed live via webinar, and poster sessions will be posted on the web site and discussed online. Detailed instructions and the participation manual will be posted on the website after finalizing the program .
Please prepare your own computer and internet facilities to participate in the online meeting.
Presentations at the meeting are considered to be "public transmission" (retransmission through automatic public transmission) under the Copyright Act. Please take care to ensure that the contents of your presentation materials do not pose any copyright problems.
The society and meeting comittee will not be responsible for resolving any problems that may arise in connection with online presentations or participation. Please try to resolve these issues on your own.
A. Equipment and tools
A computer with video output and internet connection required.
Internet browser, zoom (installation required), remo (account registration required) will be used.
B. Overview
Meeting Core Site, the main venue of the meeting, will give you important announcements and information, support poster sessions and exhibitions, as well as gives links to the oral presentation (zoom) and other activities (remo).
Oral sessions (Keynote Lectures, Symposia, Autumn School, Insomniac Talk Sessions, etc.) will be streamed live via zoom. You may give questions or have discussion about the talks using the forum and other functions provided on the Core Site.
The poster session will be held in the virtual poster room (forum) of the Core Site. Presenters display their posters (JPEG files) and, if needed, links to video sharing sites and other resources. Participants can have text-based discussion at all times, as well as during the core time, live via the online meeting tool, remo.
Both the virtual exhibition site at the Core Site and the online meeting tool (remo) will be available for exhibits. You can post posters, videos and other materials and to communicate with participants via text-based communication at the Core Site, as well as to interact with them live via remo.
We plan to provide an environment where participants can interact with each other at all times using the online meeting tool, remo., which will be set up at all times during the meeting. Participants will be able to freely use this tool to exchange information and engage in discussions.
Tools to be used:
Meeting Core Site: The main website. You can enter the site by using the password that is set for each registered e-mail address. (URL will be provided at a later date).
zoom: an online meeting tool that allows for video and audio communication, similar to video conferencing. It will be used for Keynote Lectures, Symposia, Autumn School, Insomniac Talk Sessions, and other oral sessions. You can enter the room by clicking on the link to the URL provided on the Core Site.
remo: An online meeting tool that allows users to move freely between “tables” in the virtual room and communicate with each other using video and audio. It will be used for the Poster Session Core Time, Exhibition, and communication among participants. You can enter the room by clicking the link to the URL provided on the Core Site.
C. Preparations
1. Application for participation and presentation (August 24 - October 9)
Please follow the instructions on the conference website to apply. Note that the application procedure differs depending on the society you belong to.
For poster presentations, it is required to register your presentation title and abstract using the registration form provided on the conference website.
A password for the conference will be provided to all registrants. The email address and password used during registration will be required to enter the Core Site, the main venue.
2. Registration of posters and corporate exhibit materials
Representatives of poster presentations and corporate exhibits should upload their materials to the designated site. The procedures for uploading will be communicated in due course.
You are encouraged to upload both the Japanese and English versions of the posters.
3. Other preparations
It is recommended that you install zoom in advance on the computer to be used at the maating.
You will need to register an account on remo website in order to use remo for the poster sessions (core time) and corporate exhibits. Please make sure to do this before the meeting begins.
D. How to participate
1. Entry to the Core Site
To enter the Core Site, you will need the password that was sent to all participants after they applied for participation.
Please note that participants who have applied for the exhibition only will not be able to access the other sessions.
2. Oral Presentations (Keynote Lectures, Symposia, Award Presentations, Insomniac Talk Sessions, etc.)
The oral presentations will be conducted using zoom. A link to the venue will be announced on the Core Site.
Presenters are required to enter the designated room (zoom) 15 minutes before the session starts.
Bilingual (English and Japanese) talks are encouraged. You can make on-demand movies in other languages available on the Core Site.
Discussions and questions about the oral presentations may be held in a text-based format on the dedicated forum provided on the Core Site.
3. Poster Session
The poster session will be conducted using two tools: the Core Site and remo.
Posters will be posted on the dedicated forum at the Core Site. Presenters may also provide links to external sites (e.g., youtube, vimeo and other video sharing sites, or their own zoom URL) as needed. The forum allows for text-based discussions.
A "table" in the remo will be assigned to a poster presenter for live discussions with participants during the core time. A link to the poster session venue for the core time will be announced on the Core Site.
4. Autumn School "Environmental DNA Metabarcoding Analysis Course”
Autumn School will be offered on zoom. A link to the venue will be announced on the Core Site.
In this hands-on project, participants will analyze data using their own computers. Codes and other materials will be made available on the Core Site.
5. Insomniac Talk Sessions
The Insomniac Talk Sessions will be offered on zoom. A link to the venue will be announced on the Core Site.
During the sessions, participants can exchange ideas in a dedicated forum on the Core Site.
6. Supports for Social Activity
During the Meeting, there will be a social site (small group web conference) on remo that will allow participants to interact with each other at all times during the Meeting. The link to the venue will be announced on the Core Site.
E. Post-conference exchange support
We plan to keep the Core Site open for a while after the conference (about a month). If you wish, you can keep your posters and other materials posted and use the forum function to discuss with participants.
