eDispatcher Mobile Application

eTrans Solutions Inc. (“eTrans,” “we,” “us,” or “our”) provides the eDispatcher mobile application (the “Application” or “Service”) for authorized transportation dispatch personnel. The Application is available for iOS and Android and is intended to support dispatch operations, including viewing and managing trips, drivers, vehicles, statuses, schedules, and operational updates.
This Privacy Policy explains what information is processed when you use the Application, how that information is used and protected, and the choices available to you. By installing, accessing, or using the Application, you acknowledge the practices described in this Policy.
To authenticate authorized users and maintain an active session, the Application may process:
• Username and password submitted when you sign in;
• Authentication token;
• First and last name, username, company identifier, company name, and assigned access roles; and
• Saved area and filter preferences associated with your company and username.
If you enable “Save credentials,” the Application stores the username and password locally on your device so that they can be restored on the sign-in screen. You can disable this option to remove the saved username and password. The password is transmitted to eTrans servers for authentication and is not included in normal dispatch requests.
The Application receives and displays information from the eTrans dispatch system that is necessary for authorized dispatch work. Depending on your organization and assigned permissions, this may include:
• Trip and leg identifiers, dates, pickup and appointment times, statuses, routes, service levels, and confirmation information;
• Passenger or client names, telephone numbers, pickup and drop-off addresses, and trip-related comments or notes;
• Transportation provider, insurance, area, scheduling, escort, helper, and operational information;
• Driver names, vehicle names, login and online status, assignments, location addresses, coordinates, speed, and GPS update timestamps; and
• Actions performed through the Application, such as dispatching, scheduling, swapping, cancelling, changing trip status, and changing trip times.
This information may be personal or sensitive because it relates to transportation services. Users may access it only for authorized business purposes and in accordance with their organization’s policies and applicable law.
The current version of eDispatcher does not request access to the location of the mobile device and does not collect foreground or background location from the device. The Application may display driver or vehicle location data supplied by the eTrans dispatch servers. When you open the driver map, map tiles are requested from OpenStreetMap; as part of a normal Internet request, the map provider may receive technical information such as your IP address and requested tile coordinates.
The Application communicates with eTrans servers over the Internet using REST and real-time WebSocket connections. Servers and network providers may automatically process technical information such as IP address, request time, connection status, authentication status, and server logs for security, service delivery, troubleshooting, and auditing. The current Application does not include advertising SDKs, Firebase Analytics, Firebase Crashlytics, or push-notification SDKs.
eDispatcher does not allow users to register or create an account within the Application. User accounts are created, changed, disabled, and deleted by an authorized representative of the transportation company for which the dispatcher works, or by eTrans upon a verified request from that transportation company.
To request a change to or deletion of an account, the user should contact the user’s employer or the authorized administrator of the transportation company. Deletion of an account terminates access to the Application but may not result in the immediate deletion of all related dispatch, transportation, security, or audit records. Such records may be retained where necessary to satisfy contractual, legal, regulatory, security, dispute-resolution, or legitimate business requirements.
The Android version currently requests Internet access only. The current iOS version does not declare location, camera, microphone, contacts, photo-library, or tracking permissions. Future functionality may require additional permissions; if so, the Application will request them through the operating system and this Policy will be updated as appropriate.
We process information to:
• Authenticate users and maintain authorized sessions;
• Provide dispatch information and real-time operational updates;
• Display and manage trips, clients, drivers, vehicles, schedules, statuses, and service areas;
• Carry out dispatch actions requested by authorized users;
• Display server-provided driver or vehicle locations on a map;
• Protect the Service, investigate errors, prevent unauthorized access, and maintain audit records;
• Support customer organizations and comply with legal, regulatory, contractual, or safety obligations; and
• Maintain and improve the reliability and performance of the Service.
We do not sell, rent, or trade personal information. The Application does not display advertising.
Information is disclosed only as necessary to provide and protect the Service, fulfill instructions from the customer organization responsible for the dispatch account, comply with law, or protect rights and safety. Relevant recipients may include the customer transportation organization, its authorized users, eTrans personnel and service providers, hosting and network providers, and governmental or regulatory authorities when disclosure is legally required.
The current Application uses or communicates with:
• eTrans dispatch API and real-time messaging services — authentication, dispatch data, actions, and operational updates;
• OpenStreetMap tile service — map imagery when a user opens the driver map;
• Apple platform services and Apple App Store — application distribution and platform operation on iOS; and
• Google Play Services and Google Play — application distribution and platform operation on Android.
Third-party processing is governed by the applicable provider’s terms and privacy policy:

The Application stores the authentication token and limited account profile information locally to restore your session. It also stores selected service-area preferences. If “Save credentials” is enabled, the username and password are stored locally until the option is disabled, the application data is cleared, or the Application is uninstalled. Signing out removes session and profile values; saved credentials are managed separately by the “Save credentials” option.
Information held on eTrans or customer-organization servers is retained only for as long as reasonably necessary for dispatch operations, customer instructions, auditing, security, dispute resolution, and legal or regulatory obligations. Retention periods may vary by customer organization and data category.
We use commercially reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, alteration, disclosure, or destruction. No method of Internet transmission or electronic storage is completely secure. Users are responsible for protecting their device and credentials, using the Application only on trusted devices and networks, and promptly reporting suspected unauthorized access.
The Application is a business dispatch tool and is not directed to children under 13. We do not knowingly create accounts for or collect personal information directly from children through the Application. Transportation records displayed to authorized users may concern passengers of different ages and are processed only as part of the transportation service.
Depending on your location and applicable law, you may have the right to:
• Request access to personal information associated with you;
• Request correction or deletion of inaccurate or unnecessary information;
• Object to or request restriction of certain processing;
• Request a portable copy of information where applicable;
• Withdraw consent where processing is based on consent; and
• Submit a complaint to a competent data-protection authority.
You may disable saved credentials in the Application, sign out to remove local session values, clear the Application’s data through device settings, or uninstall the Application. Some information and processing are necessary to provide the dispatch Service; restricting them may prevent the Application from functioning. Requests to create, change, disable, or delete an account must be directed to the user’s employer or authorized transportation-company administrator. Requests concerning dispatch records should also be directed to that organization where it acts as the data controller. Requests concerning information controlled directly by eTrans may be submitted using the contact details below.
Information may be processed in locations where eTrans, the relevant customer organization, or their service providers operate. Where required, appropriate safeguards are used for transfers of personal information across jurisdictions.
We may update this Privacy Policy from time to time to reflect changes in the Application, our practices, or applicable requirements. The revised Policy will identify its updated date and will take effect when posted or otherwise made available, unless a later effective date is stated.
