Ward Purchasing and Reimbursement Process
The church created an online process for leaders to submit a payment reimbursement request. Consequently, we will no longer use the paper reimbursement form. Please follow the steps below for purchasing and receiving reimbursements.

Get approval before spending
Adult Leaders should consult with Presidency members before all purchases
Presidency members should discuss spend before authorizing purchases
Presidents will be responsible for approving the organization’s spend and accountable for spending during Quarterly PPI with Bishop.
Purchase - Purchase the items and save the receipts.
The Ward requests all payees to have electronic reimbursement set up on their church accounts.
To Set Banking Information for electronic reimbursement
Sign in to your account on ChurchofJesusChrist.org.
Go to ChurchofJesusChrist.org/donations.
From the ‘Donations’ menu at the left of the screen, choose ‘Settings’.
Scroll down to the ‘Expense Reimbursement Account’ box and select ‘Add/Change Reimbursement Account’.
Add your preferred bank account type, routing number, and account number. (In most cases, you can select the account you use for donations without reentering the bank information)
Authorize the change and click ‘Save’.
There are some exceptions when a printed check is required these should be limited
Printed checks may add up to 2 weeks for the reimbursement process
Exception examples - paying a company directly, youth conference or girls camp shirts
Adult leaders to send receipts electronically to presidency member
Presidency members are asked to submit all receipts for their organizations
Select the payee adult leader of your group yourself or yourself.
Example Primary First Counselor for Activities Day Leader.
Enter a short description of what was purchased and what it was for in the ‘Purpose’ field.
Enter a category and dollar amount for each transaction (or receipt).
Sales tax must be entered as another item just be sure to use ‘Reimbursed Expenses: Utah Sales Tax’ as the category.
Upload a receipt for each transaction. The receipt may be a screenshot, PDF, or picture taken with your phone. Be sure that the receipt is legible as the amounts entered will need to be verified against it.
Review the information is correct - purpose, category, amounts, tax.
Submit
Approval by Financial Clerk
This will be this first approval step after submission from the Presidency member
A clerk cannot approve his reimbursement - Ward Clerk will act as a backup
Go to the ‘Approve Expenses’ tab. Review all pending expenses.
Three things are required for approval:
Receipts must match amounts, sales tax, and
The correct category must be selected.
Submission from Presidency member approving expense (email or text attached to reimbursement from payee)
The email from the payee may be skipped if Presidency member is submitting the request for themselves
Bishopric members to review weekly expenses when processing Tithing.
Second approval by Bishopric Counselor -- This step is typically not needed. It is only required in a few special cases.
Release funds before the bishop’s approval.
When the reimbursement is for the bishop.
Approval by Bishop
Go to the ‘Bishop’s Review’ tab. Review and approve as required.
Disburse Funds
After the Bishop approves the expense, the system should automatically send out the ACH payment.
The person being reimbursed will receive an email from the church informing the recipient that reimbursement will be received with a certain number of days.
If the payment has not been received within that period, contact the Financial Clerk or the Ward Clerk.
If a check is required, the Financial Clerk will print it out and deliver it. (Due to the paper nature of this step there may be additional time to process this request.)

Instructions to Sync your Gospel Living App to your church account:
Download the Gospel Living App to your device
Open Gospel Living App
Click on “My Profile” (on the bottom right)
Click Sign in
Input your “Church Account’s” Username and Password
Click on “Sign In”
Your church account is now synced with the Gospel Living App! (yay!!)
Click on circles to make sure it shows you are joined
Calendar Sync
Sync the Ward and Stake Calendars
You can sync the Ward / Stake calendars to your personal Google, Apple, and Microsoft calendars by following these instructions:
1. On your computer, go to www.churchofjesuschrist.org.
2. At the top-right corner, click the “My Account and Ward” link, then under the “My Ward” section, click on “Calendar.” (If you do not yet have an account see the instructions above to Create a Church Account.)
3. In the left navigation, click the ‘eye’ icons to show or hide the calendars you want to see/sync. (Anything visible here, will be what syncs to your personal calendar.)
4. At the top-right area, click the ‘gear’ icon, then click “Sync.” The “Auto-synced Calendars from Your List” will show which calendars will sync to your calendar.
5. At the bottom-left area, click the “Synced Calendar URL” link, then click the blue “Copy URL” button.
6. Follow the instructions under the blue “Copy URL” button to use the copied calendar URL to sync/subscribe for Google, Apple, and Microsoft calendars.
