1. Overview
Welcome to e-Shikshana, a free Android application designed to bridge the gap between schools, teachers, and parents. e-Shikshana provides two integrated modules:
Teacher Module — empowers educators to manage classes, record attendance, conduct and grade exams, and publish results.
Student/Parent Module — enables parents to monitor their child's attendance, academic performance, exam schedules,transport, Hostel and school activities in real time.
This Privacy Policy explains how e-Shikshana collects, uses, stores, shares, and protects information when you use our application. By installing and using e-Shikshana, you agree to the practices described in this policy.
Because our platform is used in an educational context and may involve data relating to minors, we take privacy especially seriously and comply with applicable Indian data protection laws, including the Digital Personal Data Protection Act, 2023 (DPDPA).
2. Scope and Applicability
This policy applies to:
All teachers, school administrators, and staff who use the Teacher Module.
All parents and guardians who use the Student/Parent Module to track their child's school activities.
All schools and institutions that deploy e-Shikshana.
This policy does not apply to third-party websites, services, or applications that may be linked within the app. Please review the privacy policies of any third-party services independently.
3. Information We Collect
3.1 Teacher Module — Information Collected
When a teacher or school administrator registers and uses the Teacher Module, we may collect:
Full name, employee ID, and designation.
School name, district, and institution code.
Professional email address and phone number (for account authentication and communication).
Class and subject assignments.
Attendance records created by the teacher (student names, roll numbers, dates, and attendance status).
Exam details including subject, date, maximum marks, and question patterns.
Result data including student marks, grades, and remarks entered by the teacher.
Device information such as device model, OS version, and unique device identifiers (for security and app compatibility purposes).
App usage logs and session timestamps (for performance and error monitoring).
3.2 Student/Parent Module — Information Collected
When a parent or guardian registers to track their child's school activities, we may collect:
Parent/guardian full name, relationship to the child, and contact details (email and phone number).
Child's name, class, section, roll number, and school name (as provided by the school or teacher).
Attendance records of the child (read-only view from teacher-entered data).
Exam schedules, results, and report cards (read-only view from teacher-entered data).
Notification preferences for alerts such as absence notifications and result publications.
Device information such as device model and OS version.
FCM (Firebase Cloud Messaging) token for push notifications.
3.3 Information We Do NOT Collect
e-Shikshana is committed to minimal data collection. We do NOT collect:
Payment information (the app is entirely free with no purchases).
Biometric data (fingerprints, facial recognition, etc.).
GPS location or real-time location tracking.
Camera or microphone access beyond any in-app document upload feature.
Social media credentials or profile data.
Any data from children directly — all child-related data is entered by teachers and viewed by parents.
4. How We Use the Information
4.1 Teacher Module — Use of Data
To enable teacher account creation, login, and identity verification.
To allow teachers to manage their assigned classes and student lists.
To record, store, and display attendance data for their classes.
To create and manage exam schedules and mark entry forms.
To compute and publish results and progress reports.
To send relevant in-app and push notifications (e.g., reminders to mark attendance).
To provide technical support and resolve errors or bugs.
4.2 Student/Parent Module — Use of Data
To link a parent's account to their child's school record (with school authorization).
To display attendance records, exam schedules, and results to the parent.
To send push notifications for absence alerts, result publications, and school announcements.
To enable parents to communicate preferences for notification frequency.
To provide technical support.
4.3 General Uses
To maintain the security and integrity of the platform.
To analyze anonymized, aggregated usage patterns and improve app performance.
To comply with legal obligations under applicable Indian law.
We do NOT use personal data for advertising, profiling for commercial purposes, or sale to third parties.
5. Data Sharing and Disclosure
e-Shikshana does not sell, rent, or trade personal data. We share data only in the following limited circumstances:
5.1 Within the Platform
Teacher-entered data (attendance, exam results) is shared with the corresponding parent accounts that are linked to the relevant student by the school.
School administrators may have access to aggregated class-level reports.
5.2 Service Providers
We engage trusted third-party service providers strictly to operate the platform:
Cloud Hosting (e.g., Firebase / Google Cloud): For secure data storage and real-time synchronization.
Push Notifications (Firebase Cloud Messaging): To deliver alerts to teachers and parents.
Crash Analytics (e.g., Firebase Crashlytics): For identifying and resolving app errors. This data is anonymized.
All service providers are bound by data processing agreements and are not permitted to use data for their own purposes.
5.3 Legal Requirements
We may disclose data if required by law, court order, or governmental authority in India. We will notify affected users to the extent permitted by law.
5.4 School Administration
Schools deploying e-Shikshana act as data fiduciaries for their students and staff. Schools are responsible for obtaining appropriate consents from parents and teachers as required by law.
6. Data Security
We implement industry-standard security measures to protect personal data:
All data transmitted between the app and our servers is encrypted using TLS/HTTPS.
Passwords and authentication credentials are hashed and never stored in plain text.
Access to personal data is restricted to authorized personnel only.
Regular security audits and vulnerability assessments are conducted.
Firebase security rules are configured to enforce role-based access control (teachers can only access their own class data; parents can only access their linked child's data).
While we take strong precautions, no system is completely immune to security threats. We encourage users to use strong passwords and keep their devices secure.
7. Data Retention
Active account data is retained for as long as the school or institution uses e-Shikshana.
When a teacher's account is deactivated, their data is retained for up to 12 months for audit purposes, then permanently deleted.
Student/parent account data linked to a graduated or transferred student is retained for one academic year after the last active session, then deleted.
Crash logs and anonymized analytics are retained for up to 6 months.
Users may request early deletion of their data by contacting privacy@eshikshana.in.
8. Children's Privacy
e-Shikshana is designed with the safety of minors as a core priority:
The app does NOT allow children to create accounts or directly submit personal information. All student data is entered by teachers, who are employed and authorized by the school.
Parents and guardians create accounts on behalf of their children to view school records.
Schools are responsible for obtaining parental consent as required by law before enrolling students in the e-Shikshana system.
We do not display advertisements to users, including minors.
We do not knowingly collect data directly from children under 18 years of age.
If you believe your child's data has been collected without proper authorization, please contact us immediately at privacy@eshikshana.in and we will take prompt action.
9. Your Rights
Under the Digital Personal Data Protection Act, 2023 (DPDPA) and applicable law, users have the following rights:
9.1 Right to Access
You may request a copy of the personal data we hold about you by contacting privacy@eshikshana.in.
9.2 Right to Correction
You may request correction of inaccurate or incomplete personal data through the in-app profile settings or by contacting us.
9.3 Right to Erasure
You may request deletion of your personal data. Requests will be processed within 30 days. Note that certain data may be retained where required by law or legitimate institutional purposes.
9.4 Right to Withdraw Consent
Where processing is based on consent, you may withdraw consent at any time. This does not affect the lawfulness of processing before withdrawal.
9.5 Right to Grievance Redressal
If you have concerns about how your data is handled, you may raise a grievance with our Data Protection Officer at privacy@eshikshana.in. We will respond within 15 business days.

We never request permissions that are not required for the stated features. Permissions may be revoked at any time from Android Settings > Apps > e-Shikshana > Permissions.
11. Third-Party Services
e-Shikshana may utilize the following third-party services, each governed by their own privacy policies:

We recommend reviewing these policies. By using e-Shikshana, you acknowledge that data may be processed by these providers subject to their terms.
12. Notifications
e-Shikshana sends push notifications to keep teachers and parents informed. Types of notifications include:
Attendance alerts (e.g., child marked absent).
Exam schedule announcements.
Result publication alerts.
School general announcements (if enabled by school admin).
Users may manage notification preferences within the app under Settings > Notifications, or disable notifications entirely through Android device settings.
13. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, legal requirements, or app features. When we make material changes:
We will notify users through an in-app notification or prominent notice within the app.
The updated policy will be posted with a revised 'Last Updated' date.
Continued use of e-Shikshana after the effective date of the revised policy constitutes acceptance of the updated terms.
We encourage you to review this policy periodically. For significant changes affecting child data, we will seek renewed consent where required by law.
14. Governing Law and Jurisdiction
This Privacy Policy is governed by and construed in accordance with the laws of India, including the Digital Personal Data Protection Act, 2023, the Information Technology Act, 2000, and the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011.
Any disputes arising from this policy shall be subject to the exclusive jurisdiction of the courts in Karnataka, India.
