EXAMINATION CELL

Objectives of Examination Cell

  • To take necessary steps to ensure timely, smooth and transparent conduct of examinations with desired credibility and uniformity.

  • To evaluate the students performance by the conduction of examinations and bringing more transparency in the examination and evaluation system.

  • To co-ordinate with the authorities of the Parent University to ensure compliance of the above objectives.

  • To maintain the record of all examination related activities like Paper setting, Moderation, evaluation & timely declaration of the result.

Functions of Examination Cell

  1. Filing the Syllabus and model question papers that are approved by the Academic Council from time to time.

2. Sending offer letters to paper setters.

3. Filing the acceptance letters of paper setters and examiners from different colleges.

4. Collecting more than two sets of Question Papers – one month before the commencement of the examinations.

5. Issuing notice to the students for the payment of examination fee – thirty days before the examination schedule.

6. Issuing examination applications (with subjects, photo etc...) - thirty days before the examination schedule.

7. Filing the received applications and fee receipts.

8. Declaring the examination schedule (time-table) – Twenty days before the examination.

9. Preparation of nominal rolls of the registered candidates.

10. Issuing hall tickets with exam dates – seven days before the examination schedule.

11. Issuing Invigilation duty slips for all examinations for both teaching & nonteaching staff – seven days before the examination schedule.

12. Preparation of room wise nominal rolls with photo and registration number one day before the examination schedule.

13. Masking of answer scripts.

14. Randomly selecting one question paper set out of two sets (prepared by subject experts from home and other colleges), in confidential room (a day before the examination schedule)

15. Typing the question Papers, printing and copying required number of copies and sealing it in a confidential cover.

16. Room allotment of the students will be displayed on the notice board thirty minutes before the scheduled time of the examination.

17. The question paper confidential seal shall be opened only after taking the signatures of two invigilators on the question paper bundle thirty minutes before the scheduled time of the examination under the supervision of the Principal.

18. To avoid mistakes either in questions or in paper pattern, formal re-checking of the question paper is done by the subject expert concerned just before the question paper is handed over to the invigilator.

19. Examination halls for invigilators are assigned on lottery basis. (every examination hall accommodates with minimum 24 and maximum 40 Students).

20. Issuing the question papers, 28 pages answer scripts with marked serial number and students seating arrangement sheet to the invigilators 15 minutes before the examination.

21. A bell will be sounded every hour/ half an hour to alert the students during the examination.

22. No student shall be allowed to enter the examination hall after 30 minutes of the scheduled time of examination.

23. No student will be allowed to leave the examination hall until the examination time is over.

24. For smooth conduct of examinations, flying squad/s shall be appointed.

25. Examination conducting team collect the absent report from each examination room 30 minutes after the commencement of the examination.

26. Entering the student’s absentee in examination software and prepare the students absentee statement (after completing every examination)

27. Invigilators will submit the answer scripts after the completing the examination to senior supervisors.

28. The scheme of evaluation shall be verified by the head of the department/ experienced subject teacher.

29. Subject wise answer scripts shall be put in an order and be handed over to the coding staff.

30. Code number shall be entered in computer against examination seat number.

31. A print will be taken and it will be manually verified whether the given code number tallies with the examination seat number.

32. The scripts are bundled with convenient number and a bundle slip will be pasted on each bundle. Central Assessment Program (CAP) Director shall distribute the answer script bundles to different subject experts from the different colleges for the evaluation and moderation. After completion of the evaluation and moderation, the CAP Director will collect the answer script bundles and handover the same to the Quality Director for scrutiny.

33. Under the supervision of the Quality Director, the scrutiny team members will scrutinize the answer scripts.

34. Quality Director shall ensure the entering the final marks of answer script in examination software (after completing scrutiny) and take a print for verification.

35. Decode the marks of every student through the examination software.

36. Announcement of results after approval of competent authorities.

37. Distribution of marks sheet by semester-wise.
