Document Scanner Vault ("we", "our", or "us") respects your privacy. This Privacy Policy explains how our app handles user data.
1. Overview
Document Scanner Vault is designed to help users scan, organize, encrypt, and securely store documents on their device.
The documents you create in the app — including scanned pages, images, generated PDF files, recognized (OCR) text, titles, folders/tags, and thumbnails — are stored locally on your device and are encrypted at rest. We do not upload your document content to our servers, and we cannot read your documents.
To improve the app and support optional features, we use Firebase services and a third-party advertising service provided by Google and other partners, and we offer optional, end-to-end encrypted cloud backup.
2. Information You Create in the App
The app may allow you to create and store document-related information, including but not limited to:
Scanned document pages and images
Generated PDF files
Recognized text (OCR) extracted from your documents
Document titles, folders, tags, and categories
Expiry dates and reminders you set for documents
Thumbnails of your documents
This information is stored locally on your device in encrypted form and is used only to provide the core scanning, editing, organizing, searching, saving, previewing, and exporting features of the app. Your documents are protected by your device's screen lock (fingerprint/face or PIN/pattern) and, where applicable, a recovery passphrase you choose.
We do not sell, share, or transmit your document content to our servers or to third parties, except as part of the optional cloud backup described in Section 6, where your data is encrypted on your device before it is uploaded.
3. Automatically Collected App Data
We use the following Firebase services:
Firebase Analytics
Firebase Crashlytics
These services may automatically collect certain app, device, usage, and diagnostic information, such as:
App interactions and usage events
Screen views and app lifecycle events
App version
Operating system version
Device model and device metadata
Firebase installation identifiers or app-instance identifiers
Advertising ID, where available and applicable
Approximate location derived from network or IP-based information
Crash reports
Stack traces
App state at the time of a crash
Crash logs and diagnostic information
This data helps us understand how users interact with the app, detect crashes, fix bugs, improve performance, and improve the overall user experience.
We do not intentionally include document content, scanned images, recognized text, titles, or any other user-created document information in Firebase Analytics events or Crashlytics logs.
4. Advertising
The app may display advertisements provided by third-party advertising networks (for example, AppLovin and/or Google AdMob). To serve and measure ads, these partners may collect and process certain information, such as:
Advertising ID (where available)
Device and app information
Approximate, IP-based location
Ad interaction and performance data
Advertising partners process this data according to their own privacy policies. We do not share your document content or scanned files with advertising networks. Where required, the app will request your consent for personalized advertising, and you can reset or limit your Advertising ID in your device settings.
5. Subscriptions
The app offers an optional paid subscription ("Secure Cloud") that unlocks encrypted cloud backup and sync. Subscriptions are purchased and managed through Google Play Billing. We do not receive or store your payment card details; payments are processed by Google Play according to Google's terms and privacy practices. We may receive your subscription status to enable the corresponding features.
6. Cloud Backup and Sync (Optional)
Cloud backup is optional and is off by default. If you choose to enable it:
You sign in with Google (Firebase Authentication) to authorize storage. Signing in does not give us access to your documents.
Your documents are encrypted on your device before they are uploaded, and your encryption key is sealed with a recovery passphrase that you choose. The cloud provider and we ourselves cannot read your uploaded documents — they are end-to-end encrypted.
Encrypted backup data is stored using cloud infrastructure provided by Firebase (Google) and Cloudflare R2. These providers store only encrypted data and structural metadata (such as file identifiers and sizes) and process it according to their own privacy and security practices.
If you disable cloud backup, the app removes your backup from the cloud.
7. Permissions
Camera: used only to scan documents. Captured images are processed and encrypted on your device.
Notifications (optional): used to show backup progress and document expiry reminders.
Network access: used only for optional cloud backup, ads, and Firebase services.
The app uses Android system-provided file, share, and document flows when you export or share a document; in those cases you choose the file, location, or sharing destination. We do not use device permissions for tracking, and we do not access files outside the app for advertising.
8. How We Use Data
We use locally stored, encrypted document data to provide the main functionality of the app, including scanning, editing, organizing, searching, saving, previewing, exporting, and reminders.
We use Firebase Analytics and Firebase Crashlytics data for:
App analytics
Crash reporting
Bug fixing
App performance improvement
Security, debugging, and maintenance
Understanding which features are used so we can improve the app
We use advertising and subscription data to display and measure ads and to provide paid features. We do not use your document content for advertising, profiling, or selling to third parties.
9. Data Sharing
We do not sell user data.
We may share limited app usage, device, and crash diagnostic data with Google Firebase, and limited device and advertising data with our advertising partners, because these services are used in the app. These providers process that data according to their own privacy and security practices.
We do not share your document content, scanned images, generated PDF files, or recognized text with Firebase, advertising networks, or any other third party. Optional cloud backup uploads only end-to-end encrypted data that these providers cannot read.
10. Third-Party Services
The app uses the following third-party services:
Firebase Analytics (Google LLC) — app usage and engagement
Firebase Crashlytics (Google LLC) — crash and stability diagnostics
Firebase Authentication (Google LLC) — optional sign-in for cloud backup
Google Play Billing (Google LLC) — subscription purchases
Cloud storage: Firebase (Google LLC) and Cloudflare R2 (Cloudflare, Inc.) — optional encrypted backup
Advertising networks (for example, AppLovin and/or Google AdMob) — advertisements
These services may collect app, device, usage, diagnostic, and advertising information as described in this Privacy Policy.
11. Data Storage and Retention
Document data created inside the app is stored locally on your device in encrypted form. You can delete this data by deleting documents in the app (including emptying the Trash), clearing app data, or uninstalling the app.
If you enable cloud backup, encrypted backup data is retained until you disable backup or delete the corresponding documents. Firebase, advertising, and analytics data may be retained by the respective providers according to their data retention practices and our project settings.
If you contact us with a data-related request, we will make reasonable efforts to respond and assist where possible.
12. Children's Privacy
This app does not knowingly collect personal information from children. The app is intended for general document scanning and storage use. If we become aware that personal information from a child has been collected in a way that violates applicable requirements, we will take appropriate steps to delete or address that information.
13. Security
Documents created in the app are stored locally on your device in encrypted form and are protected by your device's screen lock. Optional cloud backup is end-to-end encrypted: your data is encrypted on your device before upload and can only be restored with your recovery passphrase. We recommend keeping your device secure by using a screen lock and keeping your operating system updated. Data transmitted by Firebase and advertising services is encrypted in transit according to their security practices.
14. Account Creation and Account Deletion
The app does not require you to create an account to use its core features.
An optional Google sign-in is used only to enable cloud backup. You can turn off cloud backup at any time from the app's settings, which removes your cloud backup, and you can revoke the app's access to your Google account from your Google Account settings. Locally stored app data can be deleted by deleting documents, clearing app data, or uninstalling the app.
You can also permanently delete your account from within the app, at any
time, from Settings → About → Delete account. This immediately and
permanently erases your encrypted cloud backup, your subscription
entitlement record, and your account itself from our systems. This action
cannot be undone.
Deleting your account does not delete the documents stored on your device,
which remain in your vault until you remove them yourself, and it does not
cancel any active subscription. Subscriptions are managed by Google Play and
must be cancelled there.
If your Secure Cloud subscription ends and is not renewed, your encrypted
cloud backup is retained for 6 months and is then permanently deleted
automatically, along with the associated subscription records. Resubscribing
at any point during those 6 months preserves your backup in full. Documents
stored on your device are never affected by this and are not deleted.
Your documents are encrypted on your device before they are uploaded, using
a key that only your recovery passphrase can unlock. That passphrase is never
transmitted to us and we do not store it. As a result, we are unable to read
the contents of your cloud backup, and we are equally unable to recover it on
your behalf if your recovery passphrase is lost. There is no reset mechanism
and no support process that can restore access. If you do not have your
recovery passphrase, your cloud backup is permanently unreadable.
If you do not use cloud backup, no documents or document data are transmitted
to or stored on our servers at any time.
15. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. Any changes will be reflected on this page with an updated effective date.
