Kailey Deucher and Lindsey Bateman
Client Overview: Encircle's mission is to support and serve the LGBTQ community. They provide resources through support groups, daily programs/activities, and affordable therapy.
Project Overview:
Provo Mural Description - We wrote a description for the Mural created by Chase Henson and Rafael Butron at the Encricle house in Provo. Because of this, Individuals will be able to identify the LGBTQ figures depicted, and learn more about the artists themselves. It makes the intent of the mural more clear for those who view it.
Email outreach/Phone outreach - We connected to schools through these types of communication. It allowed Encircle to further reach out and provide education/resources to more individuals in or community.
Contact google sheet - Creating this organized sheet allowed Encircle members to have a clear view of the type of contact that has been made with various schools. this made them more effective in there outreach going forward.
Data Project - We've had access to surveys filled out by the individuals served by encircle. We've been tasked with sorting information and creating usable summarys of that information. We then will create a power point that will be shared with members of Encircle to better understand there effectivness.
Individual Responsibilities: We both have been working on projects collaboratively and have been doing research together.
Writing up profile descriptions for the Provo mural:
The figures represented are, top to bottom: Audre Lorde (accomplished poet and advocate for human rights), Octavia St. Laurent (AIDS awareness advocate, and actress), Marsha P. Johnson (gay rights acitivist, performer, and strong supporter of the NYC gay liberation movement), Sylvia Rivera (co-founder of STAR; a group dedicated to helping LGBTQ youth), Joan Nestle (accomplished writter, and co-founder of the Lesbian Herstory Archives), James Baldwin (author of "Notes of a Native Son", and Human rights activist), Lucy Hicks Anderson (socialite, entrepreneur, transgender supporter), We Wah (a respected two spirited being among Native American tribes)
The artists are Chase Henson and Rafael Butron. Their Instagram account is @r_c_artstudios on Instagram.
Context for Work: Having a description for the mural allows the intent and the message of the artist to be known. People will be able to identify the individuals depicted and relate with them. They will also be able to learn more about the individuals who created the art work. This will help strengthen and spread the message of Encircle.
Email and call schools for tabling events:
Hello!
My name is _________ (pronouns), I work with Encircle as their _______ (position). We are an organization that serves families and schools in ensuring the health and wellness of their LGBTQ+ students.
Highlight an aspect of Encircle’s mission/work that aligns with the school’s mission. Or share something complimentary about why Encircle specifically sought out the school, why this would be a good match, or what Encircle has been impressed with about the school
As educators, we see you as ‘first responders’ when it comes to the needs and well-being of our youth. At all our Encircle locations, we’ve enjoyed ongoing relationships with educators and school districts, connecting with GSAs, serving on district committees, offering professional development trainings, after school programming, parent events, and more. Are you interested in having support in any of these areas?
I would love to arrange a time to meet with you or your team to talk more about how we can work together to better support your school. If you could respond with some times you’d be available in the next week or so to meet, that would be much appreciated. Thank you for your time!
(Signature - can also just put pronouns here if you’d prefer)

Once in direct contact with principal or counselor:
Hello _________ (principal or counselor name)
My name is _________ , I work with Encircle as their _______ (position). We are an organization that serves families and schools in ensuring the health and wellness of their LGBTQ+ students. Are you already familiar with us?
(listen and respond)
We would love to offer (professional development training / to host a GSA event / an after school partnership / printed materials - see details below).
Share something complimentary about why Encircle specifically sought out the school, why this would be a good match, or what Encircle has been impressed with about the school
If this is something you or your staff would like to hear more about, can I set up a visit with you and our community engagement coordinator?
(Listen. If there is hesitancy or difficulty in on the spot scheduling continue with the following)
Would you rather have the coordinator email you with more details? Or have us drop off some printed materials for your offices?
Wonderful! Well thank you so much for your time.
You can add confirmation of what action you will take, i.e. communicating with coordinator, bringing informational materials
Context for Work: Outreach helps Encircle reach the LGBTQ community. With the providing schools with information they are able to provide educational material and resources for anyone who may need them.
Finding contacts for tabling events and adding to google sheet:
Context for Work: Having a sheet for school contacts keeps Encircle more organized and effective with outreach.
Data Project
Devin creates & distributes survey data to Kailey and Lindsey
Kailey and Lindsey will read through all the data to get a general picture
Using the analysis guide below, Kailey and Lindsey will analyze the data
How you guys decide to break this down into tasks or split between you is up to you!
If you have questions or if you think of ideas or potential problems, please reach out to Devin!
The results will be put into a presentation to share with the Encircle staff
Notes for putting together this final report are included at the bottom of this document
Materials
Survey being used:
“Encircle Online Services”
Used for online programs at Encircle from May 8th, 2020, to August 26th, 2020
Excel Spreadsheet Export of Survey (Link) - I’d recommend downloading this to work with it
Cleaned, includes the following fields:
Date completed
Program or FC attended
Age
“I felt safe…”
“I felt connected…”
“I felt comfortable…”
Additional Feedback
NOTE: the main tab you will want to work with in this document is called “Cleaned - Use This One”. The other tabs contain the data that the survey produced, but isn’t relevant to this analysis.
NOTE 2: The main 2 variables of interest are highlighted in yellow above
Analysis Guide
Keep one data set with the data combined for both Friendship Circles and Programs
Make a copy of the data to split into 2 parts: one data set for Friendship Circles and one data set for Programs to be analyzed separately
FCs:
Bi/Pan Adult (18+)
Gay Male Adult (18+)
Lesbian Adult (18+)
LGBTQ+ Adult (25+)
QBIPOC Adult (18+)
Transgender Adult (18+)
Youth (12-17)
Programs:
CONNECT
Lunch with Lisa
What we want to know:
What do people think of our online Friendship Circles?
Read through the data of all of the responses we get from people who attended online Friendship Circles
Sort the data into positive responses, neutral responses, and negative responses (these categories can be adjusted based on any additional themes or information you glean from reading the responses)
Important: keep demographic information tied to those responses (aka keep their age and the FC they attended tied to their responses so we know a little about those people)
Sort those positive, neutral, and negative responses even further based on which Friendship Circle they attended
Identify the following:
How many positive, neutral, and negative responses did we have overall for online Friendship Circles? How many for each Friendship Circle?
What was the content of those responses? Is there anything that stands out? What’s the underlying themes of the positive, neutral, and negative feedback we got?
Ex: most of the negative feedback received was related to technology not working properly or creating a less-than-ideal experience compared to doing Friendship Circles in person.
What do people think of our online Programs?
Read through the data of all of the responses we get from people who attended online Programs
Sort the data into positive responses, neutral responses, and negative responses (these categories can be adjusted based on any additional themes or information you glean from reading the responses)
Important: keep demographic information tied to those responses (aka keep their age and the program they attended tied to their responses so we know a little about those people)

Analysis Notes:
Pay attention to any outliers that may exist.
Pay attention to any themes that come up.
There are some responses that come from facilitators. You should be able to tell if they are, but if not, I can let you know. I kept them in the analysis because they often provide good feedback for us.
When reading a response that feels strange or odd, look to the other variables answered to see if there’s a pattern (like if that’s the same person trolling us, or if they’ve consistently had trouble with something, etc), or if there’s any extra context available to explain it.
Final Report
Undecided if it will be a presentation or a document. It may be both.
For a presentation:
Keep each slide pretty simple and easy to read
Make sure that whenever you use simple numbers or language, that you explain it fully somewhere (like in the notes for the slide - so we get all of the context and we’re reading the data correctly)
Use bold font as a contrast for things you want people to pay attention to
Don’t want to use all of the quotes: just use the best quotes that illustrate common themes or particularly powerful feedback
For a document:
Keep the report language simple and easy for people to read
Briefly explain how you analyzed the data (Devin may do this for you)
Explain the results you found in the analysis
Take a paragraph or two to consider the findings and the implications of them on Encircle’s online programs and on the community
Context for Work: We'v recently obtained information from surveys that we will read through and summarize into different categories. We will then take that information and turn it into a power point. This information will provide useful feedback that can be used by Encircle.
